Chapter 1 AnyShare5.0 Anyshare based on the open cloud storage architecture, building a secure, efficient and manageable unstructured data management platform for enterprise customers, to achieve unified storage, management and use of unstructured data. 1.1 Role Introduction Currently, AnyShare5.0 mainly includes two user roles: Common Users and File Approver Common Users: the user of AnyShare, as the default role of the system. The Common Users can access the document data in AnyShare through PC Client, Web Access or Mobile Client. The Common Users default to the owner of personal documents, who manages personal documents, experiences localized document operations in Anyshare, sharing and collaborating with others to achieve efficient work. File Approver is a management role attached to Common Users that has audit permissions on a specified range of documents, and this role is specified by the admin. The File Approver has all the permissions of the Common Users and can audit the sharing behavior of other users. 1.2 Module Introduction Web Console: The admin's operating platform, admin login Anyshare Web Console to Configure and manage the cluster system and User. The Common Users can't login Web console. PC Client:AnyShare PC Client includes Mac or Windows client that allows users to quickly access, share and manage documents. Web Access: No need to install the client, through the Web page login AnyShare to access, share and manage documents. Mobile Clients: including ios and Android clients, users can access, share, and manage documents through smart phones or tablets login Anyshare. 5/ 16
Chapter 2 Use Guidance 2.1 PC Client After you login AnyShare PC client, you can see the main screen of AnyShare as the following picture: The main interface consists of two parts: The left side is a document operations area where you can do some operations, including open, create, modify, rename, delete, copy, Cut, and right-click menu operations. The right side is the functional area of operation, providing synchronization management, cache management, download document, share documents, view document properties, view permissions information, and manage file history versions. 2.1.1 Document Synchronization The documents in the Anyshare has 4 states, and you can identify the document status by file icon. When a file or folder is not cached locally in the cloud, it is not cached, and the file or folder is marked with an not-cached icon in the lower-left corner:: When a file or folder is being uploaded or downloaded, it is in the 6/ 16
synchronizing state and the file or folder has a sync icon in the lower-left corner: When a file or folder has been downloaded to a local, it is in a synchronized state and the file or folder has a sync completion icon in the lower-left corner: When a file is opened by a user with modify permissions, it is locked, and the lower-left corner of the file is marked with a lock icon: If the local files or folders that have been cached in AnyShare have changed, these changes will be synchronized to the cloud in real time. Upload documents AnyShare allows users to upload documents by creating, dragging, and assigning a directory upload. Users create new files and folders in AnyShare will be automatically synchronized to the cloud when the client is online. Support batch upload. As the following picture: Trigger download For all files that is not cached, you can download it to Anyshare Local. Includes: Double-click, Copy, move, drag, or open by a third-party software. At the same time, you can download it to Anyshare by clicking the "Download Now" button on the sidebar. When you download a folder, all of the files or folders in that folder are downloaded. 2.1.2 Shared Documents AnyShare offers three sharing modes: Permission Shared Link Public Share. Permission AnyShare supports users to share by permissions. When you want to share a file or folder, you can click Permission button on the sidebar to configure permissions for others to implement file or folder sharing. Currently, AnyShare supports eight permissions to restrict the operation of shared objects to documents. As the following picture: Shared Link Click on the sidebar Shared Link button, you can share the file or folder through the Internal Link and External Link. Internal Link sharing is the path of sending a file or 8/ 16
folder in Anyshare, and the External Link is to send files or folders links. As the following picture: When you want to share files or folders to the internal staff, you can send the internal link. When you want to share files or folders with external people, you can share and collaborate across organizational by sending an External Link. At the same time, you can set Password Expiration Date Permission and External Link Opens,visitors can access the online download or upload shared content. If Expiration Date expires, the link will automatically expire. If the External Link Opens exceeds the defined number of opens, shared documents will not be able to continue to be accessed. Public Share When you have good information to share with others, you can click on the sidebar Public Share,so that the data can be found by others through full text search. 2.1.3 Team Collaboration Shared Groups For projects that require cross department collaboration, you can create groups that enable flexible sharing and collaboration. You can create a new group document by clicking the Groups button on the sidebar. At the same time, you can configure access permissions for other group members so that they can do related operations. As the following picture: 10/ 16
Shared Library Anyshare supports Shared Library, the Library is created by admin in the console and specifies the owner. The owner of the Library login the PC client to configure permissions for other users, and then perform the related operates based on the configured permissions. As the following picture: 2.2 Web Access In the browser, enter the AnyShare server address (anyshare.eisoo.com), which jumps to the AnyShare web login page. When the Web page accesses Anyshare, you will see the same library type and document content as the PC client. The interface is shown below: 11/ 16
2.2.1 Synchronizing Documents Web page access Anyshare, you can not only view all files with access permissions, but also upload and download files, or rename, delete, copy, move and other operations. As the following picture: Upload Documents You can upload local files to Anyshare on the Anyshare Web page by dragging or clicking on the files. Click on the toolbar Upload button, you can upload the file according to the prompts. As the following picture: 12/ 16
2.2.2 Shared Documents The Anyshare Web page provides two shared modes, that are permission sharing and external link and enables document owners to quickly and flexibly share documents with other people without installing clients. Permission Sharing On Anyshare Web page, click the Permission, you can share files or folders by configuring permissions and restricting user operates the files or folders. As the following picture: External Link Sharing When you want to share files or folders with external people, you can share and collaborate across organizational by sending an External Link. 2.2.3 Team Collaboration Shared Groups On Anyshare Web page, click Group Documents on the left side, you can access and manage group documents online. At the same time, you can configure permissions for other group members to access and manage related group documents. As the following picture: Shared Library On Anyshare Web page, you can view all libraries with access permissions by clicking the Libraries on the left side. If you are the libraries owner, you can configure the external link through permissions and share all documents in the 14/ 16
libraries. As the following picture: 2.3 Mobile Client You can login Anyshare Mobile client via a smartphone or pad to enable mobile access to files or folders. 2.3.1 Document Synchronization You can synchronize, share, search, and manage documents at the Anyshare mobile client. 2.3.2 Shared Documents In Anyshare mobile client, you can use the external link to share the document through SMS, mail, QQ, WeChat, microblog and other ways. As the following picture: 16/ 16
