Overview SureClose Advantage 2.9.5 includes additional functionality, enhancements and defect corrections. This document provides a brief explanation of what was fixed and an introduction to new features and functionality implemented with this release. Deployment Date: March 18, 2011 Post-Installation Considerations After the new version has been deployed and prior to your logging in, it is recommended that you complete the following post-installation tasks: Delete Temporary Internet Files Delete Cookies Deleting Temporary Internet Files (MS Article ID: 260897) The Temporary Internet Files (or cache) folder contains web page content that is stored on your hard disk for quick viewing. This cache permits Internet or MSN Explorer to download only the content that has changed since you last viewed a web page instead of downloading all the content for the page every time it is displayed. Administrators can customize Temporary Internet File settings to prevent modifications. Contact your System Administrator if you cannot access the Internet Options dialog box or the General tab. Steps 1. Close Internet Explorer and any instances of Windows Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Files. The Delete Files dialog box displays. 4. If available, select the Delete All Offline Content check box and then click OK. A confirmation message displays asking if you are sure you want to complete the delete process. 5. To confirm, click OK. Note Be patient when performing this task, if the Temporary Internet Files folder contains a significant amount of web page content, then this process may take several minutes to complete. Deleting Cookie Files (MS Article ID: 278835) Files starting with the word Cookie may remain in the Temporary Internet Files folder even after opting to delete them. You can delete these files; however, it is recommended that you make a backup copy of cookies prior to deleting them because these files may contain information for a customized web page or login information for a website that you do not want to lose. If needed, contact your System Administrator for assistance or refer to MS Article ID: 221523. Steps 1. Close Internet Explorer and any instances of Windows Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Cookies. The Delete Cookies dialog box displays. Features and Functionality New in this Release An overview of new features and modifications to SureClose Advantage 2.9.5 include: A new, Track Complete and Edit link has been added to the Documents page and is used to visually track which parties, based on their role, have viewed documents. Three new task deadline types have been added for selection when adding or editing tasks. In order to accurately record billing, a new First Template designation has been added to the template selection list that displays when creating a new file. Email and notification messages without attachments can be transferred directly to the Activity Log of a selected file by selecting the new Transfer/Activity Log option from the Messages menu. A new check box, Allow Company Imports has been added to the Manage Imports screen and is used to determine whether or not companies will be imported to files. By default, this check box is not selected. Several defects were also corrected in this release. For more information, refer to Defects. SureClose Product Line Release Notes March 2011 5
Files Documents Track Complete and Edit A new, Track Complete and Edit link has been added to the Documents page. Click this link to visually track which party, based on their role, viewed the document by completing the following: With the Documents page open, click the Track Complete and Edit link. A separate window displays listing available parties on the file by name and role. To track the party, click the Track Completion check box and then click OK to save your changes. This adds a check box to the document placeholder on the Documents page. Each check box is labeled by role. You can: o o Hover your mouse over the role to view the associated party name. Hover your mouse over a selected check box to view the date and time stamp when the document was viewed. Additional Information Deleting a party from a file, automatically removes that party from the Available Parties list. SureClose Product Line Release Notes March 2011 6
Tasks New Task Deadline Types Three new task deadline types have been added for selection when adding or editing tasks: Relative to another Task s Deadline Relative to Contract Start Date No Deadline Relative to another Task s Deadline If you want the task due date to be calculated based on the date when a related task is due, plus a number of days after the deadline date, then select this option by completing the following: With the task open, from the Deadline Type list, select Relative to another Task s Deadline, From the Related Task list, select the related task, In the Days after Related Task field, type the number of days after the related task due date to determine when the new task will be due. This calculates the task due date as the Related Task Deadline Date + Number of Days After that date. Relative to Contract Start Date If you want the task due date to be calculated based on the date when a related task s contract begins, plus a number of days after the contract start date, then select this option by completing the following: With the task open, from the Deadline Type list, select Relative to Contract Start Date, From the Related Task list, select the related task, then In the Days after Contract Start field, type the number of days after the related task s contract start date to determine when the new task will be due. This calculates the task due date as the Related Task Contract Start Date + Number of Days After that date. SureClose Product Line Release Notes March 2011 7
No Deadline If the task does not have a deadline, then select this option by completing the following: With the task open, from the Deadline Type list, select No Deadline. Templates In order to accurately record billing, a new First Template designation has been added to the template selection list that displays when creating a new file. Each file must have a First Template designation. All parties within the first template are considered primary parties. Be default, selecting the First Template radio button automatically selects the Parties checkbox for that template. You can designate a First Template, one of two ways: By clicking the template name link; this automatically selects the First Template, Parties, Documents and Tasks radio buttons associated with that template. By selecting the First Template radio button; this automatically selects Parties for the First Template. Messages Transfer to Activity Log (S-252) Email and notification messages without attachments can be transferred directly to the Activity Log of a selected file by selecting the new Transfer/Activity Log option from the Messages menu. Transferring a Message to the Activity Log Complete these steps to transfer an email or notification message without an attachment to the Activity Log for a selected file. Steps 1. With the Messages tab open, select Email or Notifications. All available messages display. 2. From the list, single-click to highlight the message you want to work with. 3. With the message highlighted, from the top menu, select Transfer. A list of options display. 4. From the list, select Activity Log. The transfer screen displays. 5. Under File Search, enter the criteria necessary to locate the file you want to work with. 6. When finished, click Search. Search results display. 7. From the search results, select the file you want to transfer to. Selecting the file displays the Activity Log entries for the selected file. 8. Click anywhere in the list of Activity Log entries. The most recent entry is highlighted. 9. Click Save. A message displays indicating the changes have been successfully saved. Admin Set Preference for Auto-Importing Parties A new check box, Allow Company Imports has been added to the Manage Imports screen and displays when an integrator is selected from the From Integrator list. Selecting AIM+ indicates which roles should be automatically imported. Once imported, these roles are added as a party to the file and a contact record created for each. Auto-Importing Roles Complete these steps to indicate which roles should be automatically imported. Steps 1. From the navigation pane, select Admin. Additional options display. 2. Under Corporate Tools, select Manage Imports. The Manage Imports screen displays. 3. At From Integrator, click the drop-down arrow, and then select the integrator you want to work with. 4. To the right of the Selected Roles box, a new check box displays, Allow Company Imports. 5. By default, this check box is selected. Accept the default to indicate when files are imported from AIM+, you want to: Auto-import specific roles Add the specific roles as a parties to the file Create a contact for each party 6. When finished, click Save. A message displays indicating the roles to import have been successfully saved. 7. The Manage Imports screen will apply when creating files from the Inbox, or from Templates. For more information, refer to SureClose Advantage Help and search for the topic, About Manage Imports. Defects The following defects were corrected in SureClose Advantage 2.9.5: Document import codes were not coming over from the document library placeholders when converting the file from a Listing to a Closing file. This has been corrected. Custom messages were not displaying correctly when those documents were being viewed for distribution. This has been corrected. Communication types in AIM+ and SureClose have been modified to ensure they are working as expected. Load times have been improved to ensure an efficient AIM+ Import process. The Add Party screen expanded beyond its limits when a long company name displayed in the Company drop-down selection list. This has been corrected. All tasks were displaying on calendar when the option to only show tasks, Not Started was selected. This has been corrected. A system error was occurring when contacts were imported from a.csv file exported from Microsoft Outlook. This has been corrected. SureClose Product Line Release Notes March 2011 12
