Obligations are typically considered long term reminders with a critical completion time. The following document outlines how to add a new obligation. Obligations are displayed in a grid view. From this grid you can add new obligations and manage existing ones. 1. Access Obligations and select Add. Pandell Projects Acquisitions and Communications Page 1
2. Start by selecting the Project Type. You can add an obligation without associating it with a surface project by selecting the None radio button. To associate the obligation with a project, select the Surface radio button and then select the corresponding project from the enabled drop-down list. 3. Next select the Obligation Type. Obligation types are set-up in the Code Tables section. 4. If required, enter a Description and additional Comments. The only required fields are highlighted in bold font, but the more information you can enter the more useful this record is to other users. 5. The Initiated field will populate with today s date. If this needs to be altered, select the new date using the calendar icon. 6. If you wish to associate a Required date with this obligation, select it using the calendar icon. 7. Next, select the Reminder date. This relates directly to the user s calendar (e.g. Outlook). 8. The Completed field can be left for when the obligation is complete and no longer relevant. 9. Use the Spell Checker button to check the spelling of the Description and Comments fields. 10. Select Save and Close. Pandell Projects Acquisitions and Communications Page 2

Here you can Edit or Delete it as needed. You can also filter your grid by using the Date Filter. Simply select the date type from the drop-down list (e.g. Initiated) and then select the date range using the From and To date fields. Selecting the Show Completed check-box will display all obligations, including those with a completed date. If you wish to filter by Completed date, ensure the Show Completed checkbox is selected. When searching for a specific obligation using the search bar, multiple search terms can be entered at once. Keep in mind that in order to search the Module Type or Status columns that an exact match must be entered in order to refine the results (e.g. surface ). Searching on any of the other columns will refine by partial words or numbers. Adding Obligations at the Surface or Sub File Level Obligations are also accessible at the Surface and Sub File level. The procedure for adding an obligation from one of these windows is similar with the exception that the project is already listed based on the project you have open. Obligations Report Select Report to view a printable report of the obligations displayed in the current grid list. The report can be saved in a variety of formats (PDF, HTML, Text, etc.) and printed from this view. Export to Calendar Selecting Export to Calendar prompts you to save a file that can be imported into Outlook. Only the obligations listed in your current grid view will export. This way, you can exclude completed obligations and filter by the relevant dates. With the file saved locally on your computer, access Outlook and follow one of the two following directions. Outlook Option 1 To create a new, separate calendar in Outlook simply double-click on the saved file and it will load as a new calendar in your Other Calendar s view. If an older version of the calendar is already open, Outlook will display a prompt to either replace the calendar, or open it as a new calendar. Outlook Option 2 The other option is to import it directly into your main calendar. To do this: 1. Select File, Open & Export, Import / Export. Select Import an icalendar and then select Next. 2. Navigate to where the file is saved and then select Open. This will load all the reminders directly into your main calendar. The only issue with this method is that when importing again, Outlook will create duplicates for the events that have already been imported. To prevent this being an issue, ensure your imports only contain new (the most recent) data. Pandell Projects Acquisitions and Communications Page 7
