4 Introduction JAVS Publisher 7 is a self contained publishing application designed to work with JAVS Recorder 7 to find and publish media and session logs to an optical disk or a network folder. JAVS Publisher also gives the user options for printing session logs and viewing session media. JAVS publisher will allow you to search and find sessions and prepare any combination of sessions to be published through the Publish Queue, depending on user security rights. 5 Getting Started Before you can use the Publisher 7 application, a user name and password must be assigned to you. Publisher 7 has been designed with specific user rights in mind, which means that your court administrator can assign various rights that give you the ability to access certain functions of the application. Login To access Publisher 7, a user must first login. See your administrator for User Name and Password, and the user rights assigned to you. Launch Publisher 7, type in your User Name and Password. Once logged in, your User name will appear at the bottom right of the Publisher 7 screen. Copyright JAVS

6 JAVS Publisher 7 Overview When JAVS Publisher is launched most of the tools will be grayed out. Since JAVS Publisher is a search and publish tool, this manual will assume to have sessions in the database which includes sessions that were performed today. JAVS Publisher has three main tool windows; Search Tool: Accessible by the Search tab, this tool will allow the user to search for sessions using multiple categories with specific or partial search criteria as well as filters to narrow your search. You can also choose how far back in time you wish to search. The Search tool will search across the network to all locations within the site. Logged By Date Tool: Accessible by the Logged By Date tab, this tool will allow the user to view, publish and print all sessions and related sessions, from a list of sessions that were performed on the current day. You also have the choice of which location in the site you wish to publish from. Job Data Tool: This field is the publishing queue. Sessions to be published will be placed in this field awaiting the publishing, printing or viewing process. Job Data Tool Search Tool Logged By Date Tool 6 Copyright JAVS

7 Search Tool Overview JAVS Publisher 7 provides many options for searching the database for sessions. The Search Tool is a tab located next to the Logged By Date tab. The Search Tool is limited to 500 results in any one search. If your results are not returned, you may need to refine your search criteria. The top part of the Search Tool contains the Criteria Field, the Category Selector and the Time Filter pull-down. Criteria Field Category Selector Time Filter Since All Fields is in the Category Selector, pressing the Search button at this point would yield results of all sessions, 30 days back, in the database being found. The Time Filter will allow for searching in increments of time. (If you are using Extra Fields in your Session Properties, that field will be searchable under the Category Selector). Copyright JAVS

8 The Filter Results section of the Search Tool will allow you to set multiple filters to drill down your results. There are three filters that can be used at any one time and the filters are set from left to right. The filters set at this point are Name, Date and Location. Filter 1 Filter 2 Filter 3 Each filter list contains the same filters, so any combination of available filters can be used to narrow your search. The Bottom section of the Search Tool is the Search Results field. Any session that meets the criteria and filters set for the search will appear in this pane. There are icons that will become available when a session is selected from this list that will allow you to print, view, and add the session to the Job Data field. There is also a Show/Hide Columns that will allow you to view any column information that is available to the session. (see Show/Hide Columns) 8 Copyright JAVS

9 Search Tool-Detailed Operation To search for a session: 1. Select the Search Tool tab. 2. Press the Search button and all the sessions and related sessions, 30 days back, in the database will appear in the Search Results list. 3. We can simplify the search if we know certain information about the session. Type in a session name in the Criteria field, or in the Search Field located on the toolbar, and press the Search button. Criteria Field Search Field on Toolbar 4. The Search Results field will now only contain one session, with the session name you typed in the criteria field. Since we searched by the category of All Fields, any session that contained the exact criteria string, in any of the information fields, would show in the Results Field. Copyright JAVS

10 To better understand how the Search Tool works, a session has been created with all information fields filled in. This will allow us to search for one session with parameters we can compare. We ll start with an Arraignment session with a session Name of SEARCHTOOL. The session will have a title of State vs. Wilson and belong to the Default Department. All of the Party and Exhibit fields have also been filled in. AutoLog New Session Display This session was started and logged with events, notes, exhibits and parties in AutoLog and then the session was ended. We will search for this session in the Search Tool. 11 1. In the Search Tool, select Session Type in the Category Selector. Leave the Time Selector at 30 days Back. 2. When the Search button is pressed, all sessions, 30 days back, will appear in the Search Results. 3. Since our session was performed less than 30 days back, it will also be in the Search Results list. Copyright JAVS

12 4. In the Criteria Field, type Arraignment and press the Search button. 5. The results will now show all sessions, 30 days back, that have a session Type of Arraignment. Since we assigned our session as Arraignment, it will be in the Search Results list. 6. With the same category of Session Type and the Criteria field of Arraignment, select the date the session was performed in the Filter 2 section. (Hint: use the column sort in filter 2 to bring the latest date to the top of the list). 7. Select the date and the Search Results field will be narrowed down to those sessions that have been completed on this date. Our session is in the Search Results field along with another session that was performed on the same day, with the Session Type of Arraignment. With limited information we narrowed our search to three sessions. 12 Copyright JAVS

13 Using our sample session we will now look for a session that contains a particular party. 1. We are looking for a witness, with the name of Keisha. We also know that the session was performed within the last week and the department is the Default Department. Using this information, select Witness in the Category selector and type in Keisha in the Criteria text field and press the Search button. 2. The Search Results field will populate with all sessions and related sessions, 30days back, that have a witness with a name Keisha. Copyright JAVS

14 3. Since we know that the department was the Default department, select the Department filter in the Filter 3 pull down. 4. Select Default Department from the Filter 3 list. 5. The Search Results field has been narrowed to one session. This session meets the criteria of a witness named Keisha that was part of a session 30 days back or less that was completed in the Default Department with an Arraignment session type. 6. We can verify that this is the correct session by selecting the session in the Search Results field and pressing the Print icon located on the Search Results toolbar. 14 Copyright JAVS

15 7. The JAVS Report Wizard will open. 8. Since we know that Keisha was a witness, we will select Parties List and press the Next button. 9. The Filter Groups to Print window will open. Select the Witness checkbox and press the Next button. 10. The Contact List Report window will open. Note that Keisha is part of the list and has personal information associated with her name. We can now contact Keisha to be a witness in our next session. This example showed us how to locate a single entity within a session. Once sessions are located, the Results can then be added to the Job Data list for publishing, printing or viewing. (see Adding Sessions to the Job Data Field). Note: If searching by date in the search field, you must separate the Month-Day-Year with:., / or - Select any session in the Search Results list and press the Review icon. The JAVS Review window will open and allow editing of the session log as well as Post Logging (see Appendix B). Copyright JAVS

16 Delete Session-Search Tool The Search Tool provides a method for deleting sessions and session media. Deleting sessions requires that the Delete security right be assigned to a user by an Administrator through SiteManager. The Delete Session icon will not be visible on the toolbar unless you have the required security rights. To delete a session using the search tool: 1. Follow the instructions for locating a session as outlined in this section. 2. From the Results Field, select the session or sessions to be deleted. (Use Shift and Cntrl keys for multiple selections). 3. Press the Delete icon located on the Search Results toolbar. 4. The JAVS Trash Wizard will open. Read the instructions on each page carefully! Remember, you are deleting records from the database and this cannot be un-done! Press the Next button. 5. The next page is the Filter page. Here you can decide which parts of the record are removed. 6. Use Delete Selected Data if you want to be selective with what you remove. 16 Copyright JAVS

17 7. The Database Information section will allow you to choose to delete both Audio/Video and Session information, or just Audio/Video. 8. The Devices section will allow to choose which recording devices you want to remove information from. 9. Use Delete All Session Data if you want to remove all reference to the session from all devices. 10. If the Include All Related Sessions and Schedules checkbox is checked, then all related sessions will also be removed. That is any session with the same name. 11. Once you have made your choices, press the Next button and the Start Deleting process page will open. This page will show you a summary of the files to be deleted; review your choices and press the Next button. 12. The Deleting Information page will appear with a progress bar. 13. When finished deleting, the Finished page will appear. Press the Finish button and the session has been removed from the system. Note: If media only is removed from a session, an icon will appear next to the session indicating there is only log information available. Copyright JAVS

18 Logged By Date Tool The Logged By Date Tool is accessible through the Logged By Date tab. Once selected, the display will show the Logged By Date Tool. The Logged By Date provides a calendar view with bolded dates to indicate sessions were performed on those days. Selecting today s date is the same list that will exist in the JAVS AutoLog application (Logged Today Tool), and in the case of a JAVS Server, the list can be populated by any number of available rooms with AutoLog sessions. There are six icons on the Logged By Date toolbar: (These icons are also commands in the menu item Tools>Logged By Date). Refresh: This command will update JAVS Publisher with any sessions that have been created after the user has logged in to Publisher. Review: Select any session in the Logged By Date list and press the Review icon. The JAVS Review window will open and allow editing of the session log as well as Post Logging (see Appendix B). Print: The Print command will print one of 4 types of reports for all sessions. (see Printing). Add: The Add command will add any selected sessions to the Job Data List. Select All: This will allow the user to select all sessions in the Logged By Date List. Show/Hide Columns: This icon will allow the user to choose which information columns they wish to display. (see Show/Hide Columns). The Logged By Date Tool also has a location selector to allow the user to connect to any room in the site. (JAVS Server only) Adding sessions to the Job Data List from the Logged By Date Tool is the same as adding from the Search Tool. Note: Post Logging functions for the Review window are only available for the Search Tool and Logged By Date. 18 Copyright JAVS

19 Job Data Tool Adding sessions to the Job Data list: Once a session or group of sessions has been located, they can be added to the Job Data field one at a time or you can select multiple sessions and add them all at once. 1. Use the Search Tool and filters to locate the session(s) you wish to publish or select the Logged By Date tab for a list of current day sessions. 2. Add sessions one at a time or selectively, by using Shift and CNTRL windows conventions and then press the Add icon located on the Search Results toolbar. Windows convention Shift -Select Windows convention CNTRL-Select 3. The selected sessions will appear in the Job Data list. The approximate size of the publish queue will be displayed at the bottom of the list. Copyright JAVS

If you have narrowed your search to only those sessions that you want to publish, you can press the Select All icon located on the Search Results or Logged By Date toolbar and all sessions in the list will be selected. 5. Press the Add icon and the entire selected list will be placed in the Job Data field. (Example from Logged By Date List) 6. If one is not sure if the sessions located are the sessions they want to publish, two other tools are provided in the Search Tool and the Logged By Date Tool toolbars for verifying the sessions. Review: Select any session in either list, and press the Review icon. The JAVS Review window will open. (see Review). Print: Select any session in either list and press Print icon. The JAVS Report Wizard will open. (See Print) 20 Copyright JAVS

21 Using the Job Data Tool Once the Job Data field is populated with the sessions you have located, there are five tools available. Print: The Print command will open the JAVS Report wizard and print one of 4 types of reports for all sessions. (See Print) Publish: The Publish command will open the JAVS Publishing wizard and publish all sessions that exist in the Job Data list to optical media or a network share folder. (see Publish). Review: Select any session in the Job Data list and press the Review icon. The JAVS Review window will open. (see Review). Remove Selected: This will remove any one selected session from the Job Data list. This command is also available by selecting a session from the list and right-clicking. A drop down list will allow you to remove this session from the Job Data list or you can review the session. Clear: This will remove all entries list from the Job Data list. If more than one recorder is used in your JAVS system, the Job Data Tool will allow the user to select from which recorder to publish media from. JAVS provides a Standard and a Deluxe recorder. The Deluxe Recorder is the only recorder that can record higher quality media. If you have a Deluxe recorder and wish to record higher quality media. (see your JAVS technician to change your encoding template). To select a recorder to publish from: 1. Fill your Job Data Tool as outlined in the Adding Sessions to the Job Data Tool. 2. Select any session in the Job Data List and click on the arrow under the session name. 3. If two recorders are installed in your system, you will see both recorders and the resolution they were recorded at. 4. Select the checkbox next to the recorder you want to publish from. When the Publish or Review command is initiated, the media will be pulled from the selected recorder for that session. Copyright JAVS

22 To remove a session from the Job Data list: 1. Select a session to be removed from the Job Data list. 2. Press the Remove Selected icon located on the Publish toolbar or Right click and select Remove Selected. 3. You will receive a delete confirmation screen. Select Yes to remove the session from the list. To view a session from the Job Data Tool: 1. Select any session to be viewed in the Job Data list. 2. Press the Review icon on the Publish Toolbar or right click the selected session and select Review. 3. The JAVS Review application will open. (see Review). 22 Copyright JAVS

23 Publishing Once the Job Data list is complete and the recorders selected, you can now publish your sessions to optical media or a network folder or drive. The publishing function will publish all sessions that exist in the Job Data list. To publish from the Job Data list: 1. Fill the Job Data list as outlined in the Adding Sessions to the Job Data list section of this manual. 2. Press the Publish icon on the Publish toolbar or select the menu item File>Publish. 3. The JAVS Publish Wizard will open to the Select Files page. Media Options: Include Audio and Video Files: Choose this option if you wish to include all recorded audio and video. You can also choose whether to include public or private media. Log Options: Include Session Log: Choose this option if you wish to include the session log. You can also choose whether to include public or private events as well as public or private notes associated with the log. 4. After making your selections, press the Next button. 5. The Select Action page will open. The Select Action page will allow you to choose publishing to a CD or DVD as well as a network share folder. Copyright JAVS

24 To publish to an optical disk: 1. Choose Optical Disk and press the Next Button. 2. The Select CD/DVD Burner page will open. Insert a DVD or CD into the burner and select the burner from the drive list. Select the number of copies you will be publishing. The default name for the optical disk is the session name (in the case of one session) or the current date (in the case of multiple sessions). You can choose to change this by typing in the Label field. 3. Once your selections are made, press the Next button, and the Copy Documents page will open. The wizard will copy the selected files to a temporary location and show a status bar as well as information related to file size, time elapsed, transfer rate, how much has been transferred and time to complete. 4. When the transfer is complete, if a disk has not already been inserted into the drive, a message will appear to insert a blank disk and press OK. 24 Copyright JAVS

25 5. The Create Media page will open with a progress bar showing the burn process. 6. When burning is complete the Finish page will appear with the Disk number and the files that are on the disk. Press the Finish button. If Network Share is selected on the Select Action page, the Select Folder button will become active. To publish to a network Share folder: 1. Press the Select Folder button on the Select Action page of the wizard and the Browse For Folder window will open. 2. Navigate to where you want to publish the session and select the folder, or create a new folder for the files to be published to. Copyright JAVS

26 3. Press the OK button and you will return to the Select Action page and the file path will be present under the Network Share Folder icon. 4. Press the Next button and the wizard will copy the selected files to the selected folder and show a status bar as well as information related to file size, time elapsed, transfer rate, how much has been transferred and time to complete. If the folder you selected is not empty, a Folder not empty message will appear. Select Yes to continue. 5. When complete, the Finish page will appear, you have successfully copied your session files. Press the Finish button. 26 Copyright JAVS

27 Printing Overview JAVS Publisher provides many types of print reports to correspond to the type of information you wish to send to hard copy. The Print Command can be initiated from all the tools in JAVS Publisher as well as the File menu. There are basically two styles of printing, reports by date and reports by selection.two types of reports are available through the Date Range printing; Session Log printing and Summary report printing. Printing from the individual tools will give you 4 types of reports; Session Log, Parties List, Exhibit List and Summary Report. Session Log: Prints the session log of any selected session(s) with the choice of including public or private information. The session log can be printed in 3 different styles. Standard: The Standard report shows the session logs of each related session and related sessions with header breaks between each session. All related parties will appear on the header of the first page. If Parties have changed for each session, those new parties will be included in the header list. Detailed: The Detailed report is similar to the standard report with the exception of placing each list of related parties at the header of each session. Copyright JAVS

28 Condensed: The Condensed report is a customizable report. You can choose which party(s) will be at the header of the report. All other parties will be displayed at the header of each related session. If the Do Not Display Parties in the Body of the Report checkbox selected (see Printing Detailed), only the parties you selected in the Filter Header will be displayed. If the selected parties from the Filter Header selection changes across all sessions or related sessions, then each session will be printed on a separate page with the related parties on the header of each report page. Exhibits List: Exhibit List printing will allow you to print a complete list of all exhibits that were a part of any selected sessions in any of the tools in publisher. Parties List: Parties List printing will allow you to print a complete list of all parties that were a part of any selected sessions in any of the tools in Publisher. You will also have the choice of which parties you wish to print as well as a choice for printing parties that were entered into the log. 28 Copyright JAVS

29 Summary Report: The summary report will give you a list of sessions that were performed on a particular date or date range and include session property information as well as start and end times. Printing Detail Printing selected session logs The session log can be printed from each tool in JAVS Publisher 7. Printing from the Search Tool and the Logged By Date tool will allow you to select one or multiple sessions to be printed. Use Windows conventions for selecting sessions in either list. 30 To print selected session logs: 1. Select the session(s) to be printed. (Logged By Date Tool or Search Tool). 2. Press the Print icon. (Logged By Date Tool or Search Tool). 3. The JAVS Report Wizard will open. 4. Select the Session Log radio button and press the Next button. 5. The wizard will continue to the Filter Log Options page Include Private Events: Choose this option if you wish to include those events that were marked as Private. Include Notes: Choose this option if you wish to include any public notes associated with the session. Include Private Notes: Choose this option if you wish to include any private notes associated with the session. Include System Modes: AutoLog 7 creates a log entry each time a Mode is initiated. Choose this option if you wish to include those messages in the report. Include Related Sessions: Choose this option if you wish to include all session related to this session name. Report Type: The Report Type radio buttons will allow you to choose the type of report you wish to print. After selecting the type of report you wish to print: 6. Press the Next button. (If Standard or Detailed is selected, the wizard will go directly to the Session Report window). 7. If Condensed is selected, the Filter Header window will open with a list of available parties. Only those parties that are a part of the sessions or related sessions will show in the list. 30 Copyright JAVS

31 8. Choose any party or parties to be placed at the header of the report by checking the checkbox next to the party name. 9. Press the Finish button to display the Session Report window. All other parties will appear in the body of the report. 10. Checking this box will not allow all other parties to be displayed in the body of the report To print the report, press the Print icon located on the Session Report Toolbar. The Session Report window also gives you the ability export your Session File to Word, Excel or a PDF. Copyright JAVS

32 To print an exhibit list: The Exhibits choice will only be available if exhibits are a part of the session(s). 1. Select the session(s) to be printed. (Logged By Date Tool or Search Tool). 2. Press the Print icon. (Logged By Date Tool or Search Tool). 3. If Exhibit List is selected, when the Next button is pressed, the Exhibit Report Options page will open. 4. If Exhibit List is selected and the Finished button pressed, a report be generated with a list of the exhibits related to the session. 32 Copyright JAVS

33 5. If Logged Exhibit s is selected and the Finished button pressed, a report be generated with a list of logged exhibits related to the session. To print a parties list: 1. If Parties List is selected and the Next button is pressed, the Filter Groups to Print page will open. 2. This session includes both Witnesses and Judges. Select the Witness and Judge check boxes and press the Finish button. Copyright JAVS

34 3. The Witness and Judges Parties List Report will be generated. 4. If the Logged Parties checkbox under the Logged Party Report is checked in the Filter Groups to Print page and the Finish button is pressed, a Logged Party Report is generated. Although Judges and Witnesses are a part of this session, only witnesses were logged and are all that is included in this report. 34 Copyright JAVS

35 To print a summary log: 1. If Summary Report is selected and the Next button pressed, a Summary Report will be generated which will include a list of selected sessions and session property information for each session. Each date of sessions will be printed on a new page. 2. Whether you ve chosen Session Log or Summary Report, once in the Summary Report screen, press the Print icon located on the Session Report Toolbar. Copyright JAVS

36 Printing from the Job Data Tool Printing from the Job Data Tool is the same as printing from the Search Tool and the Logged By Date tool with one exception; you cannot choose which sessions in the list to print. Once the Job Data tool is loaded with sessions, Publisher is ready to print those sessions to hard copy. To print from the Job Data Tool: 1. Load sessions into the Job Data list. (see Adding sessions to the Job Data list). 2. Press the Print icon located on the Main Toolbar or use the menu command File>Print. 3. The JAVS Report Wizard will open. 4. Follow the JAVS Report Wizard as outlined in the Printing selected session logs section of this manual. 36 Copyright JAVS

37 Reports By Date: The File>Reports menu commands are reports by date. These commands will allow the user to search the database by date ranges and print all sessions that fall within those dates. Reports by date can print 3 styles of session logs by date as well as a summary report by date. When any of these commands are initiated, the JAVS Date Range Report Wizard will open. Here you can choose the dates you wish to print a report for. If Condensed is selected, you will get a choice of which parties you want to include in your report. If connected to a JAVS Server, the next selection will allow you to choose which courtrooms you wish to print from. Press the Finish button and the session report window will open To print the report, press the Print icon located on the Session Report Toolbar. Copyright JAVS

38 Review JAVS Publisher gives the user the ability to view the video and audio media associated with a session. The view command can be initiated from each tools individual toolbar as well as the File menu and by right clicking on any session in the Job Data list. Regardless of where the review command is initiated from the results will be the same, the Review window will open with the selected session s video and audio and its associated session log. To review a session: 1. Do one of the following: A. Select a session in the search results list and press the Review icon located on the search results toolbar. B. Select a session in the Logged By Date list and press the Review icon located on the Logged By Date toolbar. C. Select a session in the Job Data list and press the Review icon located on the Job Data toolbar. Or, right click on the selected session and choose Review. 2. Once the View Tool is initiated, the Review window will open with a loading icon. 3. Once loaded the video and log will be present. 4. Use the Playback controls to fast forward, rewind and play the video file. 38 Copyright JAVS

39 5. By holding your cursor over the blue progress bar, the cursor will change to a search cursor and allow you to shuttle the video forward and reverse by dragging your mouse left or right. 6. Click on any linked event (Blue) and the video will play from that link. 7. Adjust the volume of the playback by using the Volume Control Slider. 8. Mute the audio from the playback file using the Mute button located over the Volume Slider. 9. Adjust the volume of each channel by using the Mixer Sliders for each channel, 10. Mute any channel by pressing the round icon above each slider. It will turn red when muted. 11. When finished, press the red X on the window status bar and the Review window will close. 40 Utilities Change Password: (Edit>Change Password) The Change Password command allows the user to change their current password. Type in your current password, then your new password and confirm. When the Save button is pressed the new password has been changed. This password will not take effect until the user has logged in again. Configure Shortcuts: (View>Configure Shortcuts) JAVS Publisher 7 gives the user the ability to map the keyboard with shortcuts for their most used commands with user configurable hotkeys. Once configured, the programmed keys will be saved for each Publisher 7 user. The Configure Shortcuts command is accessible through the View menu item. To configure keyboard shortcuts: 1. 41 3. Due to Publisher 7 using common commands throughout the interface, the Configure shortcuts window is categorized into 2 tools. Each category has a tree structure with related commands for that tool. The Commands tree will display all commands from the main menus. The Logged By Date tree will display commands from the Logged By Date Tool. 4. Open any tree structure you want to configure shortcuts for. 5. Select any command in the tree structure you want to create a shortcut. 6. Use the Shortcut pull down to select a keyboard command. 7. You can use the Reset button to set all commands to None. 8. Select the Close button and your keyboard shortcut is configured. Copyright JAVS

42 Layouts: (View>Layouts) The View Layouts command will allow the user to define their on way of laying windows and tools in Publisher 7. These layouts can be saved and recalled for later use, depending on your particular session function at the time. Once the windows have been re-positioned, use the View>Save Layout command to personalize your specific layout. Once saved, the layout will appear in the menu item View>Layouts and can be recalled at anytime. Note: When saving a layout you can save over a pre-existing layout. Caution, there is no confirmation for overwriting a layout. Scheduler 7.1 has added a Delete Layouts feature which will allow the user to delete any user created layout. 1. Remove any layout by selecting View>Delete Layouts. 2. The delete Layouts window will open. 3. Select any layout in the list and press the Delete button. 4. When finished, press the Close button. 5. To return to the Default Layout, select the menu item View>Layouts>Default or use the keyboard shortcut of CTL-SHFT-L 42 Copyright JAVS

43 Undockable Windows Publisher 7 allows the user to arrange the tool windows or tabs to any layout you choose. By selecting the particular windows header bar or tab, the window can be pulled from its current location and placed in another location. Double clicking the header or tab will also undock that window to the previously positioned location or upper left of the screen if it has never been moved. There are two methods for moving and sizing windows: Docked Method: The docked method will allow you to use the docking controls to lock a window into place once it has been moved. By selecting the window header or tab, move the window to the area of the screen you want and roll over the docking controls. The controls will allow you to go left, right, up or down and a highlighted area will appear indicating where the window will be positioned. If you position over the center of the docking control, the window will be placed as a tab in that particular window. The windows can be resized by holding the mouse pointer over the edge of a window until the pointer turns into a resize cursor. Click and drag to the size you want. Undocked method: The undocked method will allow the user to move a tool window or tab to any position on the screen and be free floating. By selecting the window header or tab, move the window to the area of the screen you want and release the mouse, the window has been repositioned. NOTE: Double-clicking on a window header will re-dock the window to the last docked position. Conversely, double-clicking on a docked window header will place it in the last free floating position. 44 Show/Hide Columns The Show/Hide Columns function will allow the user to view any available information column associated with a session. This tool is found on the Logged By Date toolbar and the Search Results toolbar and works the same in both instances. To show or hide columns: 1. Select the Show/Hide Columns icon. 2. The Show/Hide Columns window will open. 3. Check or un-check the columns you wish to see and press OK. The Auto Fit Columns checkbox, if checked, will try to fit all columns into the current view without using a scrollbar to view all the columns. Example: Auto Fit Off with multiple columns. A scroll bar is provided to scroll to each column. Auto Fit On with the same columns, No scroll bar is available and the columns are compressed to fit on screen. Note: Auto Fit Columns is best used with a minimum number of columns. If columns have large amounts of information, the Auto Fit Columns tend to compress the information to fit on screen. 44 Copyright JAVS

45 Menu Items File Menu: The File menu contains commands for printing, reports by date, publish the job data list, review a selected session and Login to the application. You can also exit the application from this menu. Edit Menu: The Edit menu contains commands for removing sessions from the Job Data List. The Change Password command will allow the user to change their password. View Menu: The View menu contains commands for the way you work, with the ability to change, save and delete the layout of the application. You can also access the Configure Shortcuts command for setting up your personal keyboard commands. Tools Menu: Currently the Tools menu contains the Logged By Date toolbar commands. These commands will be active even if you are selected to the Search tab. Help Menu: The Help Menu Item will give you information about Publisher 7 and will give you access to the Publisher 7 users manual. The View Error Log command will allow you to relay important information to JAVS technicians about system errors. Copyright JAVS

46 Appendix-A Activation The JAVS software set requires that each user activate the software before it can be used. There are three ways to activate the software; Online Activation, Phone Activation and a 15 day trial period. The first time Publisher 7 is launched an activation message will appear with three choices. Online Activation Select Online Activation and press Next. Enter the Serial Number and Password provided on the Installation CD. Observe case sensitivity. 46 Copyright JAVS

47 After entering the Password and Serial Number press the Finish button and the JAVS Publisher 7 login screen will appear. Type in your user name and password and Publisher is ready to use. Phone Activation Select Phone Activation and press Next. Copyright JAVS

48 A contact screen will appear with the JAVS help desk phone number. Contact the JAVS help desk with the number provided, and give the Pin Number to the help desk technician. The JAVS help desk will then provide you with the appropriate activation code for your particular system. Type this number in the Activation Code field and press Finish. All numbers are case sensitive. The JAVS Publisher 7 login screen will appear. Type in your user name and password and Publisher is ready to use. 48 Copyright JAVS

49 15 Day Trial Period Select the Run Trial and press the Next button. You will get a message indicating how many days are left on your trial period. Press OK and the JAVS Publisher 7 login screen will appear. Type in your User Name and Password and Publisher is ready to use. Copyright JAVS

50 Appendix B Review with Post Logging The Review with Post Logging command can be initiated from two places, the Logged By Date Tool and the Search Tool. Once Initiated, the Review window for that session will open. The Review window will allow you to edit the session log after the session is complete. You can add, create and delete session log entries as well as view the video in sync with the session log. The Review window gives you motion control commands for the video playback session file which include Play, Fast Forward and Rewind. Mute and Volume controls as well as individual Sliders and Audio Indicators are also provided. Quick Event lists are provided for post logging. 50 Copyright JAVS

51 To edit the Session Log: 1. Select an event from the log that you wish to edit. 2. Press the Edit icon located on the Edit Session Log toolbar. The Log Event window for that event will open. 3. Change the Event Text by typing directly in the Text field. 4. Change the Event Time by selecting the proper H:M:S in the Time field and use the up/down arrows to change the time. This time can be set from the beginning of the session to the current time. 5. Use the Type radio buttons to set the event to Public or Private. Copyright JAVS

52 6. Press the Add Note button to add any note(s) you wish to attach to the event. 7. Use the Delete Note button to remove any notes you do not want associated with the event. 8. Type in your note and determine if the note is to be Public or Private by using the Public/Private radio buttons in the Notes window. 9. When finished, press the Save button. 10. 53 Delete To delete an event from the Edit Session Log window: 1. Select an event from the log you wish to delete. 2. Press the Delete icon located on the Edit Session Log toolbar. 3. A Delete Confirmation screen will appear. 4. Select Yes and the event is removed from the log. Copyright JAVS

54 New Log Event: The New Log Event command is used for quick entry of an event that needs to have custom text in the event. The New Log Event command is accessed through an icon located on the Log Toolbar. Select a time position by positioning the Seek Bar (this will be the time position of your new event), the Log Event window will open with focus on the Text field. Type in the event text and select whether the event will be Public or Private. You can add a note to the event by pressing the Add Note button. Press the Save button. 55 New Note: The New Note command is used for quick entry of notes and has a default label of Session Note Entry. The New Note command is accessed through an icon located on the Toolbar. Select a time position by positioning the Seek Bar (this will be the time position of your new note), the Log Event window will open with focus on the Text field. Type in your note and select whether the event and the note will be Public or Private. Press the Save button and the New Note entry will appear in the log display with the associated note in the notes column. Note: The Text field and the Time fields can also be changed. You can also perform post logging to the session by entering quick events just as you did when the session was in progress. Select a time position by positioning the Seek Bar (this will be the time position of your new note). Select and double click on any quick events from any quick events menu.
