Mailbox Directory. Here you see your Virtual Office and each Extension. To change the options on any mailbox, click Select For example, To make changes to Ext 1, click on Select to the right of that extension to open the edit features. The next screen you will see is the Ext 1 setup page.
To change your phone passcode, Web Access passcode, Login Digit, Time Zone and Dial by Name Directory, click Administration. To access other features, click the Advanced Settings button for the drop down menu. Web Passcode Phone Passcode Login Digit Time Zone Dial by Name To see a list of all greetings in your Virtual Office, click Greetings under Account Settings. No changes can be made on this page.
To add, change or remove your Follow-Me Number, which forwards calls to you, or notification number, which is the number the system will call to play your messages to you, or to enter a pager number, Click Phone Numbers under Account Settings on the left side of the page. Depending on your Virtual Office original programming, there are 3 sections you can make changes to. 1. To have calls forwarded to you, enter your cell, home or office number in the Transfer Number box. 2. You can also enter up to 8 additional numbers in the Find Me Numbers boxes. Note: This should be used sparingly as callers will hang up if they are kept on hold too long. 3. To be Notified that you have received a message, enter your cell, home or office number in the Notifications Numbers or Pager Number boxes. When done click Submit Changes to save your work.
To activate your Follow Me feature, click Find Me under Mailbox Settings. Click Get Steps to open the Numbers Menu, click on Edit, on the right bottom corner to activate the number you want the system to call. Leave Greeting 11 unchanged. Get Steps Edit Get Steps If you don t want calls transferred to you 24/7, click Edit to set the start and stop times. Next, you will see the following drop down screen. Click on the Voice # Drop down list. You ll see the numbers that you entered on the Notifications screen. choose the number you would like the system to call. You may also select the number of rings before the caller is sent to voice mail if you don t answer. Give yourself enough time to answer the phone, but not too long or your caller will hang up. Note: If you check Accept Reject Option, the system will give you the choice of taking the call or sending it to voice mail.
To manage your Caller ID Blocking click on Caller ID Blocking in the left side under Account Settings to open the following page. On this screen you may use any of the features at your discretion. Blocked phone numbers will not be accepted by your virtual office. To set up a call block list, enter the phone number in the Enter New Caller ID List field then click on add to List, you may enter as many numbers as you would like in this field, adding and removing numbers as you please.
To change the number of rings before your Virtual Office answers, Toll-Saver, Language and Music on Hold, click Answer Functionality under Mailbox Settings to open the following page. Answer on Ring # Toll Saver Language (Note: additional languages will be added soon.) Music on Hold Your Action Greeting Definitions: Answer on Ring: The number of rings the caller will hear before the system answers the call. Toll Saver: If you have NO new messages, you ll hear one ring before the system answers. You can hang up immediately. When you DO have new messages, your Virtual Office will answer before it rings.
Action Greeting: This is the greeting that is heard when a caller dials in or is transferred to an extension. If you are set up with a blind transfer (meaning no greeting) then please leave greeting 1000 in this field. Greeting 1000 is a short ring (one ring) before a caller is transferred to a cell or home number and will also give you time to press your login digit to enable you to enter the mailbox to make changes. If you would like a greeting before the caller is transferred out or give the caller instructions to leave a message then change the greeting to 10 (please refer to the section greetings to see a list of what is available). If you have selected greeting 10 then please make sure you login into that mail box and recorded your out going message on greeting 10 or you will get a prompt saying this greeting has not been recorded when callers dial into this box. To Enable Notification and Email changes click Notification on the left side of the page under Mailbox Settings. To enable email delivery of your voicemail and fax messages, place a check in the Notifications Enabled field then enter your email address in the two email address boxes.
