User Guide for OSM users to Record Youth Data on the TSA Template to be Used for Uploading Youth Data to Compass This is a user guide for OSM users on how to copy youth data exported from OSM into the TSA Youth Data Template so that it is ready for uploading to Compass when you are notified to do so. This user guide and template are updated and maintained on the Compass User Guides website please make sure you always use the latest versions. 1. Background An agreement has been reached between TSA and OSM to allow for a once off transfer of youth data from OSM to Compass. What it boils down to is that OSM will enable its customers to map the youth data they hold in OSM to the same fields used in the TSA youth data upload template and then export the data in CSV format. In order for this exported data to be uploaded to Compass it needs to be copied from the CSV file and pasted to the TSA template to ensure it is in exactly the correct format. OSM will issue its customers with instructions on how to map and export their youth data to a CSV file. Please follow the instructions below to copy and paste the data in the OSM generated-csv file to the TSA Template for uploading youth data. After pasting the data into the TSA Template, OSM customers must check, and if necessary, change the data copied to the template to confirm all the data entries are in exactly same format as specified in the template (e.g. if a lookup is provided for the field, they must ensure that the data copied exactly match the format in the lookup ) and complete the missing mandatory fields before uploading it to Compass. This is the same process as everyone else using the Template for capturing data from

sources other than OSM will be doing. Because people held more data for youth members in OSM than the minimum required by the original TSA youth data upload template, we have expanded the TSA template so that as much data as is practically possible could be transferred from OSM to Compass. 2. What Areas / Counties / Regions (Scotland) using OSM should be doing now If the Section or Group is currently an OSM customer and the leader is maintaining its youth data on OSM then: 1. Keep on updating their youth data in OSM. 2. When the youth upload site is available their Area / County / Region (Scotland) will notify them that they can start uploading their youth data. 3. Follow the OSM process for preparing and exporting their data to the OSM-generated CSV file. 4. Copy their data from the OSM-generated CSV file into the TSA Template. 5. Review the data pasted into the TSA Template to ensure it is correct and that all the mandatory fields are completed correctly. 6. They should test steps 3 to 5 in advance to make sure it all works before they get ready for uploading their youth data. 7. Upload the data to Compass via the secure TSA website (detailed instructions to follow). Please remember that because the fields in the template are mapped to the corresponding fields in Compass, you CANNOT: a. In the membership number column (Column A) enter any number other than the membership number for the youth member as they were registered in MMS and migrated to Compass. If the youth member was never in MMS and have not been migrated to Compass please leave this column blank. b. Record data for youths with different roles (Beaver-scout, Cub-scout, Scout, Explorer Scout) in the same template. All the youth members in a given spreadsheet must be of the same role and must be correct for the type of section e.g. Beaver-scouts for a Beaver section. c. Add / delete any rows to the 2 rows used for the headers.

d. Add / insert new columns. e. Move columns around. f. Leave blank rows between the Heading and the first youth data row and between youth records. g. Change the format of any of the fields. h. Add or change the order of the sheets in the spreadsheet. i. Enter details for a parent e.g. email, or telephone number without adding the name and the surname of the parent. Such data will simply be ignored because there will be no record in Compass to store those details again. j. Exceed 100 characters in the fields for Dietary Needs and Medical Information the import program will simply truncate the entry at 100 characters. You MUST: k. Remove any password protection from the template before uploading it to Compass. l. Make sure that leading zeroes for telephone numbers are present. m. Make sure all dates are in format specified for the TSA template. n. Make sure that there are no data or characters in any of the lines below the last youth person s record. If there are the upload program will think it is a new record and try to upload that record which will make the upload fail. o. If you want parents to be be able to register as Compass USERS, add their date of birth (columns AC and AP). Date of Birth is NOT an editable field in Compass so if you do not add here and have it uploaded in Compass you will not be able to add it later. It can then only be done by HQ administrators. When copying data from the CSV file with data exported from OSM, please make sure you follow the instructions for copying and pasting data from the CSV file to the TSA template EXACTLY as provided in the guidelines below. 3. Detailed Instructions for recording youth

data on the TSA template 1. A fundamental principle Please keep in mind that the entire process is designed for a SINGLE template to be completed PER section. Uploading of the data to Compass will be done PER section even if the data for several sections are recorded by the same person say at Group level. In that case they will upload the data for one section after the other one at a time. So you must complete and maintain a separate youth data upload template (Excel file) for each section and it should contain the youth data for that section only. 2. The data to be recorded for a youth member fall into four groupings, namely: a. Youth Member Core Data: Columns A X on the template. b. Data for Parent 1: Columns Y AK on the template. This is in Compass terminology the Designated Parent in other words the parent/guardian to whom all communications will be sent to if the young person is 14 years or younger. When they are older than 14 years then all communications will be sent to this parent/guardian in addition to the young person. c. Data for Parent 2: Columns AL AX on the template. Compass allows for more than two parents but the details for additional parents can be added in Compass once you are live on Compass. PLEASE NOTE entering data for a second Parent is NOT mandatory. HOWEVER if you decide to start adding data for a second parent then all the data fields marked as mandatory will have to be completed for the second parent. d. Youth Member Additional Data: Columns AY BR on the template. 3. The data in each grouping has different levels of being mandatory this is shown by the colour coding of the Column headings of the TSA template, i.e.: a. ** If the column heading box is coloured magenta (and the text is marked with two **) it indicates a mandatory field. In other words the data will NOT be allowed to be uploaded into Compass UNLESS all the cells in these columns are completed with valid entries. b. * If the column heading box is coloured amber (and the text is marked with one *) it indicates that it is a mandatory field in Compass. So you WILL be allowed to upload data to Compass WITHOUT completing these fields. However, when someone

edits the record for this youth member in Compass they will be forced to complete these fields before being allowed to save their data. So we strongly recommend that you do record and upload this data. c. If the column heading box is coloured green it indicates a non-mandatory field in Compass. You need NOT complete these fields before uploading data to Compass nor will someone editing the record for a youth member in Compass be forced to complete these fields before being allowed to save their data. 4. Finally, the data entries into each column fall into two categories, namely: a. When the word look-up appears in a column heading (any colour) it means ONLY pre-selected values are allowed as entries in these columns. During the upload process the values in these columns will be checked and will be rejected if it contains a value other than what was selected from the look-up. When you click on a cell in a look-up column it will display with a down arrow on the right-hand edge of the cell. If you click on the down arrow it will display a of values you can select from. Click on the appropriate item in the and it will enter that value in the cell. b. In the case of columns of any colour but without the word look-up in them the user should simply type in the correct data. 5. Avoid duplication only record the details of a youth member on a template once If there is already youth data in the section you want to upload data for (either migrated from MMS or manually entered into Compass) the upload process will simply add the uploaded youth members to the ones already there. If you want to re-upload data for members already in the section then you must enter their existing membership numbers in the first column of the template. The upload / import to

Compass process will then merge these records taking the uploaded data as the correct data. In the case of Explorer Scouts who are also a member of a Young Leader unit the situation is that in order to be a Young Leader they must in the first instance be an Explorer Scout in an Explorer Scout section. So please only record their data with the relevant Explorer Scout section. Once the data is in Compass they can easily be assigned the additional role as Young Leader assigned to the correct Young Leader unit. 6. Instructions for copying and pasting data from another spreadsheet to the new template As explained above, the look-up functionality in Excel is used to allow the recording of only pre-defined data in several columns in the template. For example you should not type in Cub Scout in the role column you should select the correct role form the drop-down which appears when you click on the down arrow to the right of the field. However, the look-up function can be over-written if you are not careful when copying and pasting data from another (source) spreadsheet into the template (destination). Please follow the instructions below when copying and pasting data from another spreadsheet/csv-file to the template. PLEASE NOTE: ONLY COPY AND PASTE THE DATA ROWS FROM THE CSV FILE TO THE TEMPLATE. DO NOT COPY AND PAST THE HEADER ROWS. a. Open the CSV file and select Copy b. Select the range of cells (e.g.) rows containing youth member records from the CSV file / the source spreadsheet and copy them.

c. Then go to the destination spreadsheet the TSA template, and position your curser in the cell that should be the starting point from where copying should start and select Paste Special from the menu that displays when clicking on the down arrow below the Paste icon. d. On this menu select the values option and click OK. This ensures only the data is copied and that the look-up formula in the destination spreadsheet (TSA Template) is not over-written. e. Then save the file. Depending on which version of Excel you have on your computer you may get this warning message for Microsoft Excel Please ignore it by selecting Continue.

PLEASE NOTE: When you copy and paste using this procedure the data from the source spreadsheet (OSM CSV export) will be transferred to the destination spreadsheet (TSA template) without consideration of the values allowed by the look-up. So unless the data in the source spreadsheet (OSM CSV file) already exactly matches what is in the look-up in the TSA template (including upper and lower case) then you would still have to make sure the values in the look-up column are correct by selecting them using the look-up function. For example the lookup in the TSA template has the value Beaver Scout. If the youth role in the OSM exported CSV says Beaver than that value will be transferred to the TSA Template by the copy and paste action. However Beaver is not an accepted value it must be Beaver Scout So the user will have to change all the values in that column to Beaver Scout using the lookup function. 7. Please make sure the data in the date columns is in the correct format: a. The date format in the spreadsheet has been set to be dd/mm/yyyy. When you copy data to the date field please make sure the format remains in the dd/mm/yyyy format. b. The columns holding telephone numbers are formatted as text fields because number fields will cause leading zeroes in telephone numbers to be dropped. Please check all telephone numbers and add the leading zeroes if they were dropped. 8. Complete their details and let the deduplication process deal with it when the data is uploaded.

Leave out the parents details in the template but then complete it subsequently in Compass in which case the deduplication process should pick up the fact the person has already a record in Compass.
