Testing Your Computer Set Up To test your Audio and Microphone, use the Windows test. This is located under Windows Control Panel. To access the test go to START Control Panel. Select the Sound and Audio Devices option This will open the Sounds and Audio Devices Properties dialog box. Version 3 3

Select ext, the test will start to load Once the test loads, follow the instructions Click next to complete the test. If the test fails you will need to review your computer manual or visit your computer manufacturers support web site. Testing Your Browser Set Up To ensure our whiteboard system works with your browser, you can run a test that can be found on the WEBEX web page (our system partner). Select test your system. This will produce a report on your browser. If you need to make changes to your browser set up please follow the instructions on your browser help pages. Booking A Tutor Session Select Schedule a session on your account page You can select a previous tutor from the list Version 3 7

Signing On To Tutor Sessions A session can be joined through your account page on TutorVista. Log on to your TutorVista account. 15 minuets before your session is due to start, you will be able to join by clicking on the session link on your account page If the link does not appear, check your email account. You can join by clicking the link in the invitation email that will arrive 15 minuets prior to the session By clicking on the link to the session you will be taken to the sign-in screen in your web browser. Press Join Now on the next screen Enter your Name and Email address details and select OK. Version 3 9

Using The Tutoring Software (WebEx) The Webex software will load automatically. This will take about 3 mins. Once the WebEx meeting window has loaded you will be invited to join the Internet Phone session for the tutorial. Select YES. If you have a headset and microphone. You should now be able to hear the tutor and speak to them through your microphone. If you cannot hear the tutor or they cannot hear you, please follow the instructions for setting up WebEx for Voice and Audio below. Setting Up WebEx For Voice And Audio You need to set up your computer for a headset and microphone, or speaker and microphone combination. Ensure your equipment is connected to your computer then: Select Communicate from the menu bar. You need to disconnect the Internet Phone, By selecting Internet Phone and Leave Internet Call. Then select the Audio Setup Wizard. Version 3 10

The wizard will take you through the steps to set up your sound and microphone for use with the WebEx system. It will also ask you to select the setup you have. If you are using the Desktop Or Laptop speakers option, please remember to press CTRL on your keyboard when you wish to speak to the Tutor. YOU MUST RECO ECT TO THE I TER ET PHO E AFTER YOU HAVE SET UP YOUR AUDIO Once you have reconnected to the Internet phone, the microphone next to your name in the Participants window should be grey. If the microphone is white, write a message in the chat window to ask the tutor to put your microphone on. Version 3 11

You will also have the control box for your speakers and microphone Adjust the sliders until the levels are correct for your set up. Once this is done you can move the box or close it by clicking on the X control in the top right corner. To access the control again select the Audio option in the Internet phone menu. Using the chat window Use chat to communicate with the tutor if you are not using a microphone. The chat window and entry box are in the lower right of the screen. If you cannot see them click on the chat menu bar. This will open the chat window Type messages into the chat box and select whom you wish to send them to. Click Send to send the message. Using the Whiteboard The main window contains the interactive whiteboard, whiteboard tools, and the chat window. Version 3 12

Make sure the Whiteboard tab is the active tab On the right hand side of the tool bar is the whiteboard view control This allows you to view the different whiteboards that may be used for your session. If you cannot see the information the tutor is discussing make sure you are viewing the same whiteboard. You should now see a blank whiteboard or the TutorVista logo. In the bottom left of the window is a pop up box that will allow you to resize the white board to fit the size of your screen. The whiteboard tool bar contains the icons for the tools you will be using during the tutorial session. Your tutor will demonstrate the tools during your first tutorial. Version 3 13

Pointer To indicate elements on the whiteboard. Text - allows text to be typed on to the whiteboard. Straight Line - allows lines with or without arrowheads to be drawn. Shape To pre defined shapes can be drawn. Pen Freehand drawing to in pen or marker thickness. Colour allows different colours to be chosen for tools Eraser allows individual elements to be erased, together with pointers. Recording Sessions The software allows you to record all the audio and all the whiteboard actions from the session. This is store in a file on your PC. If the menu choices are greyed out, then ask the tutor to enable the recording option via chat. Select Recorder Sessions from the Meeting menu. Then tick Record On This Computer and Record Audio from This Computer. Select Start Recording Version 3 14

Type a file name for the file into the dialogue box When the recording box appears press the RED Rec button. The box will drop to the bottom of the screen and the recording will start. To play the recording use the WebEx player. This should be loaded onto your system when you record the session.
