HOW TO COPY A COMMERCIAL LISTING FOR SALE TO COMMERCIAL LEASE LISTING OVERVIEW: If a listing for sale is also available for rent, instead of entering two separate listings in the system, you may save time and effort by entering one listing type in the system (e.g. Commercial Sale), save it, then copy the listing information and convert it to the new listing type (e.g. Commercial Lease). Once copied, only modify information that is different from the original such as MLS ID, Listing Date, Property Description etc. With the latest enhancements to CREST EDG, copying a listing is very simple. Just locate the listing stored in the system, then select the LISTING ID associated with listing in order to access the COPY LISTING function. NOTE: All user access levels except READ ONLY (RA) can copy a listing in CREST EDG TO COPY A LISTING 1. Log into CREST EDG and click on LISTINGS from the left menu. The LISTING MANAGEMENT section of the system will be displayed showing listings that are Recently Updated and Recently Viewed. You can search for the listing you intend to copy by using any of the following search options: - ADDRESS LINE 1. - MLS ID - LISTING ID - ADVANCED SEARCH TIP: Any entry into the ADDRESS LINE 1 field will provide auto-suggested listing addresses to choose from.
A. Using the LISTING ID hyperlink to access the COPY function 2. In the RECENTLY UPDATED section, click on the LISTING ID hyperlink The LISTING summary screen will be displayed. 3. Scroll to the bottom of the listing summary. You will be able to perform the following functions: Update, Copy and Print the listing 4. Click on the COPY LISTING hyperlink to begin. The listing will be opened up in an edit mode to enable changes to be made to the copied listing.
5. Change the OFFICE and LISTING TYPE, if applicable. 6. Make changes to PROPERTY TYPE, PROPERTY SUB TYPE and PROPERT STYLE, if applicable. In this example, let s copy Commercial Sale to a Commercial Lease. 7. Select COMMERCIAL LEASE 8. The following will appear. Click OK so that the listing details section will change to the listing type you are adding. 9. Make all necessary changes/additions to the PROPERTY DETAILS, if required 5. Make all necessary changes to the PROPERTY FEATURES, if required.
NOTE: After selecting the Property Features, make sure to scroll to the bottom of the features screen and click on the SAVE CHANGES button. Otherwise, all your selected property features will not be saved. Next, you can enter name, size and description of each floor, if needed. 6. In the FLOORS section, click on the ADD NEW FLOOR button. The following screen will be displayed: NOTE: After entering FLOOR NAME, LENGTH, WIDTH and DESCRIPTION information: a. Click on the green check mark -- ( ) to save the information. b. If you need to delete it, click on red x (x) c. To add more Floors, click on the ADD NEW FLOOR button You can also add information regarding any SUITES that are available for lease in the building. 7. In the SUITES section, click on the ADD NEW SUITE button. The SUITES screen will appear NOTE: After entering the SUITE information, click on the INSERT button to save the information. The saved suites(s) will be displayed a. If you need to delete it, click on red x (x) b. If you need to edit it, click on the pencil tool ( ) c. To add more Suites, click on the ADD NEW SUITES button d.
8. Next, enter the applicable LISTING DETAILS 9. Update the SALES ASSOCIATE INFORMATION, if the sales agent is different from the original listing. 10. Enter the MLS ID for the Rental Listing in the field provided in the MLS INFORMATION section. The LISTING FEATURE section: 11. Select LEASE TERM from the drop-down list 12. Select all LEASE REQUIREMENTS options. 13. Next, in the LISTING REMARKS section, edit the information from the original listing by clicking on the pencil tool. The following Listing Remark dialog box will appear in edit mode: 14. Select the LANGUAGE 15. Select the REMARK TYPE. Note: Property Description is mandatory. 16. Next type in the DESCRIPTION. a. Click on the green check mark -- ( ) to save the information.
b. If you need to delete it, click on red x (x) c. To enter additional types of remark information, just click on the ADD NEW REMARK button ADDING MEDIA TO THE LISTING The LISTING PHOTO section enables you to add/edit the following Media types: - Photos - Floor Plans - Listing Document - Video Walk Through - Local Listing Link - Virtual Tours 17. Click on the ADD PHOTO button to locate and select the photos stored on your computer. 18. Once you have located the photos, hold down your control key to select multiple photos that you intend to upload. 19. Click on the OPEN button to upload the photos into the system. The uploaded photos will be displayed. Click the X to remove a photo See TIPS below NOTE: You can Start Slideshow, change sequence by dragging and dropping photos in the order you prefer. TIPS: Use this icon to view photos in list view 20. If you intend to add any other media types, click on the named hyperlink, then select the ADD NEW MEDIA button. 21. Next enter the LANDLORD INFORMATION. 22. If applicable, enter or update the LISTING URL and OPEN HOUSE information 23. Click the SUBMIT button to save the new listing. The listing will be saved and stored in the RECENTLY UPDATED section of the system. The LISTING MANAGEMENT section of the system will be displayed showing listings that are Recently Updated and Recently Viewed. The copied listing is assigned a new Listing ID.
B. Using the ADVANCED SEARCH feature to locate and COPY a listing 1. Log into CREST EDG and click on LISTINGS from the left menu. The LISTING MANAGEMENT section of the system will be displayed showing listings that are Recently Updated and Recently Viewed. 2. From the top right-hand side of the screen, click on the ADVANCED SEARCH hyperlink 3. The LISTING SEARCH screen will be displayed. You can search for the listing you intend to copy by: - Property Location - Listing Information - Dates - Miscellaneous In this example, let s search by entering the PROPERTY LOCATION (City, State, Zip) and STATUS (Active) 4. Enter the search criteria, then click the SEARCH button. The system will produce your search results of listings that meet your search criteria as shown below. 5. From the left of the listing you intend to copy, click on the COPY LISTING action tool ( ) The Listing will open up showing all of the information associated with the listing being copied.
6. Make all necessary additions and updates to the new listing, then SUBMIT to save the listing ACTION ICONS: To Edit Listing To Edit Media To Quick Update Listing To Copy Listing
