GE s Agency Manager Submitting Resume/CV Process Guidelines Revised September, 2011

GE Agency Manager Violation of Contract Per your firm s contract with GE. Do not send resumes/cv's directly to any GE Recruiter or Hiring Manager through email. For compliance reasons, they must be submitted online through the Agency Manager portal and visible to the GE Recruiter before any discussions can begin.

GE Agency Manager - Job Posting Alert Email You will receive the following email when a job has been posted to your firm.* *VERY IMPORTANT: The only time an email alert is sent to the search firm is when the job is first posted. If the job is being re-posted (either because the original time expired or the GE Recruiter wished to assign the posting to a few additional firms), this time around the firm(s) will NOT receive an email notification. Therefore, please get into the habit of logging into the system to check for any new job posting assignments. This is the GE Recruiter who has engaged your firm. To obtain the email address of the GE Recruiter, log in to Agency Manager and search for the job and view the job details. Any questions regarding the posting, the job details, etc. should be directed to the email address found within the Job Details Page xxxxxx@xx.com

Please note: the Forgot your password? link is also the tool to RESET a password 4

GE Agency Manager - Resetting Passwords If you have forgotten your password, the following message will appear. Please use the forgot your password link to reset it, it can only be done by the USER!!! PLEASE NOTE: This same error message will display if you try to log into the system after your contract has expired with GE. If the forgot your password link does not work for you, please contact the person listed in Section 11.0 (Administration of Agreement) to inquire if GE would like to renew your contract. 5

GE Agency Manager - Searching For Jobs Posted To You SEARCH JOBS & SUBMIT CANDIDATES TAB! Click on the Search button to send you to your queue of all jobs that have been assigned to your firm. PLEASE NOTE. It is NOT necessary to enter an AutoReqID number or Keyword Search. The SEARCH button is all that is needed to show ALL jobs currently posted to you. If your search comes up with NO JOBS And you receive an email notification that a job was posted, speak to your HR Contact at the GE Business the job is posted for, and ask them to REPOST the job to you. The job may have expired. If the GE Business has asked that you submit another candidate, please tell them the posting is no longer there and ask them to REPOST it. 7

GE Agency Manager - Current Jobs Posted To You Any jobs that have been assigned to you will be here. If you believe you should have a specific job that is not listed, please contact the GE HR Person that you have been communicating with to remind them to post the job to your firm. You can: Click View jobs to review the job description, click Submit a Candidate button to directly submit a resume/cv or click Send to a Candidate to send the job description to a job seeker Click here if you would like to send the posting to your job seeker for review before submitting into the system If a specific job that you know you should have is not visible, contact your GE Recruiter directly to remind them to post it to your firm if they say they have, ask them to repost it to you because an error might have occurred when posting it the first time. 8

GE Agency Manager Sending Job Seeker Job Details If you selected Send to a candidate, this window will appear. Enter the job seeker s email address, a subject line and any personal message. Then, click the Send e-mail button. You will receive the following confirmation screen. Click OK. 9

GE Agency Manager - Viewing Job Descriptions If you selected View Jobs, the job details page will be displayed. At this point, click Submit a Candidate to submit a resume/cv. 11

Submitting a Resume/CV VERY IMPORANT!!! The TWO (2) STEPS Below MUST be completed otherwise the GE Recruiter will not receive the resume/cv Step One (Agency): Agency enters the job seeker resume/cv into the Agency Manager System Step Two (Job Seeker): Job Seeker MUST Complete the GE Hiring From The Government Questions **If the job seeker does not complete Step 2 before the job posting to your firm expires, the Resume/CV will NOT officially be submitted to the GE Database and will NOT be visible to the GE Recruiter**

GE Agency Manager Submittal Process The following slides show the resume/cv submittal screens. There are three (3) DIFFERENT OPTIONS to submit a resume/cv. Step One: Enter notes about the job seeker, if desired. This would be a good location to enter the name of the Search Firm Representative submitting the resume/cv into the system to identify the search firm with email address and phone number. It is not recommended to include a search firm Cover Page with the Resume/CV because your search firm and name is automatically attached through the Agency Manager. 13

Loading Resume/CV Into System Option 1 (Browse Load from computer) **RECOMMENDED**

Submittal Process Option 1: Browse (load from Hard Drive) RECOMMENDED WAY TO SUBMIT RESUMES/CV s Upload an electronic version from your hard drive (easiest method to load resume/cv) ** After Resume/CV is loaded Click the Continue button at the bottom of the screen. Option #1 (Recommended) Do NOT enter the firm s email address or phone number, all information must be the candidate s personal information!! Their email address is crucial to the process as the system will send an email containing a link to mandatory questions that only the job seeker will be able to answer. 15

Submittal Process Option 1: Browse (load from Hard Drive) A Quick Glance at how the resume/cv will look when it s finished loading If this does not happen you will need to make sure that your computer s POP-UP Blocker setting is turned OFF Click CONTINUE at bottom of screen 16

Submittal Process Option 1: Browse (load from Hard Drive) You will need to VERIFY the Candidate Submission Profile. ** Depending on the version that was uploaded, it should PREPOPULATE the data fields. However, if it doesn t, you will need to fill in all fields that have an asterisk (*). IT IS EXTREMELY IMPORTANT that you confirm the EMAIL address is entered correctly even if it gets populated there are times that part of the email address will get cut off so make sure it is complete and accurate. 17

Submittal Process Option 1: Browse (load from Hard Drive) The tool displays most of the Work Experience and Education. You are not required to add additional information because it is automatically captured on the uploaded resume/cv. Be sure to select the Most recent position. CLICK CONTINUE 18

They should immediately receive an email from: agencymanager@trm.brassring.com and they must answer required questions. The link sent to them may expire within a couple of days, so it is important to follow up with them immediately!!! If they do not locate the email have them check their SPAM Mail. If they still can t find it, you ll need to RESUBMIT the resume/cv and make sure the email address populated is correct before hitting submit. 21

Submittal Process Option 2: Cut or Paste Resume/CV **This requires you to type or paste text from a document into the field below*** ** Once Resume/CV is entered, click Continue at the bottom of the screen Do NOT enter the firm s email address or phone number, all information must be the candidate s personal information!! Their email address is crucial to the process as the system will send an email containing a link to mandatory questions that only the job seeker will be able to answer. 23

Submittal Process Option 2: Cut or Paste Resume/CV **This requires you to cut and paste text from a document into the field below but you will NOT have an opportunity to view what the resume/cv will look like when loaded*** ** Once Resume/CV is entered, click Continue at the bottom of the screen Choosing this option may result in poor Formatting of the final version of the resume/cv that gets sent to the GE Recruiter (not recommended) Do NOT enter the firm s email address or phone number, all information must be the candidate s personal information!! Their email address is crucial to the process as the system will send an email containing a link to mandatory questions that only the job seeker will be able to answer. 24

Submittal Process Option 3: Build A Profile You will be presented with screens to enter the information for EACH job held by the job seeker as well as the Education for the Job Seeker. This method is time consuming and not recommended. 33

STEP 2 (MANDATORY) Job Seeker s Step After you submitted a resume/cv to an open position, an automated email is sent to that individual, asking them to answer a few questions. To comply with strict government regulations, GE asks job seekers to answer questions about prior government jobs held by themselves or by household members and/or business partners. These questions are designed to identify possible conflicts of interest. To protect the individual and GE, we need to make sure these questions are answered. Failure to do so will result in the resume/cv NOT BEING OFFICIALLY SUBMITTED TO GE!

Step 2 - Job Seeker s Responsibility The job seeker will receive the following email. They are now responsible to answer the mandatory online questions, which will complete the resume/cv submission process. Please note until they answer these questions, the resume/cv will NOT be presented to the GE Job Posting. Note: Email does not come from GE, Please notify your Job Seeker of the email address they should expect to receive If Emailed NOT Received! 1) Verify you have their correct email address 2) Ask them to check their spam/junk folder for it 3) If still not able to locate the email, please RESUBMIT the resume/cv entirely and have them check again!! We can not send them the questions. You may need to use a different email address for them so they can get the questions. When they click on the hyperlink they will be presented with the mandatory questions 38

Step 2 - Job Seeker s Questions The next few pages are the mandatory online questions that job seekers will be presented with. Until these questions are answered, their resume/cv will not be presented to the job posting. Once all the questions have been answered, they will click Submit. 39

Job Seeker s Step Once the job seeker has completed answering the questions, they will click Submit If Submit is not clicked the submission will be erased from all of your tabs and the resume/cv will NOT be sent to GE. 42

Step 2 - Job Seeker s Questions The job seeker will receive this onscreen confirmation once they have submitted their answers. This completes the 2-step process and at this point in the process, their resume/cv will now be filed to the job posting. 43

Submissions In Progress Tab Job seekers in this tab have not actually been presented to the GE job posting yet because they have not answered the required questions. The search firm will need to follow-up with these candidates to make sure they have received the email which includes their individual link directing them to the questions. Have them complete the process to be filed to the job posting. If they no longer have the email, the search firm will NEED TO RESUBMIT THE RESUME/CV AGAIN. We CANNOT send them these questions they are sent from the system through the submittal process!! 48

Duplicate/Rejected Submissions

Rejected Submissions Tab The system rejected the search firm from submitting this job seeker s resume/cv because the job seeker was already in the GE Database (previously applied to a different job or jobs at GE). As long as a job seeker resides in our database, the system will reject you from submitting their resume/cv. Please work directly with your GE Recruiter (email address can be found on the job details page from your Search Tab) for the details surrounding the rejection. 50

Retracting A Submission

Retracting A Submission You have the ability to retract a resume/cv submission (e.g., submitted the wrong candidate for a particular job or the job seeker is no longer interested in this position). Go to your Active Candidates tab and hit the symbol under the Retract Submission column. 52

Retracting A Submission You will be presented with this screen. Your email address will auto populate in the Sender s email address data field. The subject line cannot be edited. VERY IMPORTANT: Please do not remove or change the default information in the message where it has the job title, job number and job seeker name. But, please enter into the message area the reason you are retracting this submission. It is very important for the recruiter to know why the resume/cv is being retracted so they can track the job seeker appropriately. When message is complete, hit Send e-mail 53
