1.0 MANDATE: Build a new Rotary Wichita website on the Wordpress platform. 1.1 PURPOSE: To provide Rotary Wichita with a fresh new website that reflects the goals and missions of the organization. 1.2 OBJECTIVES: 3 To provide a professional look and feel To make an easy to maintain website To highlight the missions and purpose of Rotary in a way that highlights membership and involvement 1.3: SUCCESS CRITERIA: Cross Browser compatible website that conforms to approved design standards. 1.4: ASSUMPTIONS Assumes that Rotary will provide all content and pictures. If stock photos are needed, High Touch will purchase the needed photos or illustrations and bill Rotary for the files. Assumes that calendar plug-in and registration plug-in meeting Rotary requirements are available. 1.5 CONSTRAINTS: Constraints include budget, Wordpress capabilities, plug-in functionality. Must be completed and launched by December 31 st 2012. 1.6 KNOWN RISKS: The calendar plug-in and registration plug-in meeting requirements may not be available. If custom development is needed to create or customize plug-in, that time is not included in the budget or schedule. 1.7 KNOWN ISSUES: No known issues at this time.
2.0 PROJECT SCOPE: 2.2 SCOPE COMPONENTS Must be ipad compatible (in horizontal mode) Built on Wordpress Include training session on how to administer Wordpress site Cross Browser compatible and tested on IE8+, Firefox 10+, Safari5+ & Google Chrome 2.2.1 PROJECT SCOPE EXCLUSIONS Does not include custom programming for registration process Does not include custom programming for event calendar 2.2.2 PROJECT SCOPE CONDITIONS Ongoing fees for subscription and use of site plug-in are not covered in the costs of this proposal. Initial costs for plug-in registration / use are covered. 2.3 OTHER DEPENDENCIES Site function will be dependent on 3 rd party components 3.0 PROJECT OVERALL PLAN 3.1 PROJECT STRATEGY / APPROACH We approach your business challenge with an equal emphasis on aesthetics, analytics, branding and engineering. 3.1.1 METHODOLOGY 4 By focusing on the following key objectives, we are able to execute our plan successfully: Planning - Visual Design Functionality Testing - Communication 3.1.2 SCOPE MANAGEMENT Any requests deemed to be outside of the stated and agreed upon scope will be handled through the change order process. High Touch will evaluate the request and its impact to time, scope and budget. The request will be documented in a change order. The client will be presented with the change order and will have the option of accepting
the change or declining the change. High Touch will implement approved change orders when prudent according to the project schedule and availability of resources. Implementation may occur after project completion in some cases. 3.1.3 QUALITY MANAGEMENT High Touch employs three levels of testing before delivery to the client: Unit testing by the developer, team testing in various browsers and 3 rd party QA testing in various browsers. We do not guarantee that the website will be bug free but we will work to address any bugs in a timely manner upon discovery. This work will be done free of charge for all bugs discovered within 30 days of site launch. 3.1.4 SCHEDULE MANAGEMENT High Touch reserves the right to change the schedule at any time. We will communicate any schedule changes via email. Any delays in delivery or communication response will constitute a schedule change to be approved by client. 3.1.5 RISK AND ISSUE MANAGEMENT We identify and plan for all known risks to the best of our ability. Should a risk or issue impact the project in a serious way, we will communicate the situation and implement a risk or issue management plan to correct the problem at hand. 3.1.6 COMMUNICATION AND REPORTING MANAGEMENT Communication re: progress will be sent to Rotary spokesperson each Monday via email. Weekly assignments will be delivered to each team member by 5pm Friday for the coming week. Team members will need to report status and progress of work assignments by 11 am on Wednesdays and Fridays using supplied format. Bring all questions to Project Manager as needed. We have an open door policy. If you don t know the answer to a question: find it by asking your team mates, researching, etc. 3.1.7 STAFFING MANAGEMENT For the purposes of this project, team members will report to Project Manager in project related matters. 3.1.8 CONFIGURATION MANAGEMENT PROCESS 5
