ProposalWeb overview ProposalWeb is a powerful tool suite that automates the assembly of proposal-ready documents into complete and compelling customer proposals. ProposalWeb is used worldwide by: HP Sales reps The HP Pre-sales community HP Proposal Bid Teams HP Channel Partners ProposalWeb is structured around country- and region-specific portals with localized and translated content ProposalWeb offers content spanning all HP Business Units: TSG, PSG and IPG. Content addresses HP products, services, solutions and corporate and general information. Choose standard Wizard content User can then choose which content to include into the proposal by using the check boxes User can preview the content by simply clicking on the description of the content User can collapse each chapter by clicking on the - symbol User can rearrange content within each chapter using the blue up and down arrows Once the content is selected enter a filename and click Next Step March 2008 HP Proposal Web Overview 12
Wizard Proposal document created A dialogue box will pop up and show the progress of the document download Once completely downloaded the screen will display the completion and the link to the word file will appear User can right click and Save As to their hard drive or can open the document User can also access any archive documents Note: All pop-up blockers need to be turned off. Assembled document The assembled document will have a cover page, cover letter, table of contents and all the content the user specified to be included Placeholders such as Customer Name, Date, Project Name, etc. will be filled in as appropriate within the text It is recommended that this document is thoroughly reviewed and added to as needed March 2008 HP Proposal Web Overview 14
Recent Changes The HP Proposal Web application recently participated to the HP DCC migration. Some changes to the boilerplate content stored on Proposal Web were necessary for DCC compliance. Executive Summary tool Allows users to create a customized Executive Summary based on factors including industry segment, project objectives and benefits of utilizing an HP solution. Customized executive summary Provide a filename and click Submit A dialogue box will pop up and show the progress of the document download Placeholders such as Customer Name, Account Representative name and business driver choices will be added to the document tailoring the content to meet the specific customer s needs. Executive summary document Once completely downloaded the screen will display the completion and the link to the word file will appear User can right click and Save As to their hard drive, open the document or e-mail the document to one or several contacts The generated document will have a letter and executive summary It is recommended that this document is thoroughly reviewed and added to as needed March 2008 HP Proposal Web Overview 19
Online Quote Editor Note: not available on all country portals The Online Quote Editor integrates Watson / SBW quotes into proposal documents Users will create a quote within Watson / SBW and then upload the document to Proposal Web via the Browse button The Online Quote Editor converts the configuration into an editable form and offers the final MS Word document for download, with or without additional boilerplates. Upload quote to ProposalWeb Type in the path and filename or use the browse button to navigate to the saved quote file on your local PC. Click on the file name and click Open Press next button to open the Online Quote Welcome page. March 2008 HP Proposal Web Overview 21
Upload quote continued Use the drop down list for your selection and the little arrow button to move forward to the Watson data page. Your data and the customer data will be displayed. The customer data is taken from the mdb file. You can insert any missing data and press the next button. March 2008 HP Proposal Web Overview 22
Editing the quote You can edit and modify the configuration such as changing product descriptions for clarity, and rearranging line items. Note that any changes made here do not impact the original quotation. Use the Edit button to change the information Use the checkbox to confirm that this line should be in the final proposal Use the arrow buttons to change the order of the information Once completed click Create. You will be asked by the system if you are sure you want to move forward. Once the system starts the modification process, you cannot return to this screen. Press ok. Proposal working area You can add boilerplates to this quotation, or leave it as a quote only proposal. The quote will be embedded in a formatted proposal file that includes a cover letter, table of contents, and signature page. You can edit the word file as needed. It is recommended to convert the final Word document into PDF format so that it cannot be further edited by anyone. March 2008 HP Proposal Web Overview 24
Adding boilerplate to a quote You may wish to attach boilerplates to a configuration. Choose add boilerplates from the Proposal Working Area. The Watson Quotefile is now part of the Wizard. E-basket functionality The Basket stores individual collections of favorite boilerplates and provides automatic updates for included documents Users can create a basket for collecting proposal-ready documents Users can delete baskets Users can switch between baskets Users can create a zip file of all the contents of a basket Users can send the contents to a wizard for automation into a proposal document Note: not available on all country portals March 2008 HP Proposal Web Overview 26
Utilizing E-baskets Use E-Baskets if you have to answer RFP s, RFQ s, or RFI s Users can easily create and switch between multiple baskets you need more than one boilerplate into a customer specific template Actual basket shows documents, descriptions and allows user to delete content as needed you have often used files (boilerplates, data sheets, presentation material) Current basket and number of items is located on the bottom of the left nav bar Users can download basket contents into a zip file or send to the wizard you have a dedicated business focus March 2008 HP Proposal Web Overview 27
Standard Search Proposal Web has standard and advanced search capabilities. The advanced search allows users to search on phrases as well as indicate the number of returned documents and search depth with in documents. March 2008 HP Proposal Web Overview 28
Finding content using standard search Tip 1: Search using one word (only looks at the title and the description) Tip 2: Root or partial root (ex. Network vs. networking) Tip 3: Specific HP words (ex. ProLiant, Care pack) Tip 4: Not found? Finding content using advanced search Full text search inside the document, not just titles & descriptions. Quantity rules: the highest count of the search word found will bring that document to the top of the results list. Can reduce the results by only searching in a specific Business Unit.
