KANBAN 1. INTRODUCTION Kanban is an application where user can able to manage their project or work or task. Like most people are using notes in boards in their office or work place. For an example assume a scenario that a person is working in a company where a product is been Designed, Developed, Tested and produced. Product which is having several modules called module A, B and C. Workers who are in designing they will mark their task status in board like Designing is done for Module A and B and C is going on. So Module A and B will be moved to the Development phase. In development phase if a module got finished then it will be moved to next phase. This will be looks like the Figure-1 Board Design Development Testing Production Module-c Module-B Module-A Module-B Figure 1 Example of Task management These task managements will be maintained by the employees when a designer finished his job then he will place the task paper to the development panel so on. So in this networking and accessibility is pretty hard thing to get so. Satori developed an application called Kanban which can be more accessible and can be used in networking environment. Kanban application in satori will be having My board where all the sections and tasks inside the sections. And a user can have n number of boards in his Kanban application. Figure 4 Satori App Center then user needs to add admins to board so that user can be able to see and edit contents of it. So if user does not having Kanban application the user needs to get the application form the Satori App Center. To get this page user need to click the Manage Apps as shown in Figure-2. Then it will take to the Satori Apps Center page where the page will show the number of applications and to select particular application user need to move mouse over the application then a button called Add to my profile. By clicking this user can have the application in which looks like figure-4 User can also open menu by using satori keyboard shortcut o then 1. Figure 3 Added application in profile
2. ROLES AND PRIVILEGES Kanban application is having two kind of roles for users in satori those are Creators Admins Where Creators are the users who creates the board and task inside it. And Creators can do the following operations Can create Boards, Sections and Tasks. Can edit the name of Boards, Sections and tasks. Can Archive the task or section or Board Can make any one as an admin. Where Admin can do all the operations which are creators can do once user gets admin rights from creator. 3. PROCESS FLOW The process flow of the Kanban application is simple. Which includes creations of board, section and Task then managing admin. Process flow of Kanban application can be illustrate in flow diagram (Figure-5) Creating Board Creating Section Creating Tasks Managing Admin (Sharing boards with people) Figure 5 Process flow The process of Kanban starts with creating board where all other sections will be taken place then creating sections which can carry more tasks then creating task inside the sections. Finally the process ends with managing Admins which means giving full control of particular board to other users. Warning! Making other users as an admin for particular board will give access to all sections and tasks which is under the board.
4. DESCRIPTIONS a) CREATING THE BOARD Board is like a base of all sections and tasks. To create it user needs to click the Add a Board button on the top right corner of the page. As shown in Figure-6 Figure 6 Board Creation When user clicks the button Add a Board, will expand the division called Enter new board name as shown in Figure -6. Where user can able to enter the name of the board and when he finished entering the name of the board then user needs to click Submit button. When it is done user can see the created board in the My Board drop down arrow. Once Boards are been created it cannot be deleted. So make sure of it before creating a board b) CREATING THE SECTION Sections are like a place where all the tasks are been stored. To create sections user needs to click the icon from the right corner of the board which is filled with the blue color. As shown in Figure-7
Figure 7 Creating Section Above figure illustrate that sections and the attributes of sections. When user clicks the add icon then section will create and it will ask the name for the section. Inside the section a down arrow button will be there, on clicking that button will expand two options called Edit and Archive where edit will rename the section and archive will remove the section from board. c) CREATING TASKS Every section will be having the field called Add new task in this section where on clicking that will open a popup window which will be like Figure-8
Figure 8 Add a Task This pop up will be having few fields which is having Title, Description, Tags, From and to date, Resource users text fields. Where user can type respective fields in it. In this a drop down box will be there which marks the task in high, medium and low priority. Then from and to date will be having calendar input type. While including users in the resource filed is same as any other user addition process in satori. User need to select the searching user s name by e-mail id or by name and then user need to type the respective name in the text field. Then user needs to press this icon to search user name. If system can able to find user name which user typed in input box will be displayed in bottom of the page like shown in Figure-8. Then user need to select this icon to add the user. Finally submitting the pop up will add the task in the section. User can add n number of tasks in a section. In tasks edit button will allow user to edit all the content of task unlike the section s edit. d) DRAGGING TASKS OR SECTION. Kanban application is giving users a very convenient feature which can make users to feel like user friendly that is section and tasks can be moved all around the board. As like shown in Figure-9
Figure 9 Dragging Sections By clicking and holding the section then dragging can move the section around the board. And tasks are also can be moved around anywhere which include section to sections. As shown in Figure-10. Figure 10 Moving task to one section to another Just like moving sections task are also can be moved around anywhere in board but task can be placed only with in the section
e) MANAGING ADMINS Managing admins are kind of sharing the task to other users and letting them to edit or change the content. In order to change add admins user needs to move mouse pointer over the board name and it will reveals the two options under that which are Edit and Manage Admins where clicking manage admins will expand a division which will be like Figure-11 Figure 11 Adding Admins Adding admins are also like adding resources in the task. User need to select the searching user s name by e-mail id or by name and then user need to type the respective name in the text field. Then user needs to press this icon to search user name. If system can able to find user name which user typed in input box will be displayed in bottom of the page like shown in Figure-8. Then user need to select this icon to add the user. Then submitting will add the user as an admin. And the user who was added as an admin ca able to see that board in Boards shared with me division in the My Board drop down menu.
5. FREQUENTLY ASKED QUESTIONS Can I delete a Board? No, Boards in Kanban cannot be deleted. How can I edit a task? By clicking the down arrow will open a menu which contain Edit in it. By clicking edit user can able to edit task. How to remove admin from the board? By clicking Manage Admin from my board menu user can see already added admins in list. Just clicking cross button on respective user name will remove user from Admin rights. Can I delete a task? You cannot delete a task but you can Archive a task which will remove task from board If I gives an admin rights to a particular user then will he be able to see all the task in it? Yes, If you have given an admin rights to a person then that person could able to see all the task and sections which are there in that board Can I see who shared a board with me? No, You can not. Can I delete admin at any time? Yes, Creator of Board can delete any admin at any time. What is the defference between Admin and Creator? Creator can remove admin from a board but Admin cannot remove creator from a board.
