What if I am working in another screen and just need to get the student s birth date, parent name, etc This will create a copy of the window, but will allow you to move to another screen while the original window you had open stays on the screen you were working on. This icon appears on the recent places drop down screen and in favorites. You can use it anywhere you see it to create a new window instead of moving to the new place and out of where you currently are. NOTE: You will need to BACK and EXIT out of the new screen to close it. It s 1:00, where is the student right now? schedule. FAVORITES Click the Star on the desired screen to ADD to favorites. Creates a shortcut to screens you go to frequently, similar to Favorites in a web browser. Can open in New Window Edit list of favorites Update the name of the favorite (especially when it refers to a report screen) DATA MINING REPORT FAVORITES Helps to find frequently used reports quickly Display My Favorites Only Setting in Preferences allows o Open in New Window to edit report template o Print directly from the Favorites screen BACK, FORWARD AND RECENT PLACES Use these arrows to quickly move around to areas you have been recently. Left pointing arrow where you were last and will continue taking you backward. Right pointing arrow takes you forward (if you clicked the left arrow to go back) The middle bar with the down pointing triangle will show you your recently visited screens. Something needs your Attention Some job tasks require approvals and processing by campus personnel. If this alert appears on your screen, you may have a task that needs your attention. Click the icon to review the tasks. Examples would be: Teacher have requested grades changes to be made after the posting window has closed Counselors need to approve Guardian has sent a change request through Family access that needs to be approved There are NEW Enrollment applications that need to be processed. Software Notes Here you can add your own personal notations or reminders about the software. This is not a place for notes about students. Take a picture If you have having trouble with a report or need to share a report template set up, you can take a picture of your screen by clicking this camera icon. I don t need all these tabs! In Student Profile you can customize your Tabs Click tabs at the top of the screen above the list of You can uncheck tabs you do not wish to see. You can move tabs up and down in the list to better suit your work flow. NEW: Customize Special Programs Click the button o Works the same as Customize Tabs. In Student Browse, expand the first student in your list and click the link. This will allow you to move and hide the listed items in the list. Once you change it for one, it will be changed for all others. WEB: EXTRA INFORMATION You can change the EXTRA Information that you will be able to view no matter what tab you go to. What about Bob? How to find a student by First Name On the profile screen click the underlined word Student next to the look up field. Use the Phone to look up a number and find students associated with that phone number. Student Indicators Student Indicators are located in the upper right-hand corner on the Profile or next to the name in the Student Browse (check preferences if you do not see these). These icons provide quick, visual identification of important information regarding the student. The indicators appear when a record for the circumstance/program is entered into another portion of the software. (Example: The GT indicator appears when a student is enrolled into the GT program on the GT screen under Special Programs.) The plus to using these is that the teacher can view these as well on the student Profile screen in the grade book. Where is that address? Student>Student Profile>General>Address Click the Earth sign next to an address to connect to Google maps Want a quick way to update the home address? Click MOVE TO NEW HOME to move the student to a new address. Do not use the Edit Home button as you will change the address record for all current occupants and previous occupants. How can I get a list of my active students really quick?! Go to Student Browse Change the Filter to Only Active Students ( or other filter that you may have created). Click the Export button at the top right of the browse section. Click the Export button on the drop down menu. Once the Export is Complete, you will click the Download Exported File button. Then click the Open Button. In some cases the spreadsheet will open in protected view. You will need to click the Allow Editing button in order to manipulate the data. Bells and Whistles Page 10
Customizing your Student Browse Ranges (or other screens) with a Quick Filter In a browse, you can change the filter to only show a limited number of records by clicking the Quick Filter Icon. Once the filter opens, you can set ranges for any of column headings. Example here: Status is changed to A A so that only Active Students will be listed. Age is changed to a range of 17-17 so that we are only going to see Active Students who are 17. Click Apply Filter and now you will only see the students who fit inside the range you set. If you want to change this filter again, you can click the filter icon and use the resets or set additional ranges. Be sure to reset your filter to either All students or Active Students once you have completed your task so that you won t be prevented from seeing other students when needed. If you are going to use this filter from time to time, you may want to give the filter a name. To do so, click on the underlined word Filters and you see your list of filters. Quick Filters are saved here as clones of the original filter you were using. Highlight that filter and click the Edit Button. You can now give your filter a defining name for use later as shown previously. (see next page for examples) Changing the Views: By selecting a different VIEW you can see different data columns across the screen Views are related to the tabs on the Profile Screen Not all TABs are available. I can t see what I want to see on the GRADES tab. Click the underlined word, Filters and click the Add Filter button. Name your filter with a defining name. Then you can move fields or uncheck the undesired fields to customize your grade view screen. Bells and Whistles Page 12
Can I see attendance history for a student quickly? Go to the Attendance Screen Click the Filters drop down to display * All Attendance For this you will want to set your Number of Records to a high number to display all of the attendance at once. Using Quick Print Reports Favorites Many of the screens in Student Profile have a Quick Print button. This button allows a report to be run based on the information on that screen. Example: Attendance, Schedule, Student Information, etc. When you are on the screen click, the Quick Print button. Depending on the screen there may be several reports to pick from. Use the radio button to make a selection. Then use the Template Drop down to Select a template to use. You can also click the underlined word, Template to go to a list of templates where you can add or edit a template. Bells and Whistles Page 14
Name your template, choose the settings, click SAVE. Now select your new template from the list. This new template will show in your list of templates in the drop down on this Quick Print Selection Screen. (Note: You can select to Share this Template so that others will see your template on this screen.) Bells and Whistles Page 15
Click the run button to print the report. If this is a template or report that you will run often, you can click the button to Make Favorite. You will see this screen. If you have more than one, you can arrange your favorites on this screen. Click the SAVE button. This will create a new button on the screen for this specific report that you can click to run the report. It will show on ALL students not just the current student you are working on. Who changed the student s schedule? (and other changes to student data) Schedule? On the schedule screen, click the button to see schedule changes. Student Information: On the Profile screen, click the Chg. Log button. Grade Changes: Go to the Grades screen. Click the triangle to expand the class/grade record. Click the triangle to expand the Grade Changes section to see the transactions of when the grades were posted from the grade book, or changed in Student Management. Automate My Task Are there reports or processes you do over and over again? Schedule it using TASKS. (Could only be available to certain users in a district. Contact your database administrator for information.) Report can be set up the schedule to run as often as you desire. You can also set to have the resulting report emailed to yourself or others. Be careful with the reports you chose. If there is a date range in the report that you ran, the scheduled task will run based on those dates. Look for reports that can run for Today or are based on other parameters than date ranges such as failing grades, missing schedules, missing information, etc Bells and Whistles Page 26
