1 HOW TO SET UP INTERNET-BASED EMAIL ON YOUR APACHE This guide outlines the steps necessary to set up your internet-based email on your Apache. It will show you: How to access your email via Webmail How to manage email with Pocket Outlook The appendix lists the email settings for some of the major email providers in New Zealand. Pocket PC Two ways to access email You can access your internet-based email two ways on the Apache: Webmail POP3 or IMAP4 You can use your Apache to surf the web, just as you do on a PC. So you can view your email like Xtra or Hotmail - using Internet Explorer. See how on page 2. You may find it easier to use the Apache s Inbox to manage your email. Many email providers in New Zealand allow you to do this via a type of email access called POP3 or IMAP4. Instructions on how to set this up are on page 3. The information in this guide is correct as at November 2005.
2 Webmail 1. Tap Start and choose Internet 2. Enter the internet address for your email Explorer and tap the green arrow at the end of the address bar. 3. Enter your usual log-in information. 4. You will be able to view your email as you would on a PC. Tips: Save the web address of your email provider as a Favourite for quick access in the future. (Tap Menu, Add to Favourites.) You can change the orientation of the screen for easier reading. Slide the screen to the right, and it will automatically switch to landscape mode. Change the size of the text on the screen by tapping Menu, Zoom and choose from Largest to Smallest.
3 Email via POP3 or IMAP4 Note: Before you start, refer to the table in the appendix at the back of this guide, and check any special notes for your email provider. Write down the username format, server type, incoming mail server,, outgoing mail server and whether you need SMTP authentication or not. You will need these as you go through the set up process. 1. Tap Start and select Messaging. 2. Tap Menu. 3. Select Tools, then New Account.
4 4. Enter the email address of the email 5. Once the auto-configuration is complete, account you want to view and tap Next. tap Next. The Apache will try to automatically download the email connection settings. Note: If you skip the auto-configuration, you will have to enter all the incoming and outgoing mail server information manually. 6. Your name and user name may already 7. 6 12. Your set up is now complete. To view mail straight away tap Yes. If you see a message saying the server certificate is invalid, tap Yes to proceed. Note: you need to be connected to the internet to download emails.
7 FAQs If I download an email on my Apache will I still be able to read it on my computer? Yes, by default the Apache will leave a copy of the email on the server. If you find that emails are being deleted from your ISP email server and you are also viewing emails through Outlook on your computer, check that Outlook isn t configured to delete emails from the ISP server. (In Outlook, select Tools, Email Accounts, and View or change existing email accounts. Highlight the appropriate email account, click Change, More Settings, choose the Advanced tab and ensure Leave a copy of messages on the server is ticked.) I ve downloaded and read my email on my Apache. But when I download it to my computer,, I have to do it again. Why? POP3 email is a simple store-and-forward service, and it isn t possible to flag mails as read or unread or deleted. You can only do that with a more powerful service, such as IMAP4 or Exchange email. I ve sent mail from my Apache but can t find those emails in Sent Items on my PC? POP3 email is a simple service that doesn t support this function. Can I set up more than one email account? Yes, simply follow the same process again. To switch between email accounts, simply tap Menu at the bottom of the screen when you are in the Messaging screen and select Switch Accounts. My email provider offers POP3 and IMAP, what is the difference? POP3 is a simple store-and-forward service, but doesn t distinguish between your PC, your Apache or your phone. IMAP4 is managed by your mail provider and is synchronised with your device, so you always have the most recent view regardless of how you work. Can I delete an email account once I have set it up? Yes. You need to go into Menu at the bottom of the screen when you are in the Messaging screen and choose Tools, then Options. Tap and hold the stylus down on the account you want to delete and a box will appear that says Delete. Tap Delete and select Yes. That account and all its emails will be permanently deleted from your Apache. I ve entered the information about incoming and outgoing mail servers exactly as it is on the table but I still can t c connect, what can I do? The best thing to do is call your email provider to explain your issue. They should be able to help. Can I change how often the Apache checks for new email? Yes. Tap, Start, Messaging and then Tools. Tap the name of your email account then tap Next three times. On the final screen you will see an Options button. Tap the check box Connect and check for messages every: (as shown in step 9) and set how often you want your device to check for email. The default is 15 minutes, but it can be set from 1-60 minutes.
