Introduction INTRODUCTION For the 2018-2019 Program Institutional Planning Process, Rio Hondo College has replaced Rio- PlanBuilder with Taskstream. Taskstream is a cloud-based software used for strategic planning, assessment, and accreditation. Rio Hondo will centralize Annual Program Planning, Program Review, and SLO/SAO assessment in this one software solution. Accessing Taskstream Taskstream can be used on campus or off with any common internet browser (Google Chrome, Internet Explorer, Firefox, etc.). These instructions were developed using Google Chrome, when using other browsers the software may look or act slightly differently. To access Taskstream go to the Rio Hondo College IRP Website and select Planning from the menu on the left navigation area. Click on the Streamlined Planning & Evaluation logo to take to you the Taskstream sign-on page. On the Taskstream login page, use your existing Rio Hondo College Username and Password. 3
Introduction Rio Hondo College s Taskstream Home Page Rio Hondo College s Taskstream Home Page provides access to several important sections including Planning Resources, assigned Workspaces, and announcements and assistance. Planning Resources Use the hyperlink to access Planning Resources. Resources include training schedules, rubrics, and access to the data needed for Annual Program Plans and Program Review. Workspaces The Workspaces tab provides access to assigned Annual Program Plan and Program Review templates. Click a plan to begin work. Announcements and Assistance On the right side of the Taskstream Home Page you will find announcements and assistance. The Rio Hondo College Institutional Research and Planning Team (IRP) will post relevant announcements here and contact information is provided for the Taskstream Helpdesk and IRP helpline. 4
Introduction Navigating the Software To navigate through the Program Plan or Program Review template, use the menu on the lefthand side of the screen. The menu provides a guide through required sections. Each section where information is required has a subheading. Click EXPAND ALL at the top of the column or the blue + next to the heading to see subheading(s). Click on the subheading to see directions for the section. To get started on a specific section, click CHECK OUT. Then look for the button that will allow you to make changes to the item. Examples include: 5
Introduction When done with a section, click the CHECK IN button. After CHECK IN, there is an opportunity to add a comment about the revision that was made. This is optional. 6
ANNUAL PROGRAM PLAN The Annual Program Plan template includes the following sections: General Information Mission Statement SLO/SAO Data Analysis Action Plan/Resource Requests Submission Area Welcome page Mission statement of the program Program outcomes and assessments Data trends and potential effect on program Action Plan, faculty, classified, administrator, item, and project requests Submission area NOTE: If you are completing a Program Review this year, the SLO/SAO and Data Analysis sections will be hidden from the Program Plan template in order to reduce duplication. 7
Mission Statement Directions Establish a mission statement. Describe the program's purpose and what it intends to accomplish. If you already have a mission for the program, enter it in this section. Consider the following questions when creating or reviewing your mission statement: How does the program's mission relate to and support the college's mission What does the program intend to accomplish? What is the purpose of the program? Software Navigation To add a Mission Statement click the blue + next to the Mission Statement heading then click the Mission Statement sub-heading. Click CHECK OUT to edit the section. Expand the Directions to review, if needed, then the Edit button to open a text box. Enter a Mission Statement in the box provided and click SUBMIT. If changes are made to an existing Mission Statement, a prompt will appear asking if the changes should be reflected elsewhere in the Program Plan. Check all areas and click APPLY CHANGES. CHECK IN the Mission Statement section when you are done. 8
SLO/SAO Directions Consider the work in your program with respect to outcomes. Where applicable, describe how links have been established between outcomes at the course, program, general education, and institutional levels. Are all outcomes being assessed on a cyclical basis? Describe the process by which assessment results are used to improve learning and/or student services. Software Navigation To add a program SLO/SAO click the blue + next to the SLO/SAO heading then click the SLO/SAO sub-heading. Click CHECK OUT to edit the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Click on the type of media that will be added. Add the SLO/SAO in the format of your choice, click SAVE AND RETURN. CHECK IN the SLO/SAO section when you are done. 9
Data Analysis Directions For each data set, address any significant trends and their effects on the program. Based on the data analysis and your discussions, please identify areas where you have had success and those that need improvement. Software Navigation To begin Data Analysis click the blue + next to the Data Analysis heading then click the Data Analysis sub-heading. Click CHECK OUT to edit the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Click on the type of media that will be added. After Data Analysis is added, click SAVE AND RETURN. CHECK IN the Data Analysis section when you are done. 10
Action Plan Directions An action plan is a specific step taken to accomplish an institutional objective and the program s mission. In this section, please create an action and the objectives that are necessary to complete the action. You will also link each of your program objectives to the corresponding Institutional Objective that it will help to achieve. Software Navigation To start an Action Plan click the blue + next to the Action Plan/Resource Requests heading then click the Action Plan - one to two years sub-heading. Click CHECK OUT to edit the section. After CHECK OUT select from CREATE NEW SET (if this is your first visit), or SELECT EXISTING SET if you previously created an Action Plan. Replace the automatically generated Set Name with [Program] Action Plan 2018-2019. Click the box to Designate Alignment/Mapping Preference and click CONTINUE. Next, click Create New Objective under the [Program] Action Plan. 11
Use the spaces provided to name the objective and provide a description. Then click CONTINUE. Then click Add mapping. Use the dropdown to select Goal sets distributed to [Program] and click Go. Select Institutional Goals & Objectives and then click CONTINUE. 12
From the list of Institutional Goals & Objectives, select one or more Objective that correspond to your program objective and then click CONTINUE. Continue adding Program Objectives and mapping until complete. CHECK IN the Action Plan subsection when you are done. 13
Resource Request To start an Resource Request click the blue + next to the Action Plan/Resource Requests heading then click the sub-heading related to the type of request you will be making. Click CHECK OUT to edit the section. Click Select Set to indicate which Objective relates to the Resource Request being created. Click SELECT EXISTING SET. Select the [Program] Action Plan related to the Resource Request being created then click CONTINUE. Select the Objective(s) related to the Resource Request. Click ACCEPT AND RETURN TO PLAN. 14
Click Add New Action for the Objective(s) related to the Resource Request. Complete the required sections on the Action Information page and click Apply Changes. Repeat this process with all your Resource Requests. CHECK IN each section when it is complete. NOTE: At this time, no actions are needed in the Resource Request Status subsections. 15
Submission The final Annual Program Plan is submitted through Taskstream. To get started, click on the Publish tab. Select Export to PDF. Select all available options for your PDF than then click Continue. Click OK when the pop-up appears. 16
Go to the RESOURCES TOOL header and click the Exports link. Locate your Export and click Download. Return to HOME and enter the Program Plan. Go to Submit Your Plan sub-heading. CHECK OUT the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Select Attachments. Click Upload from Computer and upload the Program Plan PDF. When complete, click SAVE AND RETURN. Return to the Submit heading. Click Submit Work. 17
PROGRAM REVIEW The Program Review Template now includes the following sections: General Information Mission Statement Program Profile SLO/SAO Data Analysis Program Level Standards (Academic Programs only) Strengths, Weaknesses, & Accomplishments Retrospective Analysis Long Term Plan Submission Area Welcome page Mission statement of the program Description of the quantifiable aspects of your program Program outcomes and assessments Data trends and potential effect on program Review and adjustment of program level standards Program strengths, weaknesses, and accomplishments Review your previous data analysis The 3-5 year plan for the program Submission area 18

Program Profile Directions Please provide a description for each of the following and any other pertinent information about the program as if you were creating a program fact sheet. Office location The number of full and part-time employees o Administrators o Faculty o Classified Degrees and or certificates offered Who do you serve as a program? What services do you offer to students or employees on campus? Software Navigation To enter a Program Profile click the blue + next to the Program Profile heading then click the Program Profile sub-heading. Click CHECK OUT to edit the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Click on the type of media that will be added. Add the Program Profile data that is required then click SAVE AND RETURN. CHECK IN the Program Profile section when you are done. 20

Data Analysis Directions For each data set, address any significant trends and their effects on the program. Program Level Standards (Academic Programs Only) Directions Transfer the program level standard from your Program Plan or Program Review Plan from last year to the new Taskstream template below. Review the data provided and comment in the text box on where the program is in relation to the standard. Is it higher or lower? If the data shows a lower number, please explain why this might be taking place. Determine if the standard that was set last year was appropriate based on the data provided and change it if necessary. If it is changed, please explain why you changed the standard and what data you used to make your decision. Software Navigation To add Program Level Standards click the blue + button next to the Program Level Standards heading then click the Program Level Standards sub-heading. Click CHECK OUT to edit the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Click on the type of media that will be added. Add the Program Level Standards and click SAVE AND RETURN. CHECK IN the Program Level Standards section when you are done. 23
Strengths, Weaknesses, & Accomplishments Directions Strengths: List areas of the program that stand out as strengths. What does the program do well to benefit our students? Weaknesses: Consider areas that need improvement to strengthen the program. Accomplishments: Please list in bullet format program accomplishments over the past six years. An accomplishment is a point-in-time achievement or milestone. Software Navigation For each of the topics addressed in this section, click on the subheading, review directions, and CHECK OUT the subsection. After CHECK OUT a set of buttons will appear at the bottom of the page. Click on the type of media that will be added. Add the Strength, Weakness, or Accomplishment in the text box provided, and then click SAVE AND RETURN. CHECK IN the each subsection when you are done. 24
Retrospective Analysis Directions Please address each of the following areas for your program over the past six years. Include an analysis and evaluation for each. Professional Development Curriculum if applicable Past Goals & Objectives or action plans Changes or improvement in services if applicable Changes in scheduling Budget and funding Projects, grants, or initiatives Software Navigation To complete the Retrospective Analysis click on the blue + next to the Retrospective Analysis heading then click the Retrospective Analysis sub-heading. Click CHECK OUT to edit the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Click on the type of media that will be added. After Retrospective Analysis is added, click SAVE AND RETURN. CHECK IN the Retrospective Analysis section when you are done. 25
Long Term Plan Directions Based on information that you have presented in previous sections, trends in the program, and discussions with your plan team, describe where the program is heading over the next 3-6 years. What is the overall direction for the program and where do you see it headed in the future? Software Navigation To start the Long Term Plan section click on the blue + next to the Long Term Plan heading then click the Long Term Plan sub-heading. Click CHECK OUT to edit the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Click on the type of media that will be added. Add the Long Term Plan in the text box provided, and then click SAVE AND RETURN. CHECK IN the Long Term Plan section when you are done. 26
Submission Once your Program Review is complete and has been reviewed by all team members, it will need to be submitted through Taskstream. Submission is done by publishing your complete Program Review Plan and Annual Plan Template and then attaching it within the Submission Area. To get started, click on the Publish tab. Select Export to PDF. Select all available options for your PDF than then click Continue. 27
Click OK when the pop-up appears. Go to the RESOURCES TOOL header and click the Exports link. Locate your Export and click Download. Return to HOME and enter the Program Review. Go to Submit Your Plan sub-heading. CHECK OUT the section. After CHECK OUT a set of buttons will appear at the bottom of the page. Select Attachments. Click Upload from Computer and upload the Program Review and your Program Plan as a PDF. When complete, click SAVE AND RETURN. Return to the Submit heading. Click Submit Work. 28
