Overview Part of the 2014-02 update contained revision 3661. This revision made changes to the Security Console drop down menu items. The aim of this revision was to give Security Managers a better description to each menu item and group them together. This document covers how the previous menu items and the current menu items map to one another and to give an explanation to each menu item that is relevant to client Security Managers. 2016 Union Square Software Ltd Page 3 of 10
Mapping Previous to Current The diagram below shows how the two drop down menus map to one another. Menu items that are grouped have been shown in the same colour range (e.g. shades of orange for Document Pool items). The Access Group of Menu Items This section of the drop down menu covers access to the different parts of Union Square. This starts with Role Membership in green. Access User Role Membership This allows the Security Manager to assign or remover membership to Union Square Roles. This is an alternative method to using the check boxes found on the User Management screen. Access - Zones This has been renamed from Menu and covers access not only to the Zone tabs found at the top of Union Square when a user logs in, but also all of the menu items found under the Activity zone. Warning cascading Permissions When giving a System Security Role access to a menu item, the combination of roles a user belongs to must grant access to the group heading and the tab within the Activity Zone. E.g. Giving access to Add External Contact will only be displayed to the user if they have access to the Contact group heading, the Main tab and the Activity Zone. Access can be via any role the user belongs to. So, for example, a user that belongs to the F02 All Internal Users Role and the D11 Marketing roles could be granted access to the menu item via one role (D11 Marketing) and get access to the group heading, tab and Activity Zone via another role (F02 All Internal Users) Access Dashparts Having access to the Personal Zone does not automatically grant access to all dashparts. Dashpart access is controlled via this option and gives finer control over which roles have access to the dashparts that are required for their job role. Access Bands This grants access to the entity bands via role. Each row consists of Entity (record type) bandset (tab) band. Each band has its own set of permissions from that of read only to more complex security configurations. 2016 Union Square Software Ltd Page 5 of 10
The Document Group of Menu Items This group of menu items deals with Document Pools. It is important to note that only the first two items are required if using the Enhanced DMS. Below is a screen shot of the Enhanced DMS. Document Pool Requirements This menu item allows for entities to be added to the Document Pool requirements as either optional or mandatory. Document Pool UDF Requirements This menu item is used to configure the document pool for User Defined Fields. These are generally used for Document Pools dealing with drawings to allow for attributes such as document size, document scale or document status to be added.!! CAUTION!! Checked Out By, Excluded File Types, Included File Types, Published Date and Publisher are SYSTEM attributes and are automatically assigned during publishing or used only by Union Square. Document Pool Access This menu items allows the Document Pool security to be defined and applied.!! CAUTION!! This menu item does not apply to the Enhanced DMS. The Document Pool tab in the Admin Zone should be used instead. Document Global Entity Rights This menu item is used for advanced configuration of the Document management System.!! CAUTION!! For use by Union Square employees only. All Other Drop Down Menu Items These are for use by Union Square employees only. Any configuration made here will be specific to your installation and use of Union Square. These items will be configured during any consultation or installation of additional features, modules and functionality.!! CAUTION!! For use by Union Square employees only.
