File Preparation Adobe InDesign to PDF Document setup and file preparation Include all fonts Utilizing the proper PDF Preset (see Merrill PDF Preset for Adobe InDesign below) will embed the fonts when creating a PDF. Do not use the menu styles for fonts (italics, bold, etc.), select the proper font instead. OpenType fonts are preferred. However, OpenType extended character sets cannot be called out in variable desktop publishing. Bleed: Elements that bleed should extend.125" beyond the trim. A bleed box can be added to the page layout using File > Document Setup > More Options. Safety margin: A safety margin of.125" inside the trim is required for all elements that do not bleed (.25" is recommended). PDFs should be setup in printer s spreads, with each spread supplied as a separate file (refer to product diagrams for more detailed specs). Spot colors: Do not use spot colors when overlapping multiple elements and using transparency or opacity settings; or when layering CMYK elements with spot color elements. Do not use the Pantone Solid Uncoated library (with the spot color name suffix as U ) unless you are specifically targeting a color match to the Pantone Uncoated swatchbook. If you are intending to match the Pantone Coated swatchbook, use the C suffix from the Pantone Coated Library. Maintain consistency between spot color names in InDesign and Illustrator. Use of spot colors in Photoshop is not recommended. Any spot colors used in Photoshop should be converted to CMYK, RGB, or grayscale. Images Make all modifications to images in Photoshop rather than in InDesign. Use Photoshop for color conversions, rather than using the PDF export settings. Resize images within Photoshop and place them into InDesign at 100%. Keep all images tagged with the color profile if the image has an existing profile. In the Color section of the Save As window, if the ICC Profile box is checked, leave it checked. Merrill PDF Preset for Adobe InDesign In order to create the best PDF for print production, use a slightly modified version of InDesign s existing High Quality Print export preset. Create the Merrill PDF export preset as follows: 1. Go to File > Adobe PDF Presets > Define 2. Select High Quality Print from the list and click on New... (the High Quality Print preset cannot be altered, but by selecting it, the new preset will be based on its settings) 3. Change the Preset Name to Merrill PDF 4. Go to the Marks and Bleeds section and change the Bleed setting to 0.125" for the Top, Bottom, Left, and Right (see screenshot) 5. Click OK 6. Exporting to PDF from InDesign To export a PDF from InDesign for upload to Merrill: 1. Go to File > Adobe PDF Presets and select Merrill PDF 2. When the Export window opens, select a location for the new PDF 3. Create a name for the new PDF and click Save 4. When the Export Adobe PDF window opens, confirm that the preset setting is the Merrill PDF preset and click Export NOTE: If a pop-up window with a message about Missing Fonts appears, the fonts will need to be found before proceeding. Simply clicking OK in this window will substitute another font for the missing fonts and can create unexpected or undesired results. Tips for splitting PDFs into separate files for upload The easiest way to split the PDF is to extract the pages in Adobe Acrobat: 1. Open the PDF in Acrobat Pro 2. Go to Document > Extract Pages 3. Change the page numbers in the Extract Pages window to include the entire document 4. Check Extract Pages As Separate Files 5. Click OK 6. In the next window, select a location for the extracted pages (suggested location would be the same as the original PDF) This method adds a 1 to the file name of the first extracted page, 2 to the second extracted page, etc. Another way to split a PDF for upload is to export the PDFs from InDesign one page (one printer s spread) at a time. Similar to the export procedure described above: 1. Go to File > Adobe Presets and select Merrill PDF 2. When the Export window opens, select a location for the new PDF 3. Create a name for the new PDF and click Save. When exporting individual pages of the same file, the file name should reflect the number of the page being exported (i.e. adding _1 when exporting page one) 4. When the Export Adobe PDF window opens, confirm that the preset is Merrill PDF 5. Change the Pages setting to Range and enter the number of the page to be output (i.e. 1 ) 6. Click Export 7. Repeat the process as needed, changing the file name and page range accordingly PDF to Print File Preparation Adobe InDesign to PDF Page 1.2

Merrill PDF Output Style for QuarkXPress (versions 7-8) In order to create the best PDF for print production, use a slightly modified version of the Press - High Quality/High Resolution PDF Output Style preset. Create the Merrill PDF output style as follows: 1. Go to Edit > Output Styles... 2. Select Press - High Quality/High Resolution and click Duplicate 3. Rename the PDF Style Merrill PDF 4. In the Color section, change Setup to As Is 5. In the Marks section, set to Off 6. Click OK, then Save ** Note: A known defect exists in earlier versions of QuarkXPress 7, where changes made to Output Styles are not retained properly after the style is saved. If this problem occurs, the modifications will need to be made and/or verified each time an export to PDF is performed. PDF to Print File Preparation QuarkXPress to PDF Page 2.1

Exporting to PDF from QuarkXPress 7-8 To export a PDF from QuarkXPress 7-8 for upload to Merrill: 1. Check that all necessary fonts are available to QuarkXPress (Utilities > Usage... > Fonts). Exporting to PDF with missing fonts will result in font substitution and can create unexpected or undesired results 2. Check that PDF Workflow Preferences are set to Direct to PDF (QuarkXPress > Preferences... > PDF) 3. Go to File > Export > Layout as PDF 4. Assign a file name and location for the PDF (Default Name preferences can be changed in the same window as PDF Workflow preferences) 5. Select PDF Style Merrill PDF (or select Press - High Quality/High Resolution then click Options... and modify settings as noted above) and click Save Exporting to PDF from QuarkXPress 6.5 To export a PDF from QuarkXPress 6.5 for upload to Merrill: 1. Check that all necessary fonts are available to QuarkXPress (Utilities > Usage... > Fonts). Exporting to PDF with missing fonts will result in font substitution and can create unexpected or undesired results 2. Check that PDF Workflow Preferences are set to Direct to PDF (PC: Edit > Preferences > PDF / Mac: QuarkXPress > Preferences... > PDF) 3. Click Options... ( Default Options... on Mac), set the PDF Export Options as follows, and click OK: Layout Info: no changes are necessary Hyperlinks: set Include Hyperlinks to unchecked Job Options: (match screenshot) Output: (match screenshot) OPI: set OPI Active to unchecked 4. Go to File > Export > Layout as PDF 5. Assign a file name and location for the PDF (Default Name preferences can be changed in the same window as PDF Workflow preferences) 6. Click Save Note: The revised default settings apply to the current layout only and will have to be reset for other layouts. PDF to Print File Preparation QuarkXPress to PDF Page 2.2

Tips for splitting PDFs into separate files for upload One way to split the PDF is to extract the pages in Adobe Acrobat: 1. Open the PDF in Acrobat Pro 2. Go to Document > Extract Pages 3. Change the page numbers in the Extract Pages window to include the entire document 4. Check Extract Pages As Separate Files 5. Click OK 6. In the next window, select a location for the extracted pages (suggested location would be the same as the original PDF) This method adds a 1 to the file name of the first extracted page, 2 to the second extracted page, etc. In QuarkXPress 7-8, a file can be exported as single-page PDFs, all at the same time. Follow the same process as described above ( Exporting to PDF from QuarkXPress 7-8 ), with one additional modification to the output style: In the Pages section, check Export pages as separate PDFs This method exports each PDF with the page number included in the file name, i.e. "(Page 01)" In QuarkXPress 6.5, a file can be exported to PDF one page (one printer s spread) at a time. Follow the same procedure described above in Exporting to PDF from QuarkXPress 6.5, with a few minor changes: In the Pages box, change All to the number of the page to be output (i.e. 1 ) When assigning the file name, adjust the name to reflect the number of the page to be exported (i.e. adding _1 when exporting page one) Repeat the process as needed, changing the file name and page range accordingly PDF to Print File Preparation QuarkXPress to PDF Page 2.3

Safety Margin Frequently Asked Questions How close to the edge of the document can I set my type? All type and non-bleed artwork should be kept a minimum of.125" away from the trim edge (.25" is recommended). Can I have text and/or artwork going over the fold(s), or is the safety margin required there as well? For outside panels (viewed when the document is folded), the safety margin should be maintained around the folds the same as it is around the trim edge. For inside spreads, items may go over the fold, at the discretion of the designer. Bleed How much bleed is required? Bleeds should be extended to.125" on all sides. If my document does not contain any items that bleed, do I still need to supply my PDF with the extra.125" bleed area? Yes, all documents should be set include.125" bleed, whether or not there are any bleed elements. (See Product Dimensions section for trim and bleed sizes of specific products.) Color Can I use spot colors in my documents, or do they have to be converted to process? Spot colors in the PDF are acceptable. The output devices will handle color conversion during printing, so it is not necessary to do so when creating your PDF. However, for the devices to convert the spot colors consistently, it is best to avoid using multiple names for the same spot color (for example, Pantone 185 C and Pantone 185 CV in the same file). Do not use the Pantone Solid Uncoated library (with the spot color name suffix as U ) unless you are specifically targeting a color match to the Pantone Uncoated swatchbook. If you are intending to match the Pantone Coated swatchbook, use the C suffix from the Pantone Coated Library. Can my PDF contain both RGB and CMYK colors, or am I limited to one or the other? The PDF can contain either or both. As with spot colors, the output devices will convert as necessary during printing, so any colors that are meant to look alike when printed should be made up of the same CMYK or RGB values. Do not use spot colors when overlapping multiple elements and using transparency or opacity settings; or when layering CMYK elements with spot color elements. Fonts Do I need to convert fonts to outlines? No, as long as the fonts are embedded in the PDF, they should not be converted to outlines. If I can t embed the fonts, can I upload my PDF anyway and let Merrill do it for me? No, files uploaded for PDF to Print must be completely print-ready, which includes having all fonts embedded. Photography and Resolution What resolution is required for my images? Suggested image resolution is 300 dpi at 100% of final print size. PDFs with lower resolution images will be accepted, but the quality of the printed pieces may be severely diminished, depending on the images. Mail Panel Requirements Do the address, barcode, and indicia areas have to be left completely blank, or can they contain a light background color or screened image? The address, barcode, and indicia areas must be left completely blank. Page Layout How do I create a PDF in printer s spreads? Printer s spreads can be created through a variety of methods. Some may be more convenient than others, depending on the complexity of the design, availability of software tools, and personal preferences of the designer. The following are only a few suggestions: Create the document layout using spread-sized pages from the start i.e. for a vertical 4-page brochure, set the document Page Setup to 17" x 11" then work with the front and back cover side by side on one spread page and pages 2-3 side by side on the other spread page. Design the file in a single-page format, then either copy/paste the page items into a spread-sized document, or export the single pages to PDF and place them into the spread-sized document. Keep the native files in a single-page format, then either print directly to a spread-sized PDF using a native application tool such as Adobe InDesign s Print Booklet, or export the single pages to PDF and then print to printer s spread PDFs using a separate application such as Adobe Acrobat (booklet printing) or Kodak Preps. Can I upload single pages and have Merrill create the printer s spreads for me? Files uploaded for PDF to Print must be completely print-ready, which includes printer s spread setup for 4- and 8-page brochures. For further assistance in preparing your files for upload, please contact Customer Service: 1-800-844-7949. File Name and File Size Should the files be named according to any particular format? Use only alpha-numeric characters for files names (A-Z; a-z; 0-9); use an underscore ( _ ) between words instead of a space. Is there a limit on the file size that can be uploaded? Acceptable File Formats Can I submit native application files from programs such as InDesign or QuarkXPress? No, PDF is the only acceptable format for upload. Can I submit PDFs created using other layout applications or 3rd party PDF generators? As long as the PDF meets production requirements (proper trim size, bleed, safety margins, fonts embedded, etc.), there are no restrictions on which software can be used to create it. Even if the software being used is something other than InDesign or QuarkXPress, the guidelines for those applications ( File Preparation Adobe InDesign to PDF and File Preparation QuarkXPress to PDF ) may provide some helpful information regarding Merrill s standards for PDF to Print. Checking Your Document How can I check my PDF to make sure it meets Merrill standards before I upload? Compare the file for upload to the appropriate Product Dimensions page to check file dimensions, document dimensions, safety margins and any other page layout requirements. In the native application file (prior to exporting to PDF), make sure that there are no missing fonts and that all images are properly linked. This can be done through the Preflight panel in Adobe InDesign and the Usage panel in QuarkXPress. Once the PDF has been created, Adobe Acrobat s own Preflight tool can also be used to check for general problems in the document, including unembedded fonts Where to Go for Help Who should I contact with other questions about preparing my files? Glossary Some common print production terms, and how they are used in the context of this guide: barcode (postal barcode) An optical machine-readable representation of data. Direct mail pieces are often addressed using a postal barcode that corresponds to the ZIP code of the addressee, and requires a certain amount of space left for it in the mail panel. bleed (bleed box, bleed size) Extension of design elements beyond the trim edge, done to ensure that items extend all the way to the edge of the final printed piece once it is trimmed. Creating a PDF with proper bleed requires not only adding bleed to individual items on a page, but also including the bleed area when exporting. CMYK (Cyan, Magenta, Yellow, Black) The subtractive process colors used in color printing. Black (K) is added to enhance color and contrast. color profile (ICC profile) A set of data that characterizes a color input or output device, or a color space. Profiles describe the color attributes of a particular device or viewing requirement by defining a mapping between the device source or target color space and a profile connection space (PCS). document dimensions For PDF to Print purposes, the final trim size of a piece. The document Page Size in Adobe InDesign or QuarkXPress, and the PDF s Trim Box in Adobe Acrobat should match the product s specified document dimensions. embedded fonts Fonts that are included in a PDF, enabling the PDF to display and print properly whether or not the fonts are available on any given system. A font can be embedded completely, where information for the entire set of characters is kept in the PDF, or embedded as a subset, maintaining only the information necessary for the characters that are used in the document. Note: some fonts cannot be embedded, because the font manufacturer has included information in the font that prevents embedding. export (export to PDF) Create a PDF directly from the layout application, instead of using the Print command or saving the document as a postscript file. file dimensions For PDF to Print purposes, the overall page size of a PDF, including the bleed area. In Adobe Acrobat, the PDF s Media Box, Crop Box, and Bleed Box should all match the product s specified file dimensions. finished size The final size of a printed page after excess edges have been cut off. flat size The size of a printed product after printing and trimming but before any finishing operations that affect its size, such as folding. grayscale An application of black ink (for print) or the color black (for the screen) that simulates a range of tones. Grayscale images have no hue (color). In print design, a grayscale graphic image appears to be black, white, and shades of gray, but it only uses a single color ink. hyperlink More commonly called a link, a hot spot area that takes the user to another location when clicked. This location may be somewhere on the same page, another page, in another document, or even an external website. indicia Marking on a mail piece showing that postage has been paid by the sender. OpenType fonts A scalable format for computer fonts that has cross-platform capability. The single font file will work on both Mac and Windows systems. Some OpenType fonts include expanded character sets and special features like automatic ligatures and alternate glyphs. OPI Open Pre-Press Interface. Lets you selectively omit different imported graphics types when sending image data to a printer or file, leaving only the OPI links (comments) for later handling by an OPI server. Files uploaded for PDF to Print cannot use OPI. preset (PDF preset, output style preset) A defined group of settings to be recalled when exporting a PDF. Some presets are defined by industry or application standards and cannot be altered, but they can be used as a base for creating additional customized presets. These settings are designed to balance file size with quality, depending on how the PDF will be used. printer s spread a combination of two (or more) pages laid out as they would appear on individual printed sheets, before the job is assembled. resolution (image resolution) In electronic imaging, the quantification of printout quality using the number of spots per inch. RGB Red/Green/Blue. The primary additive colors used in display devices and scanners. Commonly used to refer to the color space, mixing system or monitor in color computer graphics. safety margin Safety margins refer to the zone between text and graphics that are not meant to be trimmed. Safety margin zones typically range from.0625" (1/16") to.25" (1/4") depending on the printer. A design that uses a wider safety margin (.25") will accommodate more printers across the board while preserving the integrity of your design. spot color In offset printing, a spot color is any color generated by an ink (pure or mixed) that is printed using a single run. trim size (trim edge) Trim refers to the edge of the paper or the finished size of a product.
