Overview of Base System Placing an Order To place an order, click on the Shopping quick link, or click on the Shop link at the top of the Home page. If you are placing a single order for more than 50 locations, please contact Customer Service to process the order. You can locate items by either Searching for Items or by Browsing for Items by Category. To Search for Items, type in the item in the search box and click the Go button. You can search by partial or complete item numbers and keywords contained within the description of an item. Click on the question mark to see search tips. To Browse for Items by Category, click on the desired category. A list of items included in that category will appear. If the category has an arrow next to it, click the arrow to expand the list. A list of items will appear based on the category selected or item typed in the Search box. Click on the item s thumbnail to see a larger image of the item. To add an item to your Shopping Cart, click on the Add to Cart link underneath the item. For Stock and Print on Demand Items Once you select a stock or print on demand item, you can order it for all available locations by clicking the Select all locations box. To deselect all locations, click the box again. You can select individual locations by clicking the box next to the location that should receive the item. You can also select multiple locations, if available. Use the search boxes at the top of the location list to seach for a specific location. Click Enter to filter the locations on the criteria you have specified. Clear out the text in all of the search boxes and click Enter to once again see all locations. Enter the desired quantity for each selected location. The Add to Cart button will add the selected items to your cart and return you to the main shopping page. For Customizable Items Select the item you wish to customize by clicking Add to Cart. Depending on the item, you may have to select an image to use. Enter the custom text into the fields on the left. Fields with an asterisk (*) are required. You must carefully proofread and review your layout and order for accuracy before submitting your order. Once it is submitted and approved, you cannot make any changes. Click Apply Changes to preview your custom information on the artwork. If you need to make changes, you can reenter the custom information and click Apply Changes again. Use the Nickname feature to give your customized item a name you can easily remember next time you need to order it. Click Add to Favorites to save the customizations you have made for this item for future purchases. After clicking Add to Favorites, the item will show up in the My Favorite Items category with your chosen Nickname the next time you browse for items. Once you have proofed your template for spelling and layout accuracy, click Select Locations to choose which locations will receive this piece. You can select all available locations by clicking the Select all locations box. To deselect all locations, click the box again. You can select individual locations by clicking the box next to the location that should receive the item. You can also select multiple locations, if available. Use the search boxes at the top of the location list to seach for a specific location. Click Enter to filter the locations on the criteria you have specified. Clear out the text in all of the search boxes and click Enter to once again see all locations. Enter the desired quantity for each selected location. Click the Add to Cart button to add the selected item to the Shopping Cart. Once you add an item to your cart, you will return to the gallery of templates to allow you to add more items. Advanced Location Search in Shopping Once you have selected your POD item or customized your item, you have the option of using the Advanced Search to find specific locations to ship to. Clicking on the Advanced Search button opens a page with detailed search options available. Depending on role and profile, these options can differ from user to user. Clicking on a heading with a drop-down arrow will expand an area for search options. Once you have filled out the search options you need, you can Click on Preview Search to preview your search results and return to fine tune your search options as necessary. Enter a name for this search and click Save Search to have this search available for future ordering. Click on Search to finish shopping for the item you selected. If you choose to name and save your search, you can select that search from the drop-down menu on the item page. A user can create and save up to ten (10) custom location searches. They are managed from the Locations menu, Manage Your Custom Location Searches. Advanced location searches, once saved, cannot be edited, only deleted. Your Shopping Cart The Shopping Cart will display a list of all items ordered, grouped by locations. Note: If you have any custom items in your cart, you cannot check out until you have confirmed that you have carefully reviewed the items by checking the box I confirm that all information on custom items is correct. You can modify the quantity for each item/location. If you do not want to include an item in your order, check the Remove box. The item will be removed from your shopping cart on update. Click the Update Cart button to save your changes to the Shopping Cart. If you want to continue ordering items, click the Keep Shopping button. If you no longer want to place an order, click the Empty Cart button. View items being ordered for individual locations by clicking on the desired location, or click Expand All to see all locations at once. If you are finished with your order, click the Checkout button. (This button will be inaccessible if you have custom items to confirm.) Checking Out Clicking Checkout from Your Shopping Cart displays the Select Shipping for Your Order screen. For each location, a shipping address and shipping method must be selected. View / modify shipping information for individual locations by clicking on the desired location, or click Expand All to see all locations at once. If you need to add a new address, click Add a New Address to add an address to your Address Book. Click Continue to proceed to the next step in the checkout process. On the Select Payment for Your Order screen, each location must have a payment method selected in order to proceed. A new payment method can be added, but for Credit Cards only. Click either Save a New Credit Card or Enter a One- Time Use Credit Card. View / modify payment information for individual locations by clicking on the desired location, or click Expand All to see all locations at once. On the Confirm Your Order screen, if you need to change something on one of the orders, you can click the Edit This Order button to edit that particular order. These changes will only affect the order that the button corresponds with. At this point in the checkout process, you are presented with a grand total for the orders in your cart. Clicking View Your Cart / Checkout will cancel your checkout process and return you to the Shopping Cart screen. Submitting your order displays the completed order. Each location will have an Order Number that is used for tracking the progress of the order. A Print button at the bottom of the screen will open a print-friendly version of your completed order Click on an Order Number to see the line items and shipment / payment information for that order. Click Expand All to see this information for all orders. Click Submit Order to complete your order. Please note once you submit the order, changes cannot be made. Submitting your order will display the completed order. Each location will have an Order Number that is used for tracking the progress of the order. A Print button at the bottom of the screen will open a print-friendly version of your completed order Click on an Order Number to see the line items and shipment / payment information for that order. One-Stop Shipping & Payment After clicking Checkout, the Shopping Cart will display shipping information for each location. If you have more than one location in your cart, you have the option of selecting One-Stop Shipping & Payment checkout or continuing with the standard checkout process. One-Stop Shipping & Payment allows for a single shipping address, payment, and shipping method for all of your orders to be selected on one screen. Clicking on Use One-Stop Shipping & Payment will take you to this checkout process. All of the options on this screen are set to a default of the standard checkout process; if you click Continue without changing any of the options, you will continue through the standard checkout process. Payment Options Select the Apply single payment method radio button to be able to select a single payment method for all of your orders. Clicking Save a New Credit Card will allow you to add a new payment method to your profile. Shipping Addresses Select the Apply single shipping address radio button to choose a location from your address book or another location. Clicking Add a New Address will allow you to add an alternate shipping address to your Address Book. Shipping Methods Select the Apply single shipping method radio button to choose one type of shipping for all of your orders. Click on Continue to review your order before completing it. On the Review screen, if you need to make a change on one of the orders, click Edit This Order to edit that particular order. These changes will only affect the order that the button corresponds with. At this point in the checkout process, you will be presented with a grand total for the orders in your cart. Shipping is only an estimate. Once the order is shipped you will receive an order confirmation email with actual shipping amount. Click on an Order Number to see the line items and shipment / payment information for that order. Click Expand All to see this information for all orders. Please review your order for accuracy before clicking the Submit Order button. Changes cannot be made to an order after it has been placed. Click Submit Order to complete your order. Navigation At the top of any list, you will find several options for viewing the list. 1. Click on a column header to sort the list by that colum. The symbol indicates the column the list is currently sorted by. Note that some columns contain data that cannot be sorted. Such columns will not be clickable. 2. You can search for what you need by using the search boxes located at the top of the list. Enter what you are looking for and click the Enter key. Clear out the search boxes and hit the Enter key to remove your filter and see the entire list once again. At the bottom of any multi-page listing, you will find several options for navigating. 1. You can choose the number of results shown per page. Simply selecting the number will refresh the page so it displays the number of records you selected. 2. You can navigate between pages by choosing a single page, the next or previous page, or choosing the first or last page in the list of records. Home Page The home page will display announcements and information that you need to know. Tracking Your Order You can track your order by the following methods: By Order Number o Enter your Order Number and hit Go. By Location Number o Enter your location number and hit Go. By Zip Code o Enter your Zip code and hit Go. By User o Select a username from the drop-down list and hit Go. Note that not all users will have all of these options available. The screen will display information for each order. Click on the Order Number to view the details of the order. Information about the order you placed will appear. The status of the order is displayed in the Shipment Tracking Number. Once the order has been shipped, the tracking number will be displayed. If the tracking number is displayed, you may click on the link to track the package through the shipping vendor s Web site. You will also receive an email with this information. Reporting an Issue with an Order The Track Orders screen allows you to report order issues. Click on the Exclamation Icon next to the affected order to begin the issue reporting process. Choose whether the issue is related to the entire order or related to one or more items on the order. Design Gallery User Guide This document is the property of Archway. If there is an issue with one or more line items on the order, then for each affected item: Click the Select checkbox next to the item(s) with which there is an error Identify the Reason for the error Enter a Note describing the error Enter the Quantity of items to be replaced. Managing Locations You can view your locations by selecting the Manage Your Locations link under the Locations menu. Your user role and profile will drive the information you are allowed to update for a given location. To view a location s information, click either the Location # or Description. To view a location s information, click either the Location # or Description. View the information for the Location Details, Addresses, Users, Profile, and Pricing. Custom Location Groups You can create a custom location group that will group locations together for ease of access. To see your custom location groups, Click View Groups on the Manage Your Locations page, or select the Manage Custom Location Group on the Locations menu. Click Create New to create a new location group. Click on a location group s name to view / edit details for that group. Design Gallery User Guide This document is the property of Archway. Complete the following fields: Name: enter a name for the group Description: enter a short description of the purpose of the group Select the Locations to include in a group by placing a check in the selection box on the left Click Save to complete the group creation or click Return to List to cancel the group creation. Delete a Group by clicking on Delete this Custom Location Group in the group detail page. You can edit a Custom Location Group to add or remove locations. 1. Check the box for locations you want to add; uncheck the box for those you want to remove. 2. Update the Description if desired. 3. My Account You can update your contact information, location, address book or payment methods by selecting the My Account link (an asterisk (*) denotes a required field). Select the tab that represents the update you want to make. Update the information for example, change your password or add a new shipping address to your Address Book. Select Save to complete the update or Return to cancel the update Select the User Details tab to change your password, security question, or email. Select the Locations tab to view your assigned location(s). Select the Address Book tab to add or edit your shipping address. Select the Payment Methods tab to add a credit card as a payment method assigned to your account. Select the Favorite Items tab to view your most commonly ordered items. Address Book You can add alternate shipping addresses, such as a regional office, to your address book through My Account and navigating to the Address Book tab. On the Address Book tab, you can enter in all of the shipping information for a new shipping address. This is not a new store location, but a shipping address book only. Create a new shipping address by entering the necessary information and clicking Save. Edit or Delete an existing shipping address by clicking the appropriate Edit or Delete link. Reports Access the online reports by selecting Reports from the Admin menu. Select the desired report and the report format. Click View Report.
