How to install Breeze How to install Breeze Note: StarLeaf Breeze will no longer be updated and is now in maintenance mode. Everyone can now download and sign into the new StarLeaf app. (Go to our app download page). For the best experience with messaging, meetings, and calling, we recommend that you download the new StarLeaf app. StarLeaf Breeze runs on Windows, the Mac, the ipad, and Linux. The instructions below tell you how to install Breeze, how to log in, and what happens next. For the latest version of Breeze (Windows, Mac, Linux), go to StarLeaf Knowledge Center > Downloads For the ipad, go to the App store For troubleshooting information, refer to Troubleshooting (p41). For more information about using StarLeaf products refer to the Knowledge Center. Step One: Activate your account You will receive an email telling you to activate your StarLeaf account. Follow the instructions in the email. Create a password. Your username is your email address. This username and password are what you need to log in to Breeze and you also use them to log in to the Portal to schedule meetings (for more information, refer to How to schedule a meeting (p28)). Step Two: Install Breeze Installing Breeze for Windows These are the system requirements for a Windows computer onto which you can install Breeze: Microsoft Windows 7, 8, Vista, 10, and XP (Service Pack 3) A webcam or built-in camera An Internet connection (StarLeaf recommends an upload speed of at least 786 kbit/s) Processor: Intel Core 2 Duo or better, or AMD Athlon X2 or better Graphics card: DirectX 9 compatible graphics processor To install Breeze on a Windows computer: 1. On your computer, download and run the Breeze installer. 2. Go to Start > Programs. Find and run StarLeaf Breeze. Note: During the installation, if your anti-virus software warns you of new files being installed, ensure that you accept these. Breeze, 04 January 2018 Page 5 of 46

How to install Breeze Installing Breeze on a Mac These are the system requirements for a Mac onto which you can install Breeze: Minimum of Mac OS 10.6 or later A webcam or built-in camera An Internet connection (StarLeaf recommends an upload speed of at least 786 kbit/s) Processor: Intel Core 2 Duo or better To install Breeze on a Mac: 1. On your computer, download the latest version of Breeze and double-click on the.dmg file in your Downloads. You can see the install window: 2. In this install window, drag the StarLeaf Breeze leaf onto the picture of the Applications folder. This causes your computer to install Breeze. 3. Go to your Applications and launch StarLeaf Breeze. Installing Breeze on the ipad To install Breeze on the ipad (ios 6 or later): 1. On the ipad, go to the Apple App Store and search for StarLeaf Breeze. 2. Choose Install. 3. Run StarLeaf Breeze. Step three: Log in to Breeze When you have installed Breeze and you run it for the first time, you see the login screen: Log in to Breeze: 1. Enter your username and password. (Your username is your email address.) 2. Choose login. What happens next? Breeze tests your upload and download connection as the Cloud uses this, along with other information, to determine what resolution of video you should send and receive. Breeze, 04 January 2018 Page 6 of 46

How to install Breeze Breeze checks to see if there is a newer version available, if there is, it automatically downloads the new version and upgrades itself. In this case, Breeze restarts itself. Breeze uses your default microphone and webcam. If you have problems with audio or video, refer to Troubleshooting (p41). Breeze now displays your home screen. Breeze, 04 January 2018 Page 7 of 46

The home screen The home screen This is the home screen of StarLeaf Breeze: To display the home screen of StarLeaf Breeze from any of its other screens, choose Home (at the bottom of the screen when you are not on the home screen). In the picture above, this StarLeaf Breeze belongs to Kathleen Dearman and the extension is 1138. To access the StarLeaf Breeze settings, select the settings icon on the home screen:. To access camera and audio settings, click the icons in the bottom right of the screen. Use these controls to turn your camera off (disabling your video) or turn off your microphone (muting your audio). Forwarding calls and Do not disturb To forward calls either to voice mail or to another phone number, use the Call acceptance slider. To set your status to 'do not disturb', and have all calls forwarded immediately to voice mail, move the Call acceptance slider to do not disturb. Anyone who has you as one of their favorites, can see that you are busy because your name is displayed on their StarLeaf device with a 'busy' icon. To forward calls to voice mail or to another phone number, move the Call acceptance slider to forward calls. Choosing to forward calls means that anyone who has this system as a favorite can see that you have forwarded the calls. When you choose to forward calls, you see the following controls: Choose forward to voicemail if you want your calls to be forwarded immediately to voicemail (for example if you are going on holiday). Breeze, 04 January 2018 Page 8 of 46

Choose forward to: and enter the telephone number if you want your calls to be forwarded to another phone (for example to a mobile number). The home screen Note: Connection from your StarLeaf endpoints to the public telephone network is an optional extra. For more information, contact your StarLeaf representative. Note: If there is a mobile number for you in the StarLeaf system, you see a third option: forward to my mobile. Choose this to have your calls forwarded to your mobile number. Breeze, 04 January 2018 Page 9 of 46

Making a call Making a call You can make a call in a few different ways: You can dial a number: Type a number into the dialing bar and select the dialing button You can call one of your favorites: Press the speed dial for the favorite that you want to call You can return a call: Go to home screen > recents and select the call you want to return You can call someone in the company's directory: Go to home screen > contacts > company directory and choose someone to call You can call someone from your own personal contact list: Go to home screen > contacts > personal contacts You can dial a video address that might be a series of letters, numbers or symbols Dialing a number To dial a number: 1. Use your number keys on your computer keyboard to type the number you want to dial. 2. Select the dialing button to cause Breeze to place the call. Note: You might have been given a prefix to use when you want to dial out onto the public telephone network. For example, in some companies you are told to "dial 9 for an outside line". Connection from your StarLeaf endpoints to the public telephone network is an optional extra. For more information, contact your StarLeaf representative. Dialing a favorite Favorites are the contacts that you call most often. You decide who your favorites are by creating a favorite from the company directory (or from your personal contacts). Favorites appear on your home screen as speed dials. For more information on calling favorites, refer to Contacts (p19). Redialing a recent call To redial a call that you received recently: 1. Select home screen > recent calls. 2. Select the name of the person whom you want to call. Searching in the company directory Some companies have a lot of entries in the directory. In this case, you might find it easier to use the search facility. To do so: 1. Go to home screen > contacts > company directory. 2. Use the keyboard to type the name of the person you want to find. Breeze, 04 January 2018 Page 10 of 46

Making a call Note: As soon as you start typing, the search starts looking. You might only need to type the first letter of someone's name to find them. Breeze, 04 January 2018 Page 11 of 46

Making a call On the ipad, the search keyboard looks like this: Dialing addresses that include letters or symbols You might need to dial someone who has a video address that includes letters or numbers and symbols. (This might be known as a URI or it might be an IP address.) In this case: 1. Type the letters, numbers, and symbols into the dialing bar on the home screen using your computer keyboard. 2. Select the dialing button to make the call. Your display looks like this: Who can you call? You can call: anyone in your company who has a StarLeaf endpoint (either the Breeze software or a hardware endpoint). These people are all in your contacts anyone outside your company who has a StarLeaf endpoint; just dial their email address from your StarLeaf hardware video endpoint or from Breeze anyone else. If someone has not got a StarLeaf endpoint, you can still have a video call with them. There are two ways of doing this: Send them an invite and they can click a link to video call you from their web browser or they can install Breeze If they already have video conferencing equipment, they can call you using that (or you can call them if you know their video address or URI) Breeze, 04 January 2018 Page 12 of 46

Using in-call features Using in-call features When you are in an audio call When you are in an audio call, you can see in-call options: create conference: you can add other people into your call hold call: put the other person on hold transfer call: transfer the call to another person When you are in an audio call, the display looks something like this: When you are in a video call If you are in a video call, you see some or all of the following in-call options on the display, in addition to the options listed above for audio-only calls: share my PC screen: you can share your screen with other person (or people) in your video call. You choose which of your open windows you want to share Display tab: provides you with options for the screen layout. Note that this tab also provides a button to switch self view on and off FECC tab: if you are in a video call and the device at the other end of the call allows it, you can control that device's camera (for zooming and panning). FECC means Far End Camera Control When you are in a video call, your in-call options panel looks something like this: Breeze, 04 January 2018 Page 13 of 46

Using in-call features Changing what you see in a video call Note: For information about multiparty conference controls and layouts, refer to About conferencing (p24). Note: To see your video call in full screen on Windows or the Mac, double-click on the Breeze window. Press the Display tab to change what you can see in a video call. The Display tab looks like this: The Display tab gives you these options: video: select to view the other people in your video call. This is the default setting for a video call until someone shares a PC screen and then you see the shared PC screen, in which case, you may prefer to press this button to return to the video view no shared PC/shared PC: If someone is sharing content from their PC, you can press to view that shared content self-view: use the self-view slider to either see yourself or not. Self view allows you to see the view of you that other people see when you are in a video call. Switching it off does not prevent them from seeing you. To prevent people from seeing you in a video call, select Video mute in the bottom right of the Breeze window PiP: The PiP is the Picture-in-Picture view. For example, if you have self-view on, you see yourself in a PiP view. Use the PiP control on the Display tab to move the PiP around the screen. Note that if you are in a call where there is shared content then the PiP control allows you to remove the PiP view; to do so, use the cross in the corner of the PiP control to close the PiP view. If you have closed the PiP view, you can make it reappear by pressing the plus sign on the PiP control Breeze, 04 January 2018 Page 14 of 46

Using in-call features Depending on the other device in the video call, you might be able to remotely operate the pan and zoom on the camera at the other end of the call. When you can remotely control the camera at the other end of the call, this is called FECC (Far End Camera Control). You can only use FECC in a point-to-point call (that is, FECC is not available in a conference call). If FECC is allowed you can press the FECC tab, which looks like this: Screen sharing When you are in a video call, you can share your screen so that the other people in the call can see your screen. To share your screen in Breeze: 1. When you are in a video call, choose Share my PC: Breeze, 04 January 2018 Page 15 of 46

2. Choose which window you want to share from the displayed list. For example: Using in-call features 3. The other people in the call can now see your screen. Breeze, 04 January 2018 Page 16 of 46

Using in-call features Using the ipad camera If you are using Breeze on an ipad you can swap between the forward-facing and rearfacing camera. This is useful when you want to show someone something. To swap between cameras, use the toggle icon in Breeze: Toggle between forward- and rear- facing camera Note: If you minimize Breeze on the ipad, it defaults to using the forward-facing camera when you next maximize Breeze. Breeze, 04 January 2018 Page 17 of 46

Using Breeze in full screen Using Breeze in full screen To use StarLeaf Breeze in full screen, either double click anywhere in the Breeze window or select full screen as shown below: Note that on Mac OS, full-screen mode is supported on version OS-X 10.7 and above. Breeze, 04 January 2018 Page 18 of 46

About conferencing About conferencing There are three types of meeting: ad hoc meetings: ad hoc meetings start immediately. You create an ad hoc meeting when you are in a call; simply press create conference on your control panel: You can then add another person to your call. You can have up to 20 participants in an ad hoc meeting. Ad hoc meetings are also known as QuickMeet meetings scheduled meetings: a scheduled meeting begins at a particular time. Participants receive invites and instructions on how to join. Participants can join a scheduled meeting in the following ways: click a link to join from a browser download Breeze or the Starleaf app and click to join join using a StarLeaf room or desktop system join using third-party video conferencing equipment join as an audio-only participant from a telephone (PSTN) permanent meetings: This is the same as a scheduled meeting but without a date and time. A permanent meeting is a virtual meeting room that anyone can dial into at any time (sometimes known as a meet-me). Permanent meetings have the same features as scheduled meetings (invites, interoperability, PSTN dial-in, etc.). The dialing details never change and the meeting is always joinable Breeze, 04 January 2018 Page 24 of 46

About conferencing Meeting invites The people that you invite to a scheduled meeting receive a meeting-invite email that tells them how to join the meeting: If your participants are StarLeaf Breeze users or have access to a StarLeaf meeting room, they can join easily using the Join Now button. For participants who are not already StarLeaf users, the meeting-invite email gives: A link to join your meeting directly from a browser A link to information about how to join from third-party video conferencing equipment A link that they can use to download StarLeaf Breeze or the StarLeaf app as a guest user Details of how to dial into your meeting from a phone Breeze, 04 January 2018 Page 25 of 46

Joining a meeting on Breeze Joining a meeting on Breeze You can join ad hoc, scheduled, and permanent meetings from Breeze. Joining a scheduled StarLeaf meeting If you receive an invitation to a meeting, the details are shown on the Join Now button on the day of the meeting. The behavior of the Join Now button is as follows: If there are no scheduled meetings for the day, the Join Now button displays no conferences scheduled today If there is a scheduled meeting for the day, the Join Now button displays the name of the next meeting and the time it starts If you receive invitations to two overlapping meetings, the details of the first conference due to start display on the Join Now button. When the first meeting has ended, the details of the second meeting display. To join the second meeting at any time, dial the meeting ID which is in the meeting invite email When the meeting is due to take place in ten minutes or less, the Join Now button is lit green and, instead of the time, displays how many minutes until the meeting is due to start When the meeting starts, the Join Now button flashes. Anytime after the Join Now button lights green, you can use the button to join the conference If a scheduled meeting is canceled, the meeting details are removed from the Join Now button. Note: Permanent meetings do not trigger the Join Now button, and do not appear on the button display. Join Now behavior The default message when there are no meetings scheduled. The message displayed when a meeting has been scheduled for that day. The message displayed when a scheduled meeting is due to start. The message displayed when a scheduled meeting has started. Whenever you are ready to join a scheduled or permanent meeting, either: Use the Join Now button when the button is lit green, or Dial into the meeting using the meeting ID, which is in the meeting invite email Breeze, 04 January 2018 Page 26 of 46

Joining a meeting on Breeze Note: To join a permanent meeting, dial the meeting ID. Joining a meeting on any other conferencing service You can join meetings on any other standards-based conferencing platform, such as Bluejeans for example. To do so, use the information in the meeting invite. You can dial any combination of characters and digits in the Breeze dialing bar. Joining an ad hoc meeting When someone adds a person to a call, this is known as an ad hoc meeting. If someone adds you to their call, you receive a incoming call. To accept the call, select answer call to speak to the person who wants to add you to their call. If you do not want to join the meeting, ignore or reject the call. Breeze, 04 January 2018 Page 27 of 46

About guest invites About guest invites Guest invites allow StarLeaf users to invite guests to video call them using either their browser or by installing Breeze software. In this way, a StarLeaf user can have a video call with anyone. Guest invites are included in the StarLeaf Cloud service at no extra cost for StarLeaf users. StarLeaf does not limit users on the number of guest invitations. To send a guest invite, a user simply chooses Invite from the home screen of a StarLeaf endpoint. Alternatively, you can add a guest email address to the list of participants when creating a scheduled meeting. If an invite is sent to a person who appears (by email address domain) to be associated with your organization, you, as an admin, are notified. In this case, the guest is added automatically to your organization. Note that this auto-adding feature can be disabled if required. Note: StarLeaf prompts guests to download the StarLeaf app. If a guest appears to be in an existing organization (because their email address matches a domain) and that organization has the app enabled for new users, that person will be prompted to download the app, will be added to the organization and will no longer be a guest user. If you send an invitation to someone and their email domain matches an existing StarLeaf organization and that organization does not have the app enabled for new users (that is, the organization is still predominantly using Breeze), then that person will be prompted to download Breeze and not the app. Invite process 1. A user, in this case Anne Duffy, chooses to send an invite by selecting Invite on her StarLeaf Breeze: 2. Anne then types the email of the person she wants to invite and selects invite. 3. The invited person receives an email that explains the invite. The invite includes: a 'click-to-call' link, which launches a video call from the browser a link to dialing instructions for calling into the StarLeaf Cloud Breeze, 04 January 2018 Page 37 of 46

About guest invites a link to the Sign up page for Breeze: 4. The invited person can either use the click-to-call link or complete a short sign up form and download Breeze. Alternatively, they can call the user directly using the dialing instructions provided. For more information refer to Dialing from third-party endpoints, below. Dialing from third-party endpoints The guest invite also provides a link to detailed instructions for how to dial the inviter from a third-party endpoint. This means that the guest has a choice: call from a browser, download Breeze, or use existing video-conferencing equipment to call the inviter. The instructions cover a range of third-party manufacturers, for example, Cisco, Tandberg, Polycom, Lifesize, Sony, Radvision, Avaya, Skype for Business. The picture below shows an example of the instructions, for dialing this specific user: Breeze, 04 January 2018 Page 38 of 46

Troubleshooting Troubleshooting Audio problems You cannot be heard If you call someone and that person cannot hear you, this can indicate one of: Your microphone has a problem or Breeze is not using the correct microphone The person you called has a problem with his audio output (no speakers, audio muted, etc) Another application is using your microphone Breeze allows you to mute your microphone when you do not want the people you call to be able to hear you. The mute button is in the bottom-right of the Breeze window and looks like this: If you think the problem might be due to your microphone: 1. Ensure that no other applications are using the microphone. Close any that might be. 2. In Breeze, click the volume icon in the bottom-right of the screen. The volume icon looks like this:. Breeze displays your microphone and speakers information panel: 3. Using this panel, you can see which microphone Breeze is using. You can also select to use any one of the microphones available on your computer. 4. Check that the microphone is working. The indicator beneath the microphone's name reacts to any surrounding sound. If the correct microphone is set and that microphone is functioning, and the person whom you are trying to call does not have a problem with speakers, and there are still audio problems, contact StarLeaf technical support. Note: If the microphone has been muted by a control elsewhere in your computer, Breeze warns you that is the case. You cannot hear anything If you cannot hear anything, your audio playback device might not be correctly selected. If you cannot hear anything: 1. In Breeze, click the volume icon in the bottom-right of the screen. The volume icon looks like this:. Troubleshooting 2. Using this panel, you can see which speakers Breeze is using. You can also select to use any of the speakers available on your computer. You can also adjust the volume-level of the speakers by using the volume-control slider in this panel. Breeze tells you in the microphone and speakers information panel if you have muted your speakers. Clicking on this message unmutes the speakers. Breeze also tells you if the speakers are not working or if you don't have any speakers. You are too loud or too quiet If the people you call complain that you are too loud or too quiet, this might be due to your microphone levels, rather than the volume of their speakers. To adjust your microphone levels: 1. In Breeze, click the volume icon in the bottom-right of the screen. The volume icon looks like this:. Breeze displays your microphone and speakers information panel. 2. Use the microphone slider to adjust your microphone levels. Increasing the level increases your transmitted volume. Troubleshooting Video problems Video problems when using Breeze may indicate one of: insufficient bandwidth a camera issue insufficient computer capability (refer to Information about computer capability (p44) below) Insufficient bandwidth Breeze tests your bandwidth and scales video according to the results of the bandwidth test. Breeze will report if the bandwidth is insufficient for full video functionality. Where bandwidth is insufficient for full quality video calls, you will see one of the following warnings: Bandwidth is insufficient for full quality video. In this case, the cloud scales video quality to the available bandwidth Bandwidth is sufficient for video calls, but insufficient to also share content (desktop sharing) Bandwidth is insufficient for both video and PC sharing, in which case you can make an audio-only call If you are using Breeze, and when you make a call, there is no video, re-test the bandwidth. In some cases, you may have temporary network issues when you first start Breeze that make it seem (incorrectly) that you do not have sufficient bandwidth for video calls. Retesting the bandwidth in these cases solves this issue. For more information about bandwidths and resolutions used by StarLeaf Cloud, refer to the Knowledge Center. To re-test bandwidth: 1. Click the leaf icon in the bottom-left of the Breeze display. 2. Click retry bandwidth test: A camera issue If, the person you are calling cannot see you, it is possible that Breeze is attempting to use the wrong camera. To select a different camera: 1. In Breeze, click on the camera icon in the bottom-right of the screen. The camera icon looks like this:. Breeze displays your camera information panel: Breeze, 04 January 2018 Page 43 of 46

Troubleshooting 2. Using this panel, you can see which camera Breeze is using. You can also select to use any one of the cameras available on your computer. You can see the view that the selected camera currently has. You can also mute the video - so that you can make a video call where you cannot be seen. If you have video problems, and you are sure your webcam is correctly functioning and you have restarted Breeze, contact StarLeaf technical support. Breeze displays a white screen If Breeze displays a completely white screen on Windows operating systems, where you cannot see the user interface at all, this could be because of your DirectX 3D settings. Ensure that DirectX 3D is enabled, following the steps at https://support.microsoft.com/en-us/help/191660/directdraw-or-direct3d-option-isunavailable. If this setting is enabled and you are still experiencing issues, ensure that your video drivers are up-to-date and that you are not running Breeze on a virtual machine. Your call disconnects immediately If you make a call and it immediately disconnects, this could be because Breeze was unable to detect any audio devices on your computer. In this case check that your speakers and microphone are operating correctly. If your calls still disconnect, contact StarLeaf technical support. Information about computer capability Note that Breeze can tell you if your computer has the capability (for example, processing power)to make and receive high quality video calls. To discover your computer's ability to make a video call, click the leaf icon in the bottom-left of the Breeze display. In the image below, the PC only has the capability of making medium quality video calls regardless of bandwidth availability. Breeze, 04 January 2018 Page 44 of 46
