Overview The KnowledgePass Content Library contains many courses. The library s search filters make it easy for you to find the course you need. There are predefined searches that automatically add search filters for you based on the search you select. You may want to start by selecting a predefined search and then, as you become more familiar with the search filters, create your own searches. When you find your course or courses, click the Enroll link so that KnowledgePass places them on your My Learning on the home page; this means you don t have to search for the courses again when you log into KnowledgePass the next time. Using predefined searches KnowledgePass provides a list of the most common predefined searches. Follow these steps to learn how to select and use them. 1. Click Select a predefined search. 2. Select any of the predefined searches that pertain to what you are looking for. If none pertain, use the steps in Using the default _All Content predefined search to find what you need. Important Note: The selected predefined search displays the applicable search filters, some with values already selected. You will need to select some of the search filter values to refine the search. 3. All predefined searches display the Product/Version search filter. Identify your product and version by clicking the down arrow in the Product/Version search filter. Very Important Note: The drop down is too short to display all products and versions. If yours doesn t appear, in the drop down enter either the product name or version number in the Search field. 4. Select values in each of the other search filters, as applicable (refer to Search Filters Descriptions for a description of each search filter). Click Add to add other search filters. Notes on some of the more common search filters: The Basic tasks/additional tasks search filter displays courses that cover the more basic or common tasks performed by users of a particular product and role and courses that cover additional tasks that may not be as common. The Preview (before enrolling) search filter lets you see what is in the course before you enroll in it. You can go through the entire content in preview, but KnowledgePass won t record any of your activity for reports. And, it won t place the course on your My Learning (on the KnowledgePass home page), which means you must go through the search process again to find it when you return to KnowledgePass. Tip: If you are a member of the core/project team and are looking for Project Team training, select Project Team Member in the Role/Functions search filter. If you don t see your role, use the Search field to find it. 5. Go to Enrolling placing content on your My Learning to learn about enrolling in courses. Important Note: Once you have selected the search filter values, you may want to save what you selected in your own search. Go to Creating and saving your own searches to learn how.
Using the default _All Content predefined search The default selected search is _All Content. This predefined search automatically adds the search filters shown in the screenshot below. We recommend that you start your search by selecting one of the more specific predefined searches (see Using predefined searches). If you choose to start with _All Content follow these steps to further refine your search. 1. Identify your product and version by clicking the down arrow in the Product/Version search filter. The drop down is too short to display all products and versions. Enter either the product name or version number in the Search field if yours doesn t appear immediately in the drop down. 2. Use the Upgrading? search filter to tell KnowledgePass if you are upgrading, and from what version, or not. 3. Use the Role/Function search filter to tell KnowledgePass your role. Tip: If you are a member of the core/project team and are looking for Project Team training, select Project Team Member as your role. If you don t see your role, use the Search field to find it. 4. Use the Basic tasks/additional tasks search filter to further filter the content by either type. Basic tasks are the most common tasks performed by most users of a particular product and role. 5. Use the Add button to add other search filters (see Search Filter Descriptions). A handy filter to add is Preview (before enrolling). Selecting it displays a link to the content of the courses so that you can see what is in them before you enroll. You can go through the entire content, but if you don t enroll, KnowledgePass doesn t record it for reporting. And, it doesn t place the course on your My Learning, which means you must go through the search process again to find it when you return to KnowledgePass. 6. Go to Enrolling placing content on your My Learning to learn about enrolling in courses.
Enrolling placing content on your My Learning When you have found the content that you need, you won t want to have to go through the search process to find it the next time you log into KnowledgePass. Enroll in it so that KnowledgePass places it on your My Learning on the KnowledgePass home page. Follow these steps to enroll. 1. Click the Enroll link. 2. Answer Yes to the prompt. Note: To remove it from My Learning, click the Unenroll link.
Creating and saving your own defined searches You can save the values that you selected in the search filters and any search filters you added as your own predefined search. Then, you don t have to select the values and search filters the next time you log into KnowledgePass. Your saved searches are only visible to you, except if you are a KnowledgePass Training Manager. If you are, your saved searches are visible to anyone in your organization in the list of predefined searches. This option is a great way for KnowledgePass Training Managers to start their users in KnowledgePass. Refer to the Training Manager Functions documentation for more information. Follow these steps to create and save your own search. 1. After you have selected the search filters you want and have selected the filter values, click Save my defined search. 2. Give your search a name. Important Note: If you started with a predefined search, the name of that search appears in the Search name field. Make sure you enter a different name. Otherwise, when you display the list of predefined searches, you will see two of the same name and it won t be easy to determine which one is yours. 3. Save your search as the default search so that it becomes the default search when you access the KnowledgePass Content Library. If you are the KnowledgePass Training Manager, the default search also becomes the search your users will see when they access the library. Use the Additional search editing tools to delete a search that you saved. Only someone in the KnowledgePass Training Manager role can delete a search saved by users with that role.
Search Filters Descriptions The following table defines each of the KnowledgePass Content Library search filters: Search filter Product/Version Role/Function Upgrading? Preview (before enrolling) Basic tasks/additional tasks Looking for Description We highly recommend that you use this search filter in every search you perform. Identify the product and version. The drop down list doesn t display all the possibilities, so use the Search field in the filter to search for products and versions you don t immediately see. Identify your role. Important note: If you are a member of your implementation core/project team and looking for training for the implementation, select Project Team Member as your role. Tell KnowledgePass if you are upgrading or not. If you are upgrading, tell KnowledgePass which version you are upgrading from. Select this search filter to display links to the course content, so that you can preview it to make sure you want to enroll in it. If you want your activity to be recorded by KnowledgePass, you must enroll in the course. Enrolling places the course on your My Learning on the KnowledgePass home page. Select Basic to list content that covers the basic or most common tasks performed by users of the selected product and role. Select Additional to list content that covers tasks that are less common. Use this search filter to look for courses containing specific types of content such as recorded learning live webinars, sandboxes, and job aids. Keyword Search Language Industry Name ID Number Enrolled Enter a keyword in this search filter to look for specific content, such as Global Time Off or Enterprise Archive. If you want to look for content in a particular language, use this search filter to select the language. Some content is for a specific industry. Use this filter to find content specific to your industry. If you know the name of the course you are looking for, use this search filter. Note: Do not include the product acronym in your search. For example, when looking for WTK 8 Managing Timecards, search on Managing Timecards. If you are using the KnowledgePass Content Catalog, you will see that each course has an ID number. You can use that number to search for a course. The courses you are enrolled in, which are on your My Learning on the KnowledgePass Home page, always appear at the top of the KnowledgePass Content Library. You can choose to display only those courses you are enrolled in by selecting this search filter.
