2 What is the new manage responses tab and where can I access? The New Manage Responses has been built as a dynamic page that allows users to keyword search and filter their adverts' applications much faster You can access your applications via the Responses tab in the navigation bar Alternatively you can access from responses numbers and links from multiple locations: homepage, Manage Adverts, CV Portals Manage Candidates & Advert Details page 08 Broadbean
3 New Responses what s on my screen? (top) This area will show how many responses you have per advert (if selected) You can clear your criteria here (if you entered any) You can view all live, and archived adverts, the number of responses (select one, multiple adverts or all adverts) Here you can select one or multiple adverts and can even search by advert. You can access all archived and live adverts You can Boolean keyword search across your responses. If you are not familiar with Boolean, click on the question mark button or access your Knowledge Base for full user guides You can search applications by radius and location based on the address in the CV 0 Broadbean
4 New Responses what s on my screen? (below) You can filter your responses by flags (if previous assigned a flag). This can be across all live, archived or both. You will see your standard Green, Amber, Red and Unranked Candidates any other colours are customised and can be created by your Superadmin. You can also filter your candidates by Tags, My Folders, Viewed, CV Origin, Source, Country, Current job title, Current employer or Years at current employer. 08 Broadbean
5 New Responses Screen continued 7 7 Filter responses by read/unread simply tick the box Hide viewed candidates. Select/De-select Show snippet to produce/hide a quick snapshot of information including application history These are bulk action buttons (You can bulk Tag/Hotlist, Shortlist, Message or Forward per page) Rank your responses here: You can use standard flags (green, amber or red) or custom flags (which can be created by Superadmin) Tag/Hotlist responses here (please check slide 8 for additional details) Add your responses to existing folders or you can create new folders to organise them (optional) Individual action buttons (please check slide for further details) 0 Broadbean
6 Individual Action Buttons You will notice along the bottom of each candidate there are a set of action options. As you hover over each icon it will provide a function description. Will allow you to Preview CV about this candidate without having to download the CV attachment Will allow you to Download the CV and all additional attachments Will allow you to Forward the CV to any address you type in Will allow you to Shortlist the candidate against an alternative advert (available with BB Search only) Will allow you to Message the candidate with or without a link to your advert Will allow you to Longlist the candidate you can access your Longlists within your Broadbean Search (available with BB Search only) 08 Broadbean If you cannot select a button such as Longlist or Shortlist - this indicates that you may need to upgrade your account. Please contact your Superadmin for further details.
7 Bulk Action Buttons The Information icon is automatically populated the moment you use any of the action buttons. Click on the icon to see any activity recorded across the company Tag/Hotlist: This allows you to tag/hotlist codes against the candidate which are searchable Shortlist: This allows you to shortlist candidate(s) to an advert which has been posted earlier. Shortlisted candidates are automatically flagged green Message: You can select multiple candidates manually or click here to select all on page to message in bulk. Unlimited characters & unlimited messages. Please note that you can bulk message page at a time. The Notes icon is automatically populated if any notes are created against the candidate across the company. Click on the icon to be taken to the notes section to read in more detail You can access your notes in your Talent Search as well. If you do have further questions - check our FAQ List on the last page. Forward: This allows you to forward the multiple candidate CVs & attachments to anyone 7 08 Broadbean
8 What is a Tag/Hotlist? When you select the Tag icon (located at the top or on right hand corner of each candidate snippet) a pop-up box like the one shown above will open. To Tag (skill code) someone start to type the tag and a droplist will appear with existing codes that may match if they do select it! Hotlists are orange in colour and controlled by the account Superadmin user. These should be generic codes e.g. industry, geographical areas, team ownership etc. Tags are blue in colour and created by consultants. These should be specific codes e.g. fluent languages, job titles, skill sets, qualifications etc. If you need to create a new tag hit the return button. Ideas for Tags Tagging candidates with their primary skills or key strengths is a fantastic way to breakdown your responses in future. Long term benefits are great and will enable you to resource much faster! 8 08 Broadbean
9 Messaging Candidate When you select the message icon a pop-up box like the one shown below will open. You can amend the subject & message text and by typing in or selecting an advert from the drop down, include an apply online URL to allow candidates to apply for the role. Template: Select a template (if provided) or you can write the directly Recipients:You can view the candidates you have selected click on the cross symbol to remove the candidate. All candidates are BCC d as part of a bulk message and will not see each other 9 Reply To: This will automatically populate your address but you can edit this if required 08 Broadbean
10 Viewing Candidates Once you have clicked on the eye icon you will land on the page below and see the full CV 0 08 Broadbean
11 Viewing candidates continued (top) You can view candidate contact information Recent Activity automatically recorded once any action is performed. This activity can be viewed across your company. The full CV is displayed and you will be able to view any additional attachments provided The Activity Feed provides records/logs any activity against this candidate record across the company. Messaging History stores all outgoing s sent via the across the company You can use any individual action buttons -Download, Forward, Shortlist, Longlist or Message. Current Application: will list any adverts recently applied to (your company only) You can flag the candidate according to their suitability You can add the candidate to a folder You can view or amend any candidates details here 08 Broadbean
12 Viewing Candidates continued (below) Add Tag/Hotlist: You can view previously assigned tags/hotlists here or add new tags/hotlists (check slide 8 for further details) Notes: You can enter your notes here these can also be viewed in Talent Search (if purchased) Social Media Channels: Click on the relevant icon (Xing, LinkedIn, Facebook, Twitter, Google+) and it will conduct a public search for the candidate on that site. This can be used as a way to research your candidates or add them to your network, as long as they have an account too. 0 Broadbean
13 FAQs Why when I shortlist candidates I can t any longer find them in the Shortlisted tab? Shortlisting candidates is the equivalent of assigning them a green flag: so, now you can instead find those candidates by filtering your results by green flag in your facets bar. How can I now progress candidates? The progress feature as it existed has been deprecated. However, if you want to use it you can ask your Admin to add a custom flag and name it Progressed : this will allow you to distinguish those candidates by simply clicking on that flag. Once you have done that, you can always find those candidates by filtering your results by the progress flag in your facets bar. How can I distinguish between people I have shortlisted against an advert from Search and people who have actually applied to the advert? For candidates who have been shortlisted against an advert from Search, the word Search is displayed next to the source on the candidate card. Also, you can always find those candidates by filtering by Shortlisted from Search in the CV Origin facet. Not all my templates are displayed in the dropdown when I message candidates. For neatness reasons we automatically display in that dropdown the first 0 templates that are available to you. You can still see and select further templates by simply starting typing the template name in the search box of the dropdown. 08 Broadbean
14 FAQs What does the location and radius search feature do? It will search in the body of the CVs for the actual candidate address and return only those candidates who live within your specified radius and location. What s different between using the Current Employer and Current Job Title facets instead of just entering those in the main keyword box? Those facets will look for the employer and job title information specifically within the last entry in the candidates CV: this information also corresponds to the Job Title and Employer fields which are displayed on the candidate cards. Searching for those in the main keyword box, will simply look anywhere in the CV body: as such it will return also CVs where that employer and job title are mentioned even if not in relation to the candidate experience specifically. 08 Broadbean
