Using Zoom Hosting a Live Classroom To host a Zoom session, you will need to download the Zoom application. You can download the app from this site: https://zoom.us/download/. Otherwise, when you try and access your Zoom room, you will be met with a prompt asking you to save the Zoom file. Save the file and then proceed to launch the application. Note: Your Zoom account will need to be finalized prior to entering your live classroom. If you need help with your account, please contact your Faculty and Student Support Administrator. 1. Enter your live classroom As a host, you will need to enter your live classroom via the Zoom application on your computer. Login with your Zoom credentials. *Students will access their live classroom via a link in Online Campus. 2018 Trustees of Boston University. You will then see a panel with your Zoom account. Click on Meetings at the bottom of the panel and select the meeting you wish to host. Most live classrooms will occur in your Personal Meeting Room, unless otherwise specified. 2. Connect your audio Provided that you are entering your live classroom with a headset, it is likely that your audio will start automatically when you enter the room. However, if your audio does not start immediately, or you would like to change how you connect to the audio conference, click on the up arrow next to your microphone, and select Audio Options. 2
You will then be met with this screen: You have three options to join the audio conference o Option 1- Join by Computer Connect to your live classroom via a headset with a microphone attached. If you want to ensure your microphone is working, engage the Test Computer Mic & Speakers tool. o Option 2- Join by Phone This option will require that you call into the live classroom. Dial the toll- free number for your country. Enter the meeting ID for your room. If you do not know your participant ID, you will still be able to enter the room. 3
Using Zoom: H osting Guide o Option 3- Call Me: The live classroom will call you 3. Set up your webcam To be visible in the room, you will need to turn on your webcam. Your webcam may start automatically, but if it doesn t, you can find the Video icon, as well as other tools in the bottom navigation bar in the Zoom live classroom. Click on the webcam If you would prefer to use a different webcam, or would like to adjust your video settings, please click on the up arrow. http://www.bu.edu/online 2018 Trustees of Boston University. 4. Share your screen To share your screen, click on the Share Screen icon in the navigation bar. You will be asked to select the window or application you would like to share. Proceed by clicking Share Screen. Your shared content will be highlighted with a green banner in the live classroom. Make sure to press Stop Share when you wish to stop sharing your content. 5. Manage Participants To determine who is in the room with you, click on Manage Participants. You will then see a list of users in the room. The host (yourself) will be labeled as the host at the top of the panel. Your participants should be muted on entry. However, if you want to mute your participants, stop their video feeds, or remove them from the room, you can do this by scrolling over their names and clicking on the More dropdown menu that appears. 5
In the More section of the participant panel, you can also private chat an individual by clicking chat in the dropdown menu by his/her name. Additionally, you can make someone a co- host. Be sure to do this if you plan on leaving the meeting early, and wish for it to remain recorded. Once you leave, your co- host will be elevated to a host, and he/she can continue to manage the room and recording. 6. Chatting To chat with your participants as a whole, click on the chat icon. You will be able to communicate with everyone in the room via this chat. Be mindful that if you want to private chat with one individual, you will scroll over his/her name in the Participants area and chat individually with this person. Please be advised that the chat will not record with the meeting. If you would like to save the chat as a separate text file, click on More in the upper right hand corner of the chat and select save chat 7. Record the meeting To record your session, click on the Record icon in the bottom navigation panel. Your session will be recorded. After your session finishes, you will receive an email indicating that your live classroom has been recorded, and you will be given the option to download the recording or share the URL for the recording. 6
8. End the meeting To end the meeting click End Meeting. in the navigation panel. Tips and Troubleshooting At the top of the chat pod there are options to Mute All attendees Unmute All attendees or More. If you desire to lock your screen, so that participants cannot share, please click More and then select Lock screen sharing. Participants will then be unable to share. If you want to leave the room, select another individual to co- host. This person will then be elevated to host upon your exit, and will have the same functionality that you did when you were in the room. 7
