CaliforniaMoves Agent Guide Overview This guide provides detailed information on how to access and use the CaliforniaMoves.com web site. The following sections are covered: Agent Tools Property Tools Reporting Tools Email and Client Tools Help Log On Follow the steps below to log onto the CaliforniaMoves.com admin website: 1 Log into the NRT Intranet CALIFORNIAMOVES.COM 4

2 Click the CaliforniaMoves Admin link. 3 The CaliforniaMoves.com Admin Home Page screen will display. The menu options will vary depending on the user role that is signed into the Admin site. CALIFORNIAMOVES.COM 5

Agent Tools Agent Profile The Agent Profile screen enables you to edit and update your agent profile. 4 From the menu options on the left side of the screen, select Agent Tools. A sub menu will appear. Select Agent Profile. CALIFORNIAMOVES.COM 6

5 The Agent Profile screen will display. See the following page for a screenshot. Agent Profile Administration Screen The various sections of the Agent Profile Administration screen are described below. CALIFORNIAMOVES.COM 7

Profile Status Message At the top of the profile a status is displayed to indicate whether the profile is Approved, Declined or Pending Approval. Approved Profile Pending Approval Profile Declined Profile Saved but not sent for approval Upload Photos One agent photo can be uploaded per profile page. Photos must be in.jpg format and the maximum photo size is 2 MB. 6 Click the Browse button to search for the photo you wish to upload. Once you have located the photo, click the Update button. The photo will display on the page. CALIFORNIAMOVES.COM 8

Note: Photos must be 160 x 240 pixels in size and be in the jpeg format. 7 If you wish to replace the photo, simply repeat step 1 above. 8 If you wish to delete the current photo, check the Delete Current check box and click the Update button. The photo will be removed and replaced with the generic No Photo Available image. MLS Member ID To add/edit MLS Member ID, click the Edit button. The MLS Member ID s screen will display. Add/Edit the ids and click Update to save the changes or Cancel to discard un-saved changes. CALIFORNIAMOVES.COM 9

Note: The fields on this screen will vary depending on the MLS the agent is associated with. Agent Data All of the following data is received from the Trident data feed and is automatically displayed unless otherwise noted. Note: If any of the Agent Data is displaying incorrectly or missing, please contact your Metro Admin. CALIFORNIAMOVES.COM 10

Agent Information Title field: Displays title of agent (only editable by the Metro Administrator). Home Phone: This number will be displayed on the Agent Profile if it is entered in the Home Phone Number field. Office Extension: This number is displayed on the Agent Profile next to the Office Number if it is entered in the Office Extension field. Cell Provider: Complete this field to receive text messages directly from consumers. Personal Web site: If a personal web site address is entered and Agent-Branded Web Site does not exist, then personal web site will be displayed on the consumer site Agent Profile page. Facebook Link: If you have a personal or business profile on Facebook, you can paste the link URL. This will be use in the social networking links on the homepage and Agent Branded pages. Twitter Link: If you have a Twitter profile you can paste the link URL. This will be use in the social networking links on the homepage and Agent Branded pages. Linked In Link: If you have a Linked In profile you can paste the link URL. This will be use in the social networking links on the homepage and Agent Branded pages. Blog Link: If you have a Blog you can paste the link URL. This will be use in the social networking links on the homepage and Agent Branded pages. YouTube Link: If you have a YouTube video you can paste the link URL. This will be use in the social networking links on the homepage and Agent Branded pages. CALIFORNIAMOVES.COM 11

The Agent Audio File field allows you to upload an.mp3 file. The.mp3 file can be a maximum of 4 MB. To upload an.mp3, do the following: Click the Browse button. Locate the file you wish to upload. Click Open. The file name will appear in the field. To delete the current file simply check the Delete Current checkbox and click the Update button. Delete Current checkbox is activated once a file is uploaded. Note: Be sure you have the necessary audio equipment connected to your pc. Agent TV Ad Link: This web site links to any commercials or Spot Runner ads that the Agent has created. CALIFORNIAMOVES.COM 12

Display Options Display Options are listed with a check box to activate or deactivate next to them. Check the boxes next to the desired settings. Checking and un-checking these options determine what will be visible on the web. Awards Awards are graphically displayed on the Agent Profile page. Agents are not permitted to add awards. Designations You can add any of the designations in the Available column to the agent profile. Agents are not permitted to add Designations. CALIFORNIAMOVES.COM 13

To add a language to your profile, follow the steps below: 10 Click on the desired language(s) in the Available column. To make multiple selections, hold the Ctrl key down while clicking. 11 Click the Add button. All selected languages will now appear in the Selected column. 12 To remove selected languages, highlight the languages you want to remove, and click the Remove button. Useful Links The useful links section allows you to select from a list of approved URL links and add up to 10 of them to your profile. Generally, these links point to Web sites that display information about the surrounding community (e.g. county, city, and school Web sites). 13 To add or edit Useful Links, click the Edit button. 2 The Useful Links screen will display. You can select up to 10 useful links for your profile. To add a Useful link, click one of the blue links to jump to a list of web sites under that category. A grayed out heading indicates there are no active web site links available under that category. You can also use the scroll bar to scroll the full list of links. Click the checkbox to the left of each link you would like to add. As you select links, the # of Links Selected Line at the top of the page will indicate how many links have been selected. When finished, click the Save button and the changes will go live immediately. See the following page for a screenshot. CALIFORNIAMOVES.COM 16

Biography There are ten customizable bullet headings available. If you are a first-time user, you will have seven default headings that you can utilize when updating the biography of your profile. If you have an existing profile, you will retain your original headings. The seven default bullet headings are the following: 1. Business Philosophy CALIFORNIAMOVES.COM 17

2. Education and Training 3. Awards and Designations 4. Areas of Expertise 5. Community Involvement 6. Personal Background 7. Communities I serve. You have the ability to add, remove, and change the order (using up and down arrows) of bullet headings, and their associated text, listed under the biography. EDITING A BIOGRAPHY BULLET HEADING AND TEXT 14 To edit a bullet heading and its related text, click the Edit button next to the heading you would like to edit. Note: To add a new bullet heading, click the Add Bullet button as highlighted below, and then follow steps 2-5 below. You can create up to three additional personal headings. 15 The Edit/Add Biography Bullet screen will display. CALIFORNIAMOVES.COM 18

16 Edit the heading text in the Category field only if you are changing a heading name. 17 Enter text into the text box section. Note: When a category has text entered for it, a remove link will display on the profile screen, enabling you to delete the text if clicked. For custom bullets, the entire bullet will be removed. For pre-defined bullets, only the bullet description will be removed. 18 Click Save when finished. Profile Approve/Decline Manager Comments This section will display any comments entered by the user who declined the profile changes. Saving the Agent Profile Click the Save Draft button at the bottom of the Agent Profile Administration page to save all changes that have been made and not submit the changes for approval process. Click the Save/Send for Approval button at the bottom of the Agent Profile Administration page to save all changes that have been made and submit the changes for approval process. Cancel Unsaved Changes Click the Cancel button to cancel any un-saved changes. Go to Agent-Branded Screen Clicking the Go to Agent-Branded button will leave the Agent Profile Administration screen and display the Agent-Branded Administration page. History Date Created displays the date this profile was created. Last Updated By displays who and when this profile was last updated. Last Approved By displays who and when this profile was last approved. Agent-Branded Screen The Agent-Branded Administration page allows you to create a personalized Agent-Branded Web page. Note: If any of the Agent Data is displaying incorrectly or missing, please contact your Metro Admin. Display Options Select the Display Featured Properties option if you wish to display featured properties on your Agent-Branded Web page. Note: You can select featured properties by using check boxes provided next to each of their listings under Property Admin. These listings will only display if you have the Display Featured Properties Display Option selected on your Agent-Branded profile page. Select the Display Mortgage Calculator option if you want the Mortgage Calculator to display on your Agent-Branded Web page. Select Do not Display Team Links on Agent-Branded Site to hide the View My Team Listings and View My Team Profile links. Select the Display Introduction Page option if you want to have an introduction page displayed on your Agent-Branded Web page. Once this option is selected, the Headline entry field and Introduction Text entry field will become enabled. You will then have the ability to display a Headline on the Introduction page. You can enter up to 100 characters. CALIFORNIAMOVES.COM 24

Note: If there is text in the Introduction Text field and the option is not enabled, the text is grayed out and can t be edited. Once the option is checked, you will be able to edit the current text. Branded Options You have the ability to choose to display the agent s direct phone or cell phone number for listings and agent contact information in the branded header. Direct Phone option is selected by default. You have the ability to display Title Text on the Agent-Branded Web page. You can enter up to 255 characters. You also will have the ability to enter a Facebook Page URL that you have setup for your business. CALIFORNIAMOVES.COM 25

Saving and Previewing the Agent-Branded Page 19 Click Save to save your changes. 20 Click View Profile to view the current active profile on the Consumer Site. 21 Click Preview to preview your changes prior to saving and applying on the Consumer Site. 22 Click Cancel to cancel any un-saved changes and return to the Agent Profile screen. 23 Click Return to Agent Profile to return to the Agent Profile screen. History 24 Date Created displays the date this profile was created. 25 Last Updated By displays who and when this profile was last updated. Team Profile If you are associated with a team, the Team Profile screen allows you to make updates to your team profile. 26 From the menu options on the left side of the screen, select Agent Tools. The various sections of the Team Profile screen are described in detail below. Upload Photo You are allowed to upload one photo to the team profile page. Photos must be in.jpg format and the maximum image size is 2 MB. 28 Click the Browse button to search for the photo you wish to upload. Once you have located the photo, click the Update button. The photo will be removed. Contact Information The following data entry fields are available for the Team to enter contact information. Enter information directly into the desired fields. Team Options The offices displayed within this box are associated to the Agents that are members of this team. Team Office can be selected only by Metro and Branch administrators. Team Name is editable only by Metro Administrators and can contain up to 75 characters. Team Slogan is editable and can contain up to 255 characters. The Team Web site URL can contain an URL address. Facebook Link: If you have a Team or business profile on Facebook, you can paste the link URL. This will be use in the social networking links on the homepage and Team Branded pages. Twitter Link: If you have a Twitter profile you can paste the link URL. This will be use in the social networking links on the homepage and Team Branded pages. Linked In Link: If you have a Team Linked In profile you can paste the link URL. This will be use in the social networking links on the homepage and Team Branded pages. Blog Link: If you have a Blog you can paste the link URL. This will be use in the social networking links on the homepage and Team Branded pages. CALIFORNIAMOVES.COM 30

YouTube Link: If you have a YouTube video you can paste the link URL. This will be use in the social networking links on the homepage and Team Branded pages. The Team Audio File is an MP3 file that can be uploaded. It can be a maximum of 4 MB. To upload or delete a Team Audio File.mp3, follow the same steps as uploading and deleting Agent Audio File. Note: Be sure to have the necessary audio equipment connected to your pc. The Team Video Link entry field is editable and contains the web site link to any commercials or Spot Runner ads that the Team created. Display Options The following options will be listed with a check box to activate or deactivate next to them. Do not display profile on Web Do Not Display Agent Links on Team Page. Hide View Our Listings Link. Show View Office Listings Link. Previews Team Architectural Team Team Members The Agents that are associated with this Team will be displayed in this section. Each Team Member will have their individual Agent photo displayed with their name, title, and office association. You can select the Team s Primary Agent by selecting one of the agents from the Primary Member drop-down list. CALIFORNIAMOVES.COM 31

Note: Clicking on the Agent photo or name will initiate a new browser displaying the Agent s Profile on the Consumer Site. Administer Photos Button Click the Administer Photos button. The Administer Property Photos screen will display. This screen allows you to upload photos associated with a particular property to be displayed online. CALIFORNIAMOVES.COM 51

ADDING A NEW PHOTO 67 To Upload Photos, scroll down to the Upload Grid. Select desired photos from your computer by clicking the checkbox that's near the desired photo. Click the "Upload Images" button to upload photos to the Photo Grid. Photos will be rendered to 425 x 319 pixels and then displayed in the Photo Grid. 68 From the upload grid, browse to the folder that contains the pictures you would like to upload. All pictures in the folder will be displayed. 69 Check each box next to each picture you want to upload. You can also click the Select All or Deselect All buttons to Select or Clear all images in one step. Click the Upload Images button. The photos you selected will now appear in the Photo Grid section. To delete a photo, click to highlight the photo(s) you would like to delete and click the Delete Photo button. REARRANGING THE ORDER OF PHOTOS To change the display order of the photos, click and drag the photo(s) to the desired location within the grid. RETURN TO DETAILS Click the <<back link to return to the Property Details Administration page. Administer Map Button Click the Administer Map button. Selecting Administer Map will open a MapPoint pop-up window displaying a map of the location of the property. After clicking the Administer Map button, a map displays showing the location of the home with a thumbtack graphic next to it. You have the ability to move the thumbtack to a different location within the map. This feature is desired when addresses are not displayed on the Consumer Site. Properties Missing Photos Report The purpose of this report is to show office name, MLS number, listing address, listing agent, and list date for each property that does not have at least one photo associated to it. Select Properties Missing Photos from the Reporting Tools menu. The report will display as is shown below. You can export the result to Excel by clicking the Export to Excel button.
