Abut AvePint Discvery Tl The AvePint Discvery Tl scans yur SharePint Online site cllectins and SharePint 2007/2010/2013/2016 envirnment. After the scan has cmpleted, the Discvery Tl stres all f the scanned SharePint data int a cnfigured database, which can then be retrieved and cllected int a reprt. The Discvery Tl can als scan yur SharePint 2007/2010/2013/2016 envirnment and generate SharePint data reprts in the CSV frmat based n the scan withut string the data in a database. The Discvery Tl prvides the fllwing reprts: SharePint Data Reprt Prvides a better understanding f yur SharePint envirnment. Strage Optimizatin Reprt Prvides a preview f the data strage based n the cnfigured rules and the cst n the strage. *Nte: The Strage Optimizatin Reprt can nly be generated fr SharePint 2010, 2013, and 2016 envirnments. 4

Befre Yu Begin Refer t the fllwing sectins fr system and farm requirements that must be in place prir t using the Discvery Tl. System Requirements In rder t use the Discvery Tl fr SharePint 2007 r SharePint 2010, the Micrsft.NET Framewrk 3.5 Service Pack 1 r later must be installed and cnfigured prperly n yur machine. In rder t use the Discvery Tl fr SharePint 2013 r SharePint Online, the Micrsft.NET Framewrk 4.5 r later must be installed and cnfigured prperly n yur machine. In rder t use the Discvery Tl fr SharePint 2016, the Micrsft.NET Framewrk 4.5.2 r later must be installed and cnfigured prperly n yur machine. Permissins Requirements The Discvery Tl must be run n ne f the Web frnt-end servers f a SharePint 2007, 2010, 2013, r 2016 farm. The user wh runs the Discvery Tl must have the fllwing permissins: Lcal System permissins: Permissin f Lg n as a batch jb (it can be fund within Cntrl Panel > Administrative Tls > Lcal Security Plicy > Security Settings > Lcal Plicies > User Rights Assignment) Full Cntrl permissin fr Discvery Tl installatin directry If there are n strict limitatins within yur rganizatin n the permissins that can be applied, yu can simply add the user wh runs the Discvery Tl t the lcal Administratrs grup t apply all f the required permissins. SharePint permissins: SQL permissins: User is a member f the Farm Administratrs grup Plicy fr Web Applicatin: Full Cntrl The db_wner database rle in all f the databases related with SharePint, including Cntent Databases, Cnfiguratin Database, and Central Admin Database The dbcreatr server rle t SQL Server 6

Getting Started Refer t the sectins belw fr imprtant infrmatin n getting started with the AvePint Discvery Tl. *Nte: Discvery Tl supprts being used n the server where the System cryptgraphy: Use FIPS cmpliant algrithms fr encryptin, hashing, and signing lcal grup plicy is enabled. Accessing Discvery Tl There are tw ways t access the Discvery Tl and leverage its functinalities: T use the standalne Discvery Tl, refer t the fllwing steps: i. Dwnlad the AvePint_Discvery_Tl_3.5.0_Serial_Number.zip file by cntacting yur AvePint representative fr links t this package. ii. Fr SharePint 2007, 2010, 2013, r 2016 envirnment, cpy the file t ne f the Web frnt-end servers f a SharePint 2007, 2010, 2013, r 2016 farm. Fr SharePint Online, cpy the file t a server with netwrk cnnectin. iii. Extract this file. iv. Lcate the DiscveryTl.exe (fr SharePint 2007 and SharePint 2010), SP2013DiscveryTl.exe, SP2016DiscveryTl.exe, r SPOnlineDiscveryTl.exe in the bin flder f the extracted flder and dubleclick it. The Discvery Tl will launch in a new windw. The DiscveryTl flder can be fund in the DcAve Agent installatin path: \AvePint\DcAve6\Agent\bin. Lcate the DiscveryTl.exe (fr SharePint 2007 and SharePint 2010), SP2013DiscveryTl.exe, SP2016DiscveryTl.exe, r SPOnlineDiscveryTl.exe in the bin flder f the DiscveryTl flder and dubleclick it t start the tl. 8
User Interface Overview When yu launch the Discvery Tl, the fllwing interface appears. Figure 1: The Discvery Tl launch windw. Discvery Tl Functins Refer t the fllwing sectins fr details abut the Discvery Tl functins. In the welcme page f Discvery Tl, click the Cntent Discvery ( ) tile n the navigatin r the Cntent Discvery link n the right pane. 2. In the Scpe Cnfiguratin step, cmplete the fllwing infrmatin: *Nte: This step is nly available when yu run the SPOnlineDiscveryTl.exe. URL Enter the URL f the SharePint Online site cllectin r OneDrive fr Business yu want t scan. Yu can als enter the SharePint admin center URL t scan all site cllectins r OneDrive fr Business. Username Enter the username f the accunt that has the Glbal administratr rle t the nde entered abve. Passwrd Enter the passwrd f the accunt. Select the Remember the accunt credentials checkbx t remember the URL, username, and passwrd yu entered. Click Validatin Test t verify the infrmatin entered abve. Click Next t g t the next step. 3. In the Scpe Selectin step, there are tw tabs: Tree Mde Click the farm, SharePint Online, r OneDrive fr Business nde t lad the ndes under it. Select the ndes where the data yu want t stre t the database by selecting the crrespnding checkbxes. Imprt Mde The site cllectins r OneDrive fr Business cnfigured in the XML file will be scanned by the Discvery Tl. *Nte: Select SharePint Online Site Cllectin r OneDrive fr Business when yu run the SPOnlineDiscveryTl.exe. 4. Click Next t g t the next step. Click Chse File, and select a file where the site cllectin infrmatin is cnfigured. T view a sample file, click Sample File. Click Clear t remve the brwsed XML file. 5. In the Discvery Mde step, select ne f the fllwing discvery mde: SharePint Data Basic Reprt, SharePint Data Advanced Reprt, and Strage Optimizatin Reprt. 10

T ensure the reprt generatin functinality wrks, the database cnfigured t stre data fr the SharePint data reprts and strage ptimizatin reprt MUST be different. Database Server Enter the IP address r name f the server where the database yu want t stre data lcates. Database Name Enter the name f the database where yu want t stre data. Authenticatin Mde Select an authenticatin mde t cnnect t the database. Yu can select Windws Authenticatin r SQL Authenticatin. Accunt Enter the accunt that has the db_wner permissin t the specified database. Passwrd Enter the passwrd fr the accunt abve. Click Validatin Test t validate the SQL database accunt. CSV Use this ptin t generate reprts f the cllected infrmatin in the CSV frmat. Specify a lcatin t stre the reprts. The default lcatin is the bin flder f the current tl s directry. T change anther lcatin, click Change Lcatin, select 12
the desired lcatin, and click OK t save the new lcatin. Yu can als click Make New Flder t create a new flder fr string the reprts. 8. Click Generate t scan data in the selected ndes and stre the specific data t the cnfigured database r generate the SharePint data reprts in the CSV frmat. T g back t the Discvery Mde step, click Back. 9. If yu click Generate, yu will be redirected t the jb status page where yu can see the jb prgress and jb details. 10. When the jb finishes, the fllwing message appears: The jb is cmpleted. The fllwing ptins are then available t yu: T g t the hme page f the Discvery Tl, click the Hme Page link. There is a click here link n the page if reprts in the CSV frmat are generated in this jb. T g t the reprt lcatin directry, click the click here link. Fr mre infrmatin n the generated reprts, refer t SharePint Data Reprts (CSV Frmat). Reprt Generatin T generate a reprt n the data frm the database, fllw the instructins belw: 1. In the welcme page f the Discvery Tl, click the Reprt Generatin ( ) tile n the navigatin pane r the Reprt Generatin link n the right pane. 2. In the Data Surce step, cnfigure a database t cllect data and generate reprts. Refer t step 7 f Cntent Discvery t cnfigure a database. 3. Click Next t g t the next step. 4. In the Reprt Type step, select the reprt type that yu want t generate. Based n the reprt type yu select, the fllwing steps are different. 5. If yu select t generate a SharePint Data Reprt, fllw the steps belw: a. Select the infrmatin types that yu want t be included in the reprt. There are three types f settings that yu can select. General Statistics Cnfigure the settings in this tab t cllect general statistics. Farm Overview Select this checkbx t cllect the infrmatin n each Web applicatin f the farm frm the database. Data Overview Select this checkbx t cllect the tp 20 site cllectins with certain bjects. List Infrmatin Select this checkbx t cllect all f the lists infrmatin frm the database. URL Length Warning Select this checkbx t cllect the infrmatin n the bject whse URL exceeds the maximum value. Enter a value t define the maximum length f URL. The default value is 255. Click Select All t select all f the checkbxes, r click Clear All t deselect all f the checkbxes. By default, the checkbxes are all selected. Custmizatin Cnfigure the settings in this tab t cllect custmized infrmatin. Feature Infrmatin Cllect the infrmatin n the features that are custmized and activated. Slutin Infrmatin Cllect the infrmatin n the slutins that have been added t SharePint. Click Select All t select all f the checkbxes, r click Clear All t deselect all f the checkbxes. By default, the checkbxes are all selected. b. Click Next t g t the next step, r click Back t g back t the Data Surce step. c. In the Reprt Generatin step, enter a name fr the reprt and specify a lcatin t stre the reprt. The default lcatin is the bin flder f the current tl s directry. T change anther lcatin, click Change Lcatin, select the desired lcatin, and click OK t save the new lcatin. Yu can als click Make New Flder t create a new flder fr string the reprt. d. Click Exprt t generate the SharePint data reprt with the selected types f infrmatin, r click Back t g back t the Reprt Type step. e. If yu click Exprt, yu will be redirected t the jb status page where yu can see the jb prgress and jb details. f. When the reprts are generated successfully, the fllwing message appears: The jb is cmpleted. There are click here and Hme Page links n the page. Click the Hme Page link t g t the hme page f Discvery Tl. 6. If yu select t generate a Strage Optimizatin Reprt, fllw the steps belw. a. Cnfigure Strage Optimizatin Reprt rules t filter dcuments t be included in the reprt. A rule cntains the fllwing tw parts: Criteria Cnfigure the criteria t filter specific dcuments t be extended t the external device. Size Enter a data size value fr the dcument. The units fr this value can be selected as KB, MB r GB frm the drp-dwn list. Use the cnditin >= t extend all f the dcuments whse size is equal t r greater than the entered size. Use the cnditin <= t extend all f the dcuments whse size is equal t r less than the entered size. Mdified Date Set a date range f the mdified time fr the dcument. Use the cnditin Frm T t extend all f the dcuments 15
that are mdified between the tw dates selected. Use the cnditin Befre t extend all f the dcuments mdified befre the date selected. Use the cnditin Older Than t extend all f the dcuments with a mdificatin date that is lder than the specific number f Day(s), Week(s), Mnth(s), r Year(s) selected frm the drp-dwn list. Click Add a Criterin t add anther criterin. Click the ( criterin t remve the criterin frm the rule. ) icn next t a Yu can change the lgical relatinship between criteria by selecting And r Or frm the drp-dwn list. (And is the default lgical relatinship). And The dcuments that meet all f the criteria are filtered. Or The dcuments that meet any ne f the criteria are filtered. Strage Select an external device where the filtered dcuments will be extended. 10 virtual strage devices frm BLOB Strage1 t BLOB Strage10 are prvided. Click Add Rule t add anther rule. Click the ( rule. ) icn next t each rule t delete the b. Click Next t g t the Reprt Generatin step and start the reprt generatin directly. The data strages are displayed in tw frmats. Yu can see all data strages and the data size in each strage n the right pane f the Strage Optimizatin area. On the left pane, the strages are displayed in a pie chart. In the Cst Saving area, enter the cst f each strage per year, and click Calculate. Yu can als click the Change t Mnth link t enter the cst f each strage per mnth. The cst f each strage per year/mnth and the ttal cst, befre and after externalizatin, will be listed in the table belw. c. Click Exprt t exprt the current reprt int an.xlsx file. d. Click Back t g back t the Reprt Type step, r click Finish t g t the hme page f Discvery Tl. License Manager Click the License Manager ( ) buttn f the hme page. The License Manager interface appears and displays the current license infrmatin in the License Details area. The Status, Server Hst/IP, and Expiratin Time f the current license are displayed. If the current license has expired r des nt wrk, yu can apply a new license. A license is required the first time yu run this tl. Refer t the fllwing steps t apply a license. 16
In the License Manager interface, click Brwse. Select a new license file and click Open. The details f the new license are displayed. Click Apply t apply the license, r click Cancel t cancel the changes. Prxy Setting Prxy setting allws yu t cnfigure the Discvery tl fr cases where it needs t cnnect t sites utside f the current server s netwrk when scanning SharePint Online envirnments. T access the prxy settings, in the SharePint Online Discvery Tl, click Prxy Setting n the hme page. The Prxy Setting page appears. By default, the N Prxy ptin is selected. T change the prxy settings, fllw the steps belw: Select the HTTP Prxy ptin. Enter the fllwing infrmatin: Prxy hst The hstname r IP address f the prxy server. Prxy prt The prt used t access the prxy server. Username The username t lg int the prxy server. Passwrd The passwrd t access the prxy server. Click Save t save the prxy settings. Running the Tl Using Cmmand Prmpt In the bin flder f the Discvery Tl flder, yu can als find the DiscveryTlCMD.exe (fr SharePint 2007 and SharePint 2010), SP2013DiscveryTlCMD.exe, SP2016DiscveryTlCMD.exe, and SPOnlineDiscveryTlCMD.exe files. These files can be used by Cmmand Prmpt t run the Discvery Tl withut having t pen the tl interface. Cmplete the fllwing steps t run the Discvery Tl using Cmmand Prmpt fr SharePint 2007/2010/2013/2016: On ne f the Web frnt-end servers f a SharePint 2007, 2010, 2013, r 2016 farm, pen Cmmand Prmpt. *Nte: Make sure the user wh pens Cmmand Prmpt is a member f the lcal Administratrs grup n the server. Enter the full URL f the DiscveryTlCMD.exe, SP2013DiscveryTlCMD.exe, r SP2016DiscveryTlCMD.exe file, and press Enter n the keybard.
