Welcome to TRAC! TRAC is the software and tool that Ricoh provides to support you in your copy and print needs. How do I access TRAC? Access by typing in the following address in Internet Explorer: http://owenscollege.ricohtrac.com All you need is access to the Internet. There is no special hardware or software required. ª Be sure to bookmark the site to make it easy to return to. Click on Favorites, then Add to Favorites, and OK 2
Getting Started What is my username and password? For New User Sign UP, your user name will be the first letter of your name and your full last name (example John Smith - jsmith) Exceptions: Jeff A Smith jasmith and John J Smith jjsmith The default password is : password (see images, next 2 pages) What if I ve forgotten my password? Click on the link at the left of the Login area that says Forgot Your Password?. Enter you email address in the box that appears and click Submit. An email will be promptly sent to you with both your user ID and your password. If you cannot log in, contact your Ricoh site leader. 3

Profile Changing your password Click the Tools tab (in the upper right hand corner). Click Profile Enter your new password in the Password field. Re-enter your new password in the Confirm field. Change or add any other data. Click on OK or Apply at the bottom of the form. Designate alternate delivery TRAC gives you the option to designate an alternate person to receive packages for you, whether it s for one day, one week, or indefinitely. Click on the down arrow to the right of the Alternate Delivery field and select the name of the person who will receive your packages. To turn this feature off, repeat the process above and click on the empty space at the top of the list. Click OK or Apply at the lower right corner of the form. (see image next page) 6

Preferences Changing your preferences By default, TRAC sends notification emails if: You ve successfully submitted a copy job Your copy job has been completed If you do not want to receive these emails, you can change your settings. You can change the settings again at any time. Click the Tools tab. Click Preferences. Check or uncheck the choice for: Copy job notifications Click Update at the lower right corner of the form. Copy Desktop View Job Manager/Job Queue When you click on the Copy tab, you will be presented with a list of your current/pending jobs and their status as well as job history. Current/Pending Jobs This allows you to easily view job status. By clicking on a job you are able to open and view the job ticket. Job History Once you have opened the ticket, you can print a copy by clicking on Print at the bottom of the screen. If you wish to edit a ticket you ve submitted, contact the RICOH Business Center Under Job History, you are able to view previously produced jobs. To re-submit jobs, open the ticket and click Re- Submit. Fill in a new required date and make any desired adjustments. (see image on next page) 10

Submitting a Copy Job Request Creating a New Copy Job Click the Copy tab Click the type of request you would like to submit (on the left side of the screen), i.e. Copy Ticket The job ticket will appear. To attach an electronic file Click the Browse button under Attach New Files. Locate your file and click it. Click Open. To attach another file, click the plus sign to the right of the Browse button. When you have attached all of your files, click Upload Attached Files. (see image on next page) Job Preview appears on the right side of the screen. This gives you a visual image of your job with requirements you are selecting. If Price Estimates are available at your site, these will be listed in the Job Preview as well. After completing the first part of the Job Ticket click Next in lower right corner to complete copy request. Fill out the job ticket as completely as possible. 12

Job and Delivery Requirements * Important: give the job a description that will allow you to easily recognize your job. Select the date and time required. Check if you require a proof before production of the job starts Check the delivery method that you need in Delivery Requirements. If you need your job delivered to someone else, designate that person in Notes. (see also, designate alternate delivery, page 6) Cost Center and Account fields must be completed. Click Submit in the lower right corner. (see image next page) You will receive an email confirming that your job was submitted successfully and when it is completed. 14

Searching for a Copy Job Click the Copy tab Click Search History in the task bar. You may search by: Date Job Number Description After you enter your search criteria, click Search. A report meeting your criteria will appear listing all data pertaining to the search. You will see only copy jobs submitted by you. (see image below) 16
