Release Highlights This release of CCH Email Marketing contains the following enhancements: Electronic Attachments Document Management Integration Mail Protocol selection Licensing Tax Explorer Links Versioning Online F1 Help Software Fixes Details of these changes are included within this document. Prerequisites Hardware and Software Requirements CCH Central v2014.4 is required before upgrading to CCH Email Marketing v2012.4. Before performing any upgrade, a backup of your existing deploy and database should be undertaken. The backup process is described within the CCH Email Marketing Installation Guide. Microsoft SQL version 2000 Support Sites running Microsoft SQL Server 2000 should contact CCH Customer Care & Support or their IT supplier to organise upgrading to a later version of Microsoft SQL Server. CCH Email Marketing v2012.4 is no longer supported on Microsoft SQL 2000. Note: This upgrade is not applicable to sites using Replication. All Replication sites should contact their Account Manager. Microsoft Outlook 64-bit CCH Email Marketing is not compatible with any Microsoft Outlook 64-bit versions. CCH EMAIL MARKETING V2012.4 RELEASE NOTES - DECEMBER 2012 1
Software Enhancements Email Template design changes In this release of Email Marketing, the template screen has undergone significant changes; the email template screen now utilises the familiar Microsoft ribbon functionality resulting in an easier navigation experience. The ribbon tabs used within this release of Email Marketing are as follows: Message Data Format Text Message Tab The message tab is the default tab presented when either opening or creating a template. Data Tab The Data tab is the tab used to add in unique fields used within smart reports and Tax Explorer reports. Note: The Tax Explorer icon will only be available when the installed version of Personal Tax version is 2013.1 (due for release in April 2013) or above. 2 CCH EMAIL MARKETING V2012.4 RELEASE NOTES - DECEMBER 2012
Format Text Tab The Format Text tab is the tab used to perform any text changes used within the body of the email template. Quick Access Toolbar As with other Ribbon applications, users can add items from each stream to the quick access toolbar, by right-mouse clicking on the specific item. Options are to either display below or above the ribbon. Online F1 Help Online help has been added into this release of Email Marketing. Press the F1 key in any of the following screens and the Email Marketing on-line help is launched: Edit template screen Template creation screen Email merge wizard screens ITS 49683 Electronic Attachments New functionality has been introduced to enable firms to attach a report to an email template when emailing clients. Reports are attached within either editing a template or within the template creation screen. Select Attach Report from the Message ribbon, a reports selection box is returned. Search for the required report using the search box, select the report from the list and click the OK button to attach the specific report. The Email Templates list screen displays the title of the attached report. Note: Only one report is able to be attached per template. ITS 49682 Document Management Integration New functionality has been introduced in this release which allows users to file emails into CCH Document Management. At Stage 5 of the Email Merge wizard, the Add to CCH Document Management is selected by default. Users need to specify the description of the document and the Document Type. Once the wizard is complete, these emails are searchable from the Document Centre screens within CCH Document. Note: These emails do not exist on the Central Document tab for Clients or Contacts. If the following error message is returned, the employee sending the emails requires the following #Document Centre#Check In permission to be set. Mail Protocol Method Selection In the last version of Email Marketing, users were restricted to sending bulk emails using Microsoft Outlook. In this release we have introduced the option to send emails using SMTP functionality (using the following two encryption methods; SSL and TLS). SMTP Username and Password The SMTP username and passwords are held within the individual Employees record. Access the Main Tab and select the passwords button. Note: Salted AES Encryption is used to store the SMTP password details. Once entered the password is masked by asterisks. To update/amend an existing password, highlight password and re-enter. Sending emails using Outlook with CCH Document Management integration When using Outlook the From field within the properties of the filed email within CCH Document Management is blank, this is due to Outlook handling authentication to the mail server. Sending emails using SMTP with CCH Document Management When sending the emails via SMTP the file is saved as an html file and any attachments are stored as a separate document. Email Marketing Merge Wizard Once all the applicable SMTP information has been entered, when the user performs a bulk email merge, they are presented with the choice of using either Outlook or SMTP. ITS 46666 Merge Wizard: Ability to Deselect Contacts A new Merge Selection tab has been introduced into the Email Merge Wizard which allows users to deselect contact/clients from receiving an email. This functionality matches the Merge selection option found within the CCH Central Mail Merge Wizard. CCH EMAIL MARKETING V2012.4 RELEASE NOTES - DECEMBER 2012 5

Copy and Renaming Templates Templates are now able to be copied and renamed from within the Email template screen list. Place a tick against the relevant template or templates to be copied and click copy from the task bar options. To rename a template, place a tick in the selector box and choose rename from the task bar options. Enter the new name in the rename template pop-up box. ITS 49681 - Licensing Licensing has been introduced into this release of Email Marketing. Practices are required to reapply their pin number from the Help About Licensing section, select the PIN Numbers tab and click the download button, after the upgrade to ensure that access to Email Marketing is retained. The licence details can be found under Help About Licensing The Email Marketing licence is calculated and applied per total number of users purchased. Version Number A change has been made to the way all products within CCH Central are versioned. Previously each product had their own version number, which was confusing for anyone wanting to keep track of when products were released and what was the latest version. All products now display the year and quarter of release. E.g. 2012.4 (year = 2012 and 4 = Quarter 4 [December]) CCH EMAIL MARKETING V2012.4 RELEASE NOTES - DECEMBER 2012 7
ITS 45492 Spell checker option in templates Users are now able to perform a spell check within their email template. This spell checker option has been added to the toolbar within this release. Users are required to click the spell checker option to perform a spell check within the template. Quality Improvements The following quality issues were resolved in CCH Email Marketing v2012.4: ITS 48884: Viewing Template with Vista/Windows 7 Previously, when viewing the Email Marketing template using Vista or Windows 7, users were presented with a black screen. ITS 45491: Incorrect Spacing on Template Previously, the body of the template appeared to be using double spacing when applying the enter/return key. ITS 50149: Editing and saving a template issue when running Central in Native 64-bit mode Previously, editing and saving a template resulted in the body of the text being saved as >H when running Central in native 64-bit mode. ITS 45494: Incorrect reporting on email failure notification with associations Previously, when using associations, if the association did not have an email address, the error message returned indicated the client was missing the email address and not the association. ITS 45493: Refresh issue with new templates Previously, users were required to click the refresh button for any newly created templates to appear in the list. System Administrator Mail Protocol Method Selection - SMTP In the last version of Email Marketing, users were restricted to sending bulk emails using Microsoft Outlook. In this release we have introduced the option to send emails using SMTP functionality (using the following two encryption methods; SSL and TLS). The SMTP Server, SMTP Server Port and relevant encryption method is required to be set within Central to active the Mail Protocol selection step within the Email Marketing Wizard. Three new configuration keys have been added to enable practices to set the SMTP Server and to provide an encryption method that the firm wishes to use.
