Use Advanced Wireless Forms to enter information about jobs, and send/receive updated forms while in the field. Advanced Wireless Forms uses built-in GPS tracking function to gather location information at specified time intervals and transmit the resulting data to the hosted server. Advanced Wireless Forms can benefit companies that do not require the full functionality of mcomet. For example, a company may want field workers to complete job-related forms and communicate with the home office/user groups only. Setup Installing Advanced Wireless Forms Install the application on your handset before using Advanced Wireless Forms. If you are installing an upgrade to an existing version of AWF, you must first uninstall the existing version. Contact Actsoft Technical Support for assistance with all uninstalls. Install AWF from iphone s App Store: 1. Choose Home. 2. From the Home screen, choose App Store. 3. In the Search field, type Actsoft. 4. Select Install. Setup Setting Up AWF Complete the setup process while you are in network coverage. After set up, your account and user number are stored on the handset. Choose Setup to change this information. All archived forms on the handset will be deleted if the handset setup is modified. 1. On the handset s main menu, choose the Advanced Wireless Forms icon. A splash screen displays, with three (3) options for starting: Take a Tour You will be logged in to the AWF demo account Sign Up Submit contact information to receive demo account information Log In Log in with your account and user number. After you log in, the Take a Tour and Sign Up options no longer display. 2. If you choose to log in with your Account and User number, the Log In screen displays: Release 1.5.2.26 March 22, 2013 9

Advanced Wireless Forms for Apple User Guide 3. Enter the Account and User Number, and choose Log In. AWF sends the account and user information and downloads the handset settings from the server. User setup is now complete. Menu options are determined by your system administrator. Preventing handset modifications You can prevent users from making the following modifications to the handset: deleting the AWF application disabling location settings AWF Application 1. In the Apple Settings, choose General > Restrictions > Enable Restrictions. 2. In the Allow section, switch Deleting Apps to Off. Now, AWF cannot be deleted from the handset. Location Settings 1. In the Apple Settings, choose General > Restrictions > Enable Restrictions. 2. Create a password, if necessary. 3. Verify that Location Services is set to On. 10 Actsoft, Inc. Setup 4. Choose Don t Allow Changes. Now, any further changes will require the password. Suspending and Returning to AWF Press the Home button to suspend AWF. You can then return to the handset menu and use all the handset features. Choose the AWF icon from the handset s main menu screen to resume AWF. Release 1.5.2.26 March 22, 2013 11

Using the Application Advanced Forms Advanced forms allow companies to customize new forms, or recreate paper forms for completion on the handset. You can save or archive forms on the handset to edit later. The handset s memory determines how many forms you can archive. Anatomy of an Advanced Form In Forms Designer, your administrator creates forms that include various screen elements, such as buttons, drop-down lists and checkboxes. A main form is created, and then decision field sections are added based on the data to be gathered. Repeatable forms are also created to list multiple items of the same type. Screen Elements and Field Behavior Drop-down lists Arrows next to a field indicate available data choices. If configured, you can select multiple values, or add unique values. Decision fields Fields requiring you to make a decision after you enter data are shaded. Drop-down list Searching Enter search criteria in the text field at the top of the drop-down list to search through list values. If the field is editable, you can add a unique value and choose (+) when you are finished. Added values stay at the top of the list unless deleted, changed in the Forms Designer or if login information is changed. Calculation fields - Calculation fields are based on formulas that calculate data entered into the form. For example, the Tax field below contains a mathematical Release 1.5.2.26 March 22, 2013 13

Advanced Wireless Forms for Apple User Guide formula that divides the Sub Total field by 0.07. Calculation fields can save time and increase the accuracy of simple or complex operations. Perform calculations such as addition, subtraction, multiplication and division. Calculations can only be performed using currency, numeric and some repeatable fields. Repeatable fields Repeatable fields can be also used for calculations such as count, sum and averaging. They feature the multiple page icon for easy recognition. Asterisks and Icons Fields with asterisks fields display a camera icon. are required, and camera-activated Hidden Data Input fields If your system administrator has configured it, entries in selected form fields will be replaced with security dots as you type. Additionally, security dots will display in the form preview. Hidden data input capability can be found in text, numeric, calculations, currency, odometer, camera, drawing and signature fields. Phone Number fields If configured, phone number fields can automatically format based on US or International format. United States phone numbers must contain an area code before the associated form can be submitted. 14 Actsoft, Inc. Rev. 3.0 www.actsoft.com

Using the Application Multi-select drop-downs If it is configured in the Forms Designer, you can choose multiple values in a field. To delete a drop-down list value, press and hold the value, and then confirm the action. Drawing fields A blank canvas is available for you to create graphics to include with your forms. You can draw, enter text, crop and change the orientation of your creations within the form. Choose the Drawing icon: Email fields Search and select one or more email addresses from the handset contact list. You can also enter a unique email address. As you enter a new address, the text will be red until it conforms to normal email protocol, and then change to green when it is acceptable. Click the plus (+) to add the address to the contact list. Using the Application 1. Select a form type from the Form Selection screen, or choose Archived to choose from a list of archived forms. You can also use the Filter field at the top of the screen to search for a form. Choose Cancel to redisplay the forms listing after you perform a search. 2. Begin the form, entering the required information. Drop-down arrows indicate that there are data choices for a field. Fields with asterisks are required, and camera-activated fields display a camera icon. Conditional sections are shaded note that additional information will display based on the choice you make for Estimate Performed. On the form below, the Estimate Performed section is complete. When you choose Yes, another section displays in which you can describe the work to be performed. Release 1.5.2.26 March 22, 2013 17

Advanced Wireless Forms for Apple User Guide Conditional section 3. Enter the estimated dollar value in the Estimated Cost field and select an answer to Customer Accept Estimate. Using the Application 4. When you select Yes to Customer Accept Estimate, the Parts Used repeatable form displays for completion. The Parts Used section is a repeatable form, as indicated by the multiple page icon. Repeatable form 5. Click on the Parts Used section and the repeatable form displays, as shown below. Choose the plus symbol at the bottom of the screen to create and complete this form as many times as needed to list all parts used. Release 1.5.2.26 March 22, 2013 19

After you complete all necessary repeatable forms, the main form will redisplay for completion. 7. Continue to the next conditional section of the form, Job Completed. Select No. 20 Actsoft, Inc. Using the Application 8. Enter the reason for the job status, and continue to the Parts Needed repeatable forms. 9. Enter the parts needed in the repeatable form. Select the plus symbol at the bottom of the screen to add more repeatable forms, and Done when you are finished. Release 1.5.2.26 March 22, 2013 21

Using the Application 12. On the confirmation dialog, choose Submit, or at the bottom of the screen, choose Archive Form to complete the form later. 13. Or, choose Archive and Submit to submit the completed form, and archive a copy to be reused later. Additionally, you can preview the form before you send it. On the confirmation dialog, choose Preview. Your completed form displays for review. Release 1.5.2.26 March 22, 2013 23

Advanced Wireless Forms for Apple User Guide You can also choose Print from the Form Preview screen to send the form to a wireless printer. Signature and Image Capture Captured signatures or images will display within the form. AWF allows multiple image capture on the same field. However, only the last-captured image displays on the form. View all images by selecting Menu at the bottom of the form, and then choosing Attached data. Images can be deleted from the attached data by selecting the trash can at the top right of the image. Working with Archived Forms Archived forms can now be renamed either upon saving or from the Archive list. 1. To set the rename option, first in the Apple Settings, select AWF from the Apps list. 2. Set Prompt for Archive Name to On. 3. Now, when Archive or Archive and Submit are selected, a prompt containing the current form name will display with a blinking cursor in the Name field. renamed: 4. Select Archive. The new form name displays in the Archive Form Selection screen. You can also rename a form from the Archive list: 24 Actsoft, Inc. Rev. 3.0 www.actsoft.com

Using the Application 5. Select the Edit button from the top of the screen. A dialog message will display, and all form names change to a bold blue typeface. 6. Choose a form from the list, and change the name. 7. Select Done on the keyboard. 8. Choose OK on the confirmation dialog. 9. The new name displays at the top of the form when you reopen it. Note that the form is renamed on the handset only. The original name is retained in the desktop or web application. Barcode Scanning Barcode scanning is available in any text field. 1. Double tap in the field to display and choose the Scan option. 2. When the camera opens, hold the camera up to the barcode and it will focus and scan the barcode. Release 1.5.2.26 March 22, 2013 25

Advanced Wireless Forms for Apple User Guide Working with Messages Use Messages to communicate with supervisors and other workers. Receive and view messages, along with items sent in response. A number on the envelope indicates that new messages have been received. 3. Choose the Messages icon. Current messages in your Inbox will display. Choose Refresh messages. to display new 4. Using the Application 6. Choose Reply to respond, or Delete to delete the message. Note: Deleted handset messages are kept on the CT server. The Reply screen displays, populated automatically with the sender s name. However, you can choose the To field to display a listing of additional recipients, as shown below, and then choose Accept Selection. 7. Type a response and choose Send. 8. To compose a new message, choose the icon from the Inbox screen. Select message recipients, enter a subject in the Subject field, and type your message. Release 1.5.2.26 March 22, 2013 27

Advanced Wireless Forms for Apple User Guide Push Alerts AWF receives update alerts automatically when changes are made to forms or if messages are received. AWF will notify you of a push alert with the following dialog: The badges on the Messages icon automatically updates to reflect the new count and their respective lists automatically update. Viewing Handset Data History Choose History to verify the status of data transmitted from the handset. When data is completed, an entry is added to the History screen with timestamps for time added and time submitted to the server. If the transmission is successful, a green circle displays next to the record, as shown below. 28 Actsoft, Inc. Rev. 3.0 www.actsoft.com

Using the Application If the device is unable to send the data, the Sent timestamp is blank and a yellow circle displays next to the record. You can also review any form type that has been completed and submitted. Forms associated with actions, such as Clock In forms, are also available for review. Reviewable forms are displayed in blue. Note that submitted forms can be reviewed only they cannot be modified. Filtering Records You can set a filter to display only specific record types, choose the maximum number of records to display on the screen, or to hide the feature completely. 1. Choose AWForms from the Apps menu. 2. Choose your desired settings for the fields displayed onscreen. Even if Show History is set to Off, records continue to be stored, so when it is reenabled, previously-added records will display. 3. Select Ok. If you opt to hide history records, they continue to be stored and are available when History is re-enabled. Release 1.5.2.26 March 22, 2013 29
