Paragon WebStation for Physicians Quick Reference (Accessing and Initial Set up) Logging in to Paragon WebStation for Physicians Paragon WebStation for Physicians is available on any Mass Eye & Ear network computer. Open Internet Explorer and in the address bar type: webstation Complete the login screen and click sign in Note: enter MEEI as your domain, and the user name and password is your Mass Eye & Ear network username and password.

1 st Time Set up of Advanced Search When you first access WebStation for Physicians open the Census Tab to set you search defaults. 1. Select the Census tab. 2. Choose the Advanced tab in the left side of the census section. 3. From the Patients: drop down list choose All Patients. 4. From the Type: drop down choose Current. 5. Click the SAVE button at the top of the census tab Searching and Adding Patients to Your Worklist Note: Patients must be added to a worklist before any clinical data will be available to view. 1. Start by opening the Census 2. From the Census tab, choose the Advanced Tab. 3. Use any combination of the available data fields: (Note: when searching all patients you will need to provide at least one of these additional search items) Last Name First Name N/S = Nursing Station R/B = Room Bed MRN = Medical Record Number Visit ID Patient Type

4. Press the Search button 5. Next to each patient s name is a check box. Check the box for each patient you wish to view and click the add to worklist button. 6. Your patients are now available in the drop down menu at the top left of the screen. 7. Once you have chosen a patient from the top left of the screen all the tabs and patient inquiry functions are now available for that patient.

Navigating Paragon WebStation for Physicians Paragon WebStation for Physicians is made up of a series of tabs and buttons that display information based on the current patient selected from the worklist. Upper Left in the upper left of the screen the following appear: Allergies hover your mouse over this to get a quick list of allergies, left click to open the allergy detail. Click again to close the allergy detail Code Status if code status order has been recorded in the electronic record it will be viewable by hovering over this icon. A yellow square with a question mark indicates that no status is entered. No Diet this will only appear if the patient has no active diet order Upper Right The Icons in the upper right are some useful system tools for your Webstation session The icons from left to right are as follows: Superuser unlock if visible, clicking this will allow you to access a medical record that is locked due to the fact it is being edited by another provider. Current user [Hover] hover over this icon to see the name of the person s is logged in to this session. Current Environment [Hover] hover over this icon and see the version number and name of what patient database you are in. Display Settings [Controls what tabs and data elements are on the screen] left click this to bring up a customization screen to remove or reorder what tabs appear when you use Physician WebStation. Refresh left clicking this button refreshes the information displayed in the patient information tabs on the top ½ of the screen. This button will turn red to remind you to refresh if you have been on a patient for an extended period of time. Help left click this button to open the extensive built in help manual. Lock Screen clicking this lock will lock your screen and suspend you session by clearing the screen. Exit USE THIS BUTTON TO LOG OUT. It s important that you don t just close your session, but that you click on the black X on the upper right to properly exit the WebStation.

Main Demographic Bar top of page. The first tool bar across the top of the screen starts with the drop down to select a patient from your worklist. Once you select a patient from this drop down all the other tabs and screens will reflect information from this patient. Use the button to flip one by one through all the patients on your worklist. This is handy if you are viewing one specific area of the medical record for multiple patients. Open a tab or button such as 72 hour pain or 72 hour vitals and use the blue buttons to change patients as you change the patient the rest of the screen will update. The remainder of this tool bar includes the following summary information: o Admit Weight, Admit Height, Height (current height), Weight (current weight), CrCl, Body Surface Area, Body Mass Index, Bed, Facility, Age, Gender, Admit Diagnosis, Admit Date, Length of Stay, Date of Birth, Pregnancy Status, Expected Delivery Date, Sonogram, Smoker, Organ Donor, Religion Depending on the width of your screen all these items may not appear unless you click the black triangle button on the far right of the screen. Left click to show a 2 nd row of information. Click again to return to one row. Patient Medical History Buttons: Below the demographics bar are a series of buttons that reflect the patient s medical history. Most of this information is patient reported, but most items can be updated by physicians and other care providers. Left clicking any of the buttons will open an area of the screen to show that details for that section. Click the button to close that section or select another button and the current section will automatically close. Note: If the text of a button s label is in a light gray color no information has been recorded for that item. Note: Depending on the width of your screen the number of buttons me be more than can displayed at one time on your screen. Use the left and right triangles on the far side of the screen to slide move left and right through the list of available buttons. Items available are: o Problems once CPOE is active this will be the area to maintain the physician problem list. Currently it is not used.

o Home Meds current home meds for the patient. Only 3 meds show at a time. Use the blue page number links on the left side of this section to change pages. o Adv Dir this area reflects advanced directive orders that have been electronically entered. o Demog basic patient demographic information includes Medical Record Number, age, and contact information (address and phone). o Implants this reflect any patient reported implants as well as charted implants recorded in our Paragon Operating Room Management application o Newborn only active for patients born in the hospital. o Blood not active for Mass Eye & Ear o Immun only lists immunizations given at Mass Eye & Ear (does not reflect patient reported immunization history) o Pat Alerts these are clinical alerts entered by nursing. Will reflect major items to be aware of when working with patient (Latex allergies, MRSA, physical disabilities, etc.) o Pain a summary of the pain levels recorded for the last 72 hours. o Visit a summary of registration and clinical data related to the current visit including patient type and service. o Financial insurance and payor information for current visit. o Contacts Names of emergency contacts and next of kin if recorded by Registration. o Soc Hx Age and general smoking status. o Vitals vital signs from the last 72 hours. o Alcohol alcohol consumption current and historical. o Tobacco tobacco consumption current and historical. o Rec Drug recreational drug consumption current and historical. o Fam Hist relevant family medical history items.

Patient Clinical Information Tabs Most of the screen is taken up by the patient clinical information tabs. These are the main tools to review medical record items from both the current visit and historical information. The tabs are as follows: CENSUS This is the tool used to search for patient and add them to your work list. (See the earlier part of this document.) Reporting In addition, some reporting is available from this screen. Using the check boxes at the left of each patient s name, select the patient you wish to print for and then click on one of the available reports: o Rounding a data gathering form for patient rounds o Facesheet a cover sheet normally use by registration or finance for patient record keeping. o Hand off report a summary page that can be used for unit transfers o Note: Left clicking on a patient s name from this tab will run a Physician s daily summary report this includes a brief patient medical history summary as well as 24 hour vitals and I/O. ACTION LIST this tool is currently not active. When CPOE begins in the late fall / early winter it will list submitted orders that need to be reviewed for additional information. CPOE Computerized Physician Order Entry. Please see additional training for information on how to use this functionality to submit orders from order sets or via personal favorites. ORDERS Allows for the searching of all Paragon patient orders (Currently contains: Radiology, Lab, and Microbiology) IN addition diet orders are listed separately at the bottom of this same page. To search for order from the Time drop down, select how far back you wish to look.

To view a copy of the order click on the underlined order in the description column. To print a copy of an order left click in the check box on the far left of the row, and left click the print button in the upper right of the window: Note Medication Orders entered in the Pharmacy can be viewed on the MEDS tab Note Normally you will not want to have the Active Orders button checked. Checking this limits what orders you see to only orders not yet performed or that are on a schedule to be performed. Checking this hides one time completed orders. Tip you can click the SAVE button to make your current Time settings your defaults for each time you log in. RESULTS The results tab contains all published results from the Laboratory / Microbiology and Radiology. Results are divided between two tab at the top left of the screen: Laboratory (this will include Microbiology and EKG) and Radiology. Once again remember that results are based on the Time: drop down to designate how far back to report. To see results check the box on the far left of the row and press the detail button. o From the Detail screen you may use the check boxes on the left hand side to select one or more measured results then click the graph button in the upper right to open the graphing tool. Use the button to return to the test detail.

If multiple results were checked use the buttons to move from one test to the next. Use the button to go back to the results list. Severity of results is indicated from the symbols on the far left of each row. Tip: Clicking on the severity symbol will open the results for that test directly. Normal Results Abnormal Results Critical Results Use the check box to select one or more tests and then click the button to get a table of values for measured test elements. To exit the trend screen, left click the button. Note clicking on the underlined name of the test will only show the o Note Radiology results do not include images. MEDS this tab shows both active and historic medication orders that have been processed by the pharmacy. Use the Time: drop down to select how far back to display data. When the administered. check box is selected you will only see orders currently being Use the check box on the left to select one or more medication orders then left click the button to see the order and the MAR (medication administration record) for the selected med(s). Use the button to go back to the med list. To see information on one specific med, left click on the underlined name of the med in the Generic Name/Desc. column VITALS this section contains 3 subsections (Patient Vitals, Measurements, Intakes and Outputs. Each section has its own Time: selector as well as its own settings and print button. In addition Patient vitals and Intakes and Outputs has a graphing button on the far right of the screen. The button does a quick graph of all the data currently showing.

Important: To get a complete set of results UNCHECK the box to the right of Significant:, otherwise the data you see will be limited to seeing only items the nursing staff has specifically flagged as significant. The patient vitals and measurements section has a Rotate View: check box. Selecting this redisplays that data in that section with the X and Y data axis switched. CLINICAL ASSESS this tab contains all of the clinical assessments and notes filed by the nursing staff. From the upper left select a report from the Report: drop down. Also use the Time: drop down to determine how much historical information to display. Important: To get a complete set of results UNCHECK the box to the right of Significant:, otherwise the data you see will be limited to seeing only items the nursing staff has specifically flagged as significant. Note: assessments are only available for the current visit. To see assessments filed for a past visit, you need to return to the census tab and search for prior visits and add them your worklist. A print button is available to the far right to print the data you are currently viewing. PAT SCHED this tab shows past and future scheduled appointments for the patient you have selected. Current day and future appointments display by default. Use the Time: drop down to see historic visit information. Left click on the underlined procedure to see additional information about that procedure; and use the BACK button to exit the detail screen and return to the summary list. REPORTS the reports tab will run reports to the screen with the option to print them. Many of these report will related to Meaningful use objectives. The one report that may be of immediate use is the patient profile report. Patient Profile Report this is a single report that combines all the patient reported personal medical history items that appear on the tabs across the top of the screen. o To print this report select the print button page. located in the shaded area at the top of the CAREGIVER SCHED this tab will display the surgical schedule for the provider that who logged in. To appear on this schedule the provider needs to be added to the surgical procedure in the Operating Room Scheduling module. The provider can be scheduled for any role (Surgeon, Assisting, Rendering, Observing) COVERING the tab is currently not enabled. In the future you ll be able to assign and view coverage information. MISC. this tab is the hospital provider directory. Use the seach boxes at the top and left click the button to view the directory.

Left click on a search result name to see additional phone numbers and other information for a provider. Use the BACK button to return to your search results from the detail screen. URLs this tab will allow you to create and manage website links to resources that you use often. To create a web link use the button. o Fill in a description of the link in the first column, in the 3 rd column enter the website address (as you would normally type it in the browser the http:// is not needed) o The Protocol column is a drop down and you would only need to change this is the site you are connecting to is a secure site (Https://) o Use the SAVE button on the far right to save your link
