Each ACH Type is recognized by a specific Standard Entry Class (SEC) code which also identifies the specific record layout that will be used to carry the payment. The primary SEC codes used follow : CCD : Corporate Credits or Corporate Debits are used for Payables (Credits) to businesses/corporations ; or Receivables (Debits) from businesses/corporations. PPD : Prearranged Credits or Prearranged Debits are used for payroll, expense reimbursement, etc (Credits) to individuals/consumers ; or dues, utilities, etc (Debits) from individuals/consumers. There are several other SEC Codes that are available depending on needs of your business. Creating New ACH Transfer Select New ACH Transfer Select ACH Type Click Submit Select the ACH Type drop down menu to choose the type of transfer you would like to create.* *If you have questions on what ACH Type code you should use, please refer to the notes discussing Standard Entry Class (SEC) codes on page 2 Enter Description This will appear on the statement and must clearly describe the intent of the file. Click Recurring Frequency (optional) o This should be used only if you have a file that contains identical information dates, amounts, receiver each time you send it. Select Effective Entry Date when payment/deposit is made Enter Transfer From data (should equal the total amount in the Transfer To section) Enter Transfer To data (should equal the total amount in the Transfer From section) Selecting Hold on the left hand side does not allow the information in that line to be processed. Saving your file will not allow it to be processed. It will be a working file or one for reference. Click Process to submit transfer or click Save to save your work Recurring End Date is only used for recurring transfers and is optional. Description behind each transaction allows extra information to travel electronically with the transaction. 3
Complete ACH Transfer Using Existing Transfer Select New ACH Transfer Using Existing Transfer Click Submit Locate the existing ACH Transfer and click the transfer description hyperlink Note: The Payroll ACH Type is an example only! The new ACH Transfer will appear. Complete and validate with the following information: Description (this info will appear on statements and cannot be changed) Recurring Frequency (if applicable) Effective Date (date funds will hit the account) Transfer End Date (Only for Recurring Transfers if the file should stop at a particular time) Total Credit Amount Tax Identification Number Total Debit Amount Transfer From and Transfer To sections Account Select the MidWestOne account from which the funds will be withdrawn or deposited, as the case may be Amount of Transfer 4
Note: To save an ACH transfer, click "Save". To cancel an ACH transfer, click "Cancel". Saved files allow you to return and work on them later. Saved files are not processed. Cancelled files get rid of any information that had been input. Hold select if you intend to stop the ACH transaction (this prevents that entry from being processed) Employee Name Employee ID (if applicable) Account Number R/T Number (can search via the binoculars if unsure of this information) Amount enter correct amount for current ACH transactions Select Process Importing ACH Transfer To Import an ACH File, you must select either NACHA or Non NACHA Select Submit NACHA means that it is from some software and is in NACHA format Non NACHA means that it is in the form of an Excel spread sheet Click Browse and Select File to Import Select Transfer Type (see Page 2 for Type reference) from Drop Down 5
Click Next o This allows you to view the file summary date, amount, number of debits and credits, and transfer type is correct Click Finish if all of the information is correct Click Review on the screen with the Confirmation Number if you want to look at the details Click Process to send or Save to come back to and process later ACH Transfer Template/Existing Template Select ACH Transfer Template Select Submit Select the appropriate user A list of templates for that user will show up. Select either New Transfer, Edit Template or Delete Template from the columns on the right depending on what action is to be taken The proper template will come up to be used Input the appropriate information Select Process 6
Verifying the Transfer Status of a File Select Inquire ACH Transfer Click Submit The ACH List will populate alphabetically o You can arrange this list by Transfer Description, Transfer Date, Debit or Credit Amount, or Transfer Status by clicking on the bolded column name under ACH List Verify the Approved file is showing as either Transfer Exceeds Review; Pending Approval or Pending Origination under the Transfer Status section of the ACH List o The Transfer Status will, generally, change to Processed after the file is processed by the bank during the business day. The exception will be the use of an extended Effective Date. Credit Files are picked up by the system 2 days in advance and Debit Files are picked up 1 day in advance. To narrow down a search when inquiring on a file, use any of the options on the right. The most popular are the Date Range (only the initial date is required); the total amount of the file in both the beginning and the ending Amount fields; or the status type of the file under the Status field. Processed files will be listed for a period of six (6) months. Saved files will be listed until they are deleted by the user or listed without access for a period of six (6) months. Only Saved, Pending or Recurring files can be changed. 7
