This Quick Start Guide is designed to help you easily personalize your website so you can begin to acquire leads and manage your customer interactions. By taking the time to review this information you ll be well on your way to reaping the benefits of XactSite Total web site. This Quick Start Guide will take you through the steps to set up your XactSite Total web site. GETTING STARTED YOUR WELCOME CALL You will be emailed by an XactSite product expert to schedule your Welcome Call within 48 business hours of signing up. During the Welcome Call, an XactSite product expert will walk you through customizing your XactSite Total web site. You can also contact the Welcome Call Team by email or phone 949-681-4868 to schedule your Welcome Call (you can leave a message if you do not reach a Welcome Call team member and they will contact you). MRIS SUPPORT CENTER You can also contact the MRIS Support Center at 301-838-7200 or toll free at 888-838-8200, or by email at helpdesk@mris.net. The MRIS Support Center s hours of operation are: Monday Friday Saturday Sunday 8:30 AM to 6:30 PM 8:30 AM to 5:00 PM TRAINING Sign up for an online XactSite training class! You can also take advantage of the XactSite video tutorials to get the most out of great features such as jump searches, jump search carousels, adding video to your XactSite web site, etc. USING A CUSTOM DOMAIN If you have a custom domain (www.yourname.com) you would like to use for your XactSite Total web site, please contact the MRIS Support Center. They will need to give you the nameserver information and find out what your custom domain is so that it can be assigned to your XactSite website. Note: if you have an email address associated with your custom domain, like you@yourname.com, please let the MRIS Support Center know. They will need to get the MX records for your email address so that you keep receiving your email after your domain is redirected to your XactSite web site. 3

CUSTOMIZE YOUR SITE You will manage your website through the administration page. To log in to the Administration section of your XactSite Total web site: 1. Go to http://mris.fnistools.com 2. Enter the Login Name and Password in the welcome email you received after signing up for XactSite Total. 3. Click Login CHANGE YOUR PASSWORD When you first access the system, your password is set to a default. For security reasons, please change your password to something that you can easily remember. To change your password: 1. Log into your web site administration site. 2. In the left navigation panel click Tools, then Change Password. The Change Password screen appears. 3. In New Password, type in your new password a. Passwords are case sensitive b. Must be between 4 and 16 characters long 4

c. Must NOT contain spaces d. Must NOT contain any of these characters: &, <, and > e. May be a combination of letters, numbers, and punctuation 4. In New Password Confirmation, retype your password exactly as you typed it in the New Password box. 5. Click Change Password. 6. If your password was changed, you will receive the message Your Password was updated successfully! VERIFY YOUR CONTACT INFORMATION Once you have signed in to your administration page, make sure that the information contained in your personal profile is correct. To access your personal profile: 1. In the left navigation menu, click on My Profile. The User Summary Information screen appears. 5

2. Verify the accuracy of the information. 3. To make changes, click Edit. The User Personal Information screen appears. Some information in this section will not be editable as it is populated directly from MRIS. To update, please log in to www.mris.com and click on My Account. Always click Submit at the bottom of the screen to save your changes. VERIFY YOUR EMAIL ADDRESS The Public email address that you have on file with MRIS is the default email address that is used for your XactSite website. It s important to verify that the Primary Email address is correct so that you can immediately start receiving leads generated by your website. If this email address is incorrect, please log in to www.mris.com and click My Account to update your Public email address. VERIFY YOUR PHONE NUMBER(S) You ll need to verify your phone numbers and enter any alternate numbers you want to display on your website. If the phone numbers you have on file with MRIS are incorrect, please log in to www.mris.com and click My Account to update your phone numbers. UPLOAD YOUR PHOTO When editing your profile, you can upload your photo by clicking the Upload Photo button. If you have an agent photo on file in My Account on mris.com, it should automatically appear in your XactSite profile. To make sure your photo displayed with your listings on MRIShomes.com and other MRIS products, you can also upload it under My Account. 1. log into www.mris.com 2. Click on My Account under Quick Links 3. Click on Upload your headshot to HomesDatabase.com. These photos display on MRIShomes.com as well as the XactSite website products. 6

CONTACT INFORMATION DISPLAY OPTIONS You can decide what contact information is displayed on your website. On your website administration page, in the left navigation panel, select My Website, then Configuration. On the Website Settings tab, scroll down to the Other Settings section, and click on Edit to the right of Contact Information: In Contact Information, make the following selections: In Marketing (Display) Name, enter your name as you want it to appear on your web site home page. In Preferred Phone, select the phone number you want displayed under your name on every page of your website. In Display Email, select the email address you want displayed on your website home page. If you want email sent to an address other than the displayed email, make the selection in Destination Email. All My Listings link text if you want to display your sold and rented listings for the past year (under your current broker code), you can check this option. You can change the text for this link if you want to. Check the items you want displayed on your website home page under Displayed. Always click Submit at the bottom of the screen 7

to save your changes. UPLOAD YOUR COMPANY LOGO Unlike your photo, your company logo is required. To upload your logo, follow these steps: Uploading Company Logo: The Broker of Record for your office can upload a logo with the steps below: 1. log into www.mris.com 2. Click on My Account under Quick Links 3. Click on Upload your logo to HomesDatabase.com. These logos display on MRIShomes.com as well as the XactSite Website products. Or you can upload your company logo in the Website control panel. If your broker later uploads a company logo in My Account, it will overwrite the logo you uploaded in the Website control panel. You can upload the logo by following these steps: 1. Log into the website admin 2. Click on My Website in the menu on the left 3. Click on Configuration 4. On the Website Settings tab, scroll down to the Image Settings section. 5. Click on Edit to the right of Logo. 6. The Select Logo box will appear 7. Click the Browse button to select the logo on your computer. 8. Click on Upload. 9. You should see the logo you just uploaded. If you have uploaded multiple logos, use the left and right arrow buttons to select the logo you want to display on your site. 10. Click Submit.You should now see the new logo displayed on your website. 8

CHANGE YOUR WEBSITE DESIGN There are several designs you can choose from. All XactSite websites are set up with the same default design, so it s a good idea to look at the other options to see if you want to change your design. To change your web site design: 1. On the left navigation menu, select My Website, and then click on Configuration. 2. On the Design tab, scroll down to the Design Settings section and click on Edit to the right of Design. 3. This section will display your current design. To view other design options, click [See Available Designs] 4. The Select Design window will display. You can scroll through and view thumbnails of other designs available for XactSite Total. 5. When you find the design you want to use, click Select. 6. You should now see the new design on your website. 9

BANNER IMAGE To upload a custom banner 1. Click on My Website and Configuration. 2. On the Website Settings tab, scroll down to the Image Settings section and click Edit to the right of Banner. 3. Click the Browse on the Banner Image box that opens select a picture you wish to use as your banner. Note the image file size and type recommendations. 4. Click Upload to upload the image. 5. Click Submit to save the change. To select a different banner 1. Use the left and right arrows to scroll through the banner images. 2. Once you have found the banner image you want to use, click Submit. CUSTOMIZE YOUR HOMEPAGE MESSAGE All XactSite websites are set up with the same default home page text, so take a few minutes to customize the text on your home page to best represent you to clients as a real estate professional. To customize your home page welcome message: 1. On the left navigation menu, select My Website, then click on Website Pages. 10

2. Click on the name of the page you want to edit for example, Home. The Home Page Edit screen appears. 3. In the Content Editor, type your welcome message. 4. Click Preview to see how your message looks on your website. 5. Click Publish to publish the changes on your website. You can also click Save As Draft if you want to continue working on your home page later. 11

ADD CUSTOM PAGES With XactSite Total, you can add 100 custom pages. For each new page you add, a link is displayed in your website s left navigation menu. To add a new content page: 1. On your website administration page, in the left navigation panel, select My Website. 2. In the Website Content section, click Add New Content. The Article Edit screen appears. 3. In Left Navigation Title enter the name of the new content page as it will appear in the left navigation menu on your website. 4. (Optional) In Left Navigation Alt Text, enter the text your website visitors will see in the pop-up when they point to the link in the left navigation menu. 5. In Browser Title, enter the information to display in the internet browser title bar when a visitor to your website lands on the new content page. 6. In Sequence, enter the number that corresponds to the order in which the link to this page will appear in your website s left navigation menu. 7. Check Display this page if you want the page to be available on your website. Unchecking the box will prevent the page from displaying on your website. For example, you have a page regarding an annual event that you want to display for a limited time each year. Rather than recreating the page each year, check the box when you want the page to appear and then uncheck it after the annual event is over. 12

8. In Select a Content Type, choose the type of content you want to display on the page: text, an external link, or an internal link. 9. Select Enter Content to use the content editor to display text. 10. Click Publish to publish the page on your website. 13

XACTSITE RDESK CRM FEATURES DASHBOARD Customize your Dashboard by clicking and dragging the widgets to the position you want. You can also use the widget controls to edit (pencil icon), collapse (up arrow icon), delete (x icon) or expand (down arrow icon) widgets. 14

CONTACTS Contacts can be added manually, by importing, or from your website (this is automatic people who have contacted you through your website are labeled as Leads). To get the most out of the XactSite rdesk CRM features, we highly recommend that you sign up for an XactSite online class. FLYERS & PHOTOS Click on My Marketing, Flyers & Photos, and click Create New Flyer. Enter a name for this flyer and then complete the steps: Select a flyer template Choose an option: o Select one of your listings to create a flyer for o Enter an MLS number to create a flyer for a listing o Or create a blank flyer Enter/verify the listing information Upload/adjust listing photos Print flyer 15

NEIGHBORHOOD & SCHOOL REPORTS The Neighborhood Repots and School Reports features under My Marketing allow you to enter an address and create print outs or emails branded with your contact information for marketing purposes, such as a listing presentation, or for a client who has asked for information on a neighborhood or school. 16

CMA The XactSite rdesk CMA included with XactSite Total gives you the ability to create professional CMA reports that are unique from those provided in Matrix. You can customize your Easy CMA settings by clicking on the Configure EasyCMA Settings link. Once you save your settings, simply enter the subject property address, as well as the number of bedrooms and bathrooms and click Generate Easy CMA. 17

BUYER S TOUR The Buyer s Tour allows you to create professional packages for buyers in preparation for a showing tour. Before taking clients to view homes, you can create a buyer tour handout that is branded to you, includes the main photo and a summary of each home they are going to see that day, and has space for them to add their own notes about each home. This helps your clients to add and save helpful information about each home, and keep that information organized. The report generates as a PDF file, so you will need to have an up to date version of Adobe Reader installed on your computer. You can install Adobe Reader at no cost by clicking here. 18
