Picasso Database Instructions Welcome to the Picasso database! This database was created in order to enable the employees of the Benelux entity of the Energy Services business line of GDF SUEZ to more easily access high-quality photos relating to their company/specialty. 1. Using the images The photos contained in this database are the property of the Benelux entity of the Energy Services business line of GDF SUEZ. Use of these photos is reserved for the professional purposes of our employees as well as for any other person working for these companies who has received authorisation to access them via a login and an individual password. They may not be used for private commercial purposes. Moreover, some photos depict buildings or works for which royalties can be claimed, so always carefully read the captions of the images before using them. You can be held personally responsible in the event of inappropriate use of this photo database. If you have doubts concerning the use of certain photos, don t hesitate to contact the communications department at the following address: communications@cofely-gdfsuez.com. 2. Login Members of the personnel of Cofely Fabricom and Cofely Services, Cofely Axima and their subsidiaries can obtain direct and automatic access to the database. All they need to do for this is to create a Picasso account via www.picassodb.com > Not registered yet? If, on the other hand, you are an external user and you wish to access this database, you should also follow this procedure, but your request will first have to be accepted by the administrators of this database. This can take 1 to 2 days. Be sure to carefully respect the small letters and capital letters when you register. It is important to reserve this login for your exclusive use. In case of abuse, you will be held personally responsible. In addition, your account will enable you to create baskets of images that are specific for you. If you were to communicate your connection information to colleagues, they might accidentally destroy your selections of images. 3. Forgotten password or login Click on the «Forgot your password» icon and fill in your e-mail address. You will receive an e-mail to reinitialise your password. 4. Accessing the photo library You will see that the interface is highly intuitive. You ll find there a search box (in the upper right), a navigation ribbon in the pages, and buttons that explicitly indicate their functions. 4/03/13 page 1 of 8
The central zone is devoted to displaying the images generated by a search. Thus it is normal that this zone is empty when first arriving at the page. The lower zone is intended for the baskets. Using Internet Explorer - «Standard» or «Minimalist» Interfaces There are two different interfaces (or views). In the following instructions, we will make reference to the so-called «Minimalist» interface. Note that this interface is not available in Internet Explorer 7 (IE7), but only as of version 8 of this navigator. We strongly encourage IE7 users to update to a more recent version. To do so, it is recommended that you contact your IT call centre (3737, for the personnel of Cofely Fabricom and Cofely Services). If you have to use Internet Explorer 7, you will be redirected to the «Standard» interface. In this case, please consult the chapter «IE7 Users» (p06). 5. Searches Where? The search box is located on the right in the upper ribbon after you have identified yourself. 4/03/13 page 2 of 8
Language? It is imperative that you conduct your search in English, since that is the only language in which the key words have been entered. How? You can do a search by entering one or more criteria into the search box. One word is enough but, as with most databases, a combination of words makes it possible to associate several search criteria. For example: "airport security" will produce images in which both airport and security appear. Use of the conjunction "and" serves no purpose, nor does the conjunction "or" function: you ll have to do 2 separate searches. Be sure not to make any typing errors, as that could have an impact on your search. If you have doubts about a word, you can also do searches by using the signs «?» and «*» (question mark and asterisk). The «?» replaces a single character, while the «*» replaces several characters. E.g.: a search for «h?t» will bring up all of the images that contain in their description the word «hat» or the word «hit». A search for «indust*» will bring up all of the images that contain in their description «industry», «industrial», etc. You can navigate in the search history, i.e. return to the previous search by using the left and right arrows of your navigator. 6. Advanced search The standard search will cover about 95% of your needs. However, a more in-depth search is also available. This type of search is intended more for people who are already familiar with the content of the database and its structure. You will be able to access it by clicking once in the basic search box. Then click on the words «Advanced search» that will appear. Different headings then become visible within a frame on the left: date, stocks, colours, size of the media, advanced filters... You can close this frame again by clicking on the cross located to the right of the words «advanced search». Various elements making it possible to refine your searches are available. - By date: this enables you to find photos by archiving date or by creation date. - By colour: is also available. Keep in mind that the tolerance relative to the chosen colour is low. In other words, the system will do a search for a specific colour and not for all similar shades. The blue of a sky can thus be very different from one photo to another. - By advanced filters: this search is useful in the rare cases when one wishes to do a search in a specific field of the database. - By reference: (registration number) can be very useful in order to find a photo that you downloaded earlier and of which you have no more than the reference 7. Unsuccessful search If you absolutely have to have a photo and it is not available in the search fields, you can always send your request to communications@cofely-gdfsuez.com. 8. Navigation If your search generates many photos, it is possible that the list can extend over several pages. A navigation bar then becomes visible at the bottom of the central panel. A given page can be accessed simply by clicking on the page number. You can also move from page to page with the small left and right arrows. Accessing a specific page is also possible via "go to page". Tip: the images are placed in reverse chronological order by archiving date. In other words, the first photos that appear at the top left during a search are the last archived images, and thus generally the most recent. If you wish to view the oldest photos, all you have to do is go to the last search page. 4/03/13 page 3 of 8
9. Viewing An enlarged image appears if you click on the image. You can also modify in real time the size of the thumbnails by using the cursor located at the bottom right. You can adapt and register the size of the thumbnails via the «Preferences» part. When you move over a photo, small icons/buttons will appear at the bottom of the thumbnails. You can click on: - (i): to access a detailed display of the information on the photo. - Caddie: to place the image in the basket which is active at the bottom of the screen (this allows you to shop amongst the photos, and then to download them later). - Downward-pointing arrow: to immediately download the photo. - Star: to add the photo to your favourites (which you will then be able to find at the top left). (See also the «Favourites» heading). 10. Information Detailed information relating to each photo can be obtained by clicking on the (i) located on the images. The information bears on the captions, but also their origins and their classification. The captions contain a description that is as precise as possible of the elements visible in the photo. The date when the photo was shot is sometimes mentioned, but this is not always the case. The "keywords" heading of the photo offers additional functionalities to search and navigate within the photo library. A click on one of these keywords launches a new search for the images whose description contains the same keyword, while a click on the symbol + appearing to the right of the keyword triggers a cross search with the previous search criterion. Example: imagine that you are doing a search on the word "bending". If you then click on the + located to the right of the keyword "helmet" in the information window of one of the images, a new search including "bending" and "helmet" is launched. Note also that a unique identification number called «Unique reference» is visible on each photo. This number can serve as indication for a later search or in order to share information with colleagues. See also «downloading» and «advanced search». 11. Downloading Photos can be downloaded in either of two ways: - Either immediate downloading of a single image by clicking on the Downward-pointing arrow icon located below the corresponding thumbnail. - Or downloading several images via a basket. All you have to do to make your photo selection is to click on the caddie when you wish to select one. All of the photos selected will be added to your basket at the bottom of your screen. To download them, you have to click on the icon (at the bottom right of your screen). 4/03/13 page 4 of 8
Downloading several images will prompt the creation of a zip file. Once the zip file is downloaded, it generally suffices to double-click on this file to unzip it. Sometimes it is necessary to right-click on the file and choose "Extract" in the menu. 12. Resolution of the images The resolution of the images was chosen so that you can easily use it in your PPT presentations, etc. If for some reason this size is not adequate, please contact the Communications department at the address: communications@cofely-gdfsuez.com. Other smaller formats are available that permit faster downloading if you can accept having lower resolutions. Note that each downloaded image bears a number that refers to the registration number in the photo library. See also «advanced search». 13. Baskets The baskets are visible right at the bottom of the window. You must click on the button (located at the bottom right - just to the left of the enlargement cursor) in order to make the basket in progress appear. The baskets regroup photos intended for selections specific to each user. Thus your baskets will not be accessible to other users. You can create as many different baskets as you wish. Similarly, you are free to rename them by clicking on the name of the basket. To add a photo to the basket, all you have to do is click on the caddie icon. It is not possible to place the same image into a given basket multiple times. The entire content of a basket can be downloaded in a single time (see «downloading»). 4/03/13 page 5 of 8
14. Favourites A click on the small star located on each thumbnail makes it possible to designate the image as a «favourite». If you click on the corresponding icon located at the top left, your favourites will be displayed. The favourites are saved after disconnecting, so you will find them again the next time you visit. However, you must be aware that these do not offer the same possibilities as the baskets. Always prefer the baskets when you intend to download the images. 15. Preferences By clicking on the wrench icon located to the right of the search box, you can access the preferences. You can register the size of the thumbnails so that the photos are always presented with the same size each time you connect to the photo library. You can also set the number of thumbnails to be displayed per page. By adjusting these two parameters as you wish, it is possible for you to configure an optimal display, so that it is not necessary to use the vertical scroll bar of your navigator. Users in IE7 (Differences) The «Minimalist» interface is not available in Internet Explorer 7. If you use Internet Explorer 7, you will be redirected to the «Standard» interface, which has the following differences. 1. Searches - The search box is located in the centre of the upper ribbon. - The two arrows located at the left of the "Batches" button offer the possibility of navigating in the search history, i.e. returning to the previous search. 2. Advanced search The advanced search is available via the "advanced search" button located on the left. A ribbon offering more search criteria will appear. You can close this ribbon by clicking on the «Exit advanced search» button. 3. Navigation The navigation bar in the pages is visible above the thumbnails. 4. Viewing An enlarged image automatically appears when you move the mouse over the thumbnail, so it is not necessary to click on the image. The cursor that enables one to modify the size of the thumbnails is located in the upper right. The button with a downward-pointing arrow makes it possible to place the image in the basket active at the bottom of the screen. The button featuring a diskette permits immediate downloading of the photo. 5. Information Detailed information relating to each photo can be obtained by clicking on the (i) located under the images. 4/03/13 page 6 of 8
6. Baskets You can rename the basket by clicking on the drop-down menu located to the left of the baskets ribbon. To add a photo to the basket, all you have to do is click on the icon with the downwardpointing arrow appearing below the thumbnail of the image. To view the basket in progress in the central panel, click on the «see the basket» button. 7. Favourites This functionality is not available in this standard version. 4/03/13 page 7 of 8
FAQ How do I download images? Consult the downloading section of the instructions (p4). How can I use the images? The photos are intended for professional use by the employees of Cofely (the Benelux entity of the Energy Services business line of GDF SUEZ). They cannot be used for private commercial purposes. Moreover, some photos depict buildings or works for which royalties can be claimed, so always carefully read the captions of the images. I lost my login and/or password All you have to do is go to www.picassodb.be, click on the «Forgot your password» icon and fill in your e-mail address. You will receive an e-mail to reinitialise your account. Note that if your e-mail address has already been encoded once in the database, you must pass through this stage. You will not be able to create a new account. Is it possible to obtain higher resolutions? The photos are saved in the JPEG format. This is a very common compressed format. The size in pixels is indicated in the information window. If for some reason you need to obtain a higher resolution, send an e-mail to communications@cofely-gdfsuez.com explaining the reason for your request and mentioning the unique number of the photo.
