About Real Forms 2015 ListCENTRAL Real Forms (previously known as Filogix Forms ) is an electronic offline OREA standard forms kit containing purchase & sales agreements, waivers and associated clauses for use by any OREA member. This software includes all the standard OREA forms in an easy-to-use format that installs on your computer rather than off the internet; thereby giving you added security and access. Additionally, with the installation of the Real Forms Data File Import Utility, you can download DMS listings into Real Forms to automatically populate forms and agreements, thereby saving time and improving accuracy. Installing and Setting up Real Forms Installing Real Forms 2013 requires a high-speed internet connection. If you are using a dial up connection, contact the board to obtain a CD copy of Real Forms for your installation. To download and install Real Forms onto your computer from the internet, follow the four steps below. Step 1: Download Download Real Forms by clicking on the following link:http://download.mresdms.com/resources/forms/forms2015fullinstall.exe If prompted to Save or Run the file, select SAVE and select your desktop or another convenient location to save the file. Be sure to remember the location of the saved file so that you can install it. Step 2: Install The saved file is named forms2015fullinstall. Locate it from where you saved it in Step 1 and double-click it to launch the installation. When the Welcome to the Install Shield Wizard window appears, click Next and follow the on-screen instructions to install the application Step 3: Activate Now you need to activate and register your copy of Real Forms. Note that if you do not activate your copy, it is still possible for you to use Real Forms; however if you print or email an agreement, the word sample appears as a watermark. NEW to auto activate your individual copy of Real Forms you will need to go into the DMS system open your profile under My Business and located at the bottom of your profile page is your promo code (as shown below) Once you locate your code, open the Real Forms installation file and follow these steps: 1. From your desktop, locate the Real Forms icon and double click on it 2. If the Welcome to Real Forms window appears, close it by clicking it s X Button
3. From the main menu, select Help>Activation and the Product Activation window appears 4. From the Association dropdown, select the Ontario Real Estate Board (OREA). The Authorization Request Code automatically populates. 5. If you are a DMS member, complete the DMS Members section, including the DMS Promo Code. The Invoice number box becomes inactive (greyed out). Complete the remaining boxes in the window (Figure 1 below). If you are not a DMS member, complete the boxes in the bottom half of the window, including Invoice Number (Figure 2 below). 6. Click Ok 7. If you are a DMS Member (and had entered the DMS Promo Code), an activation code is automatically generated and Real Forms activates automatically. Click Ok to the Activation Successful message. If you are not a DMS member, you will receive the activate code via email. Call the Activation Desk at 1-855-755-2901 to provide your activation code to a consultant, who then will complete the activation.
Step 4: Personalize Now that you have installed and activated Real Forms, you need to edit your profile 1. From the main menu, select Edit>Application Preferences. The Application Preferences window appears. 2. Ensure the User Profile tab is selected and enter in the user details in the available fields. The details you provide will be used to automatically populate the forms and agreements where applicable. 3. Click the Broker Load Properties tab, and complete the following fields: DMS Board ID: Enter your board code (found on www.mresdms.com) DMS Login: This is your Login Name used to access DMS DMS Password: This is the password used to access DMS Confirm Password: Re-enter the DMS password to confirm
4. Click OK to save your changes NOTE: When your DMS password changes, you will be required to also change your password in Real Forms by following steps 3 and 4 above. Selecting Office Version If Real Forms is installed on a shared office computer, then ensure the OFFICE VERSION checkbox is selected from the Broker Load Properties tab. This option allows the login information to be overridden with what you provide at the time of submitting, thereby allowing multiple users to use the same PC and not have to change the preferences each time a form is submitted. NOTE: Real Forms will auto-populate the Agent ID field on the form with the DMS Board ID from Application Preferences. Therefore, the user will need to update the Agent ID field on the form before submitting. If the user saves the form for later submission, the Agent ID field will remain with what is entered into it (the field is only populated initially with the DMS Board ID when the form is opened.)
How to Access Broker Load Form Once the Broker Load Properties section has been completed, below are instructions on how to generate your board s copy of the listing entry form found on DMS: 1. Click on Broker Load 2. Click on Broker Load Wizard 3. A new window will appear and it will provide you with the ability to create a new digital form or open an existing form, whichever selection you make, click on NEXT.
How to Validate, Save & Submit Broker Load Form Below is a copy of your Real Estate Board s broker load form to enter new listings: 4. To submit the listing to the board, click on Broker Load at the top of the screen 5. Click on Validate (this will validate all of the mandatory fields to make sure they are filled out and completed.) 6. Once the Validation successful message appears, click ok 7. Click on Broker Load once again and click on Save & Submit.
Installing the Real Forms Data File Import Utility The Real Forms Data File Import Utility is a standalone application that allows you to download listing data from DMS directly into the Real Forms software, thereby saving time and improving accuracy when you will be creating forms. The utility is also capable of importing ancillary information such as company, agent and contact information, and can link all of the information into a new transaction for you automatically. Prior to installing the Data File Import Utility, ensure Real Forms is installed (page 5). To Install the Data File Import Utility, complete the following steps: 1. Click the following link to download the utility: http://download.mresdms.com/resources/forms/importsetup.exe 2. When prompted to Save or Run the file, select SAVE and select your desktop or another convenient location to save the file. Be sure to remember the location of the saved file so that you can install it. 3. The saved file is named setup.exe. Locate the file and double-click it to launch the installation wizard 4. Click Next and follow the on-screen instructions to install the application 5. Once complete, click Finish to close the installation wizard, and reboot if prompted.
Downloading a DMS Listing into Real Forms With the Data File Import Utility installed (page 9), you can download a DMS listing into Real Forms, thereby saving time and improving accuracy when you will be creating forms. To download a listing, complete the following steps: 1. Perform a search in DMS to locate the desired listing 2. Open the listing in Full View 3. Click the Real Forms button in the toolbar 4. The Real Forms Data File Download screen appears, and after a brief pause, a File Download dialog appears asking you to Open the file, click Open.
NOTE: Your browser may be set to prevent pop ups or downloads. If so, a message will appear in the browser asking if you want to accept the download. You must accept the download in order for the File Download dialog to appear. 5. After downloading the file, The Real Forms Data File Import Utility automatically launches 6. Select (check) the Create a New Transaction for this listing checkbox. Doing so opens a Name Field, in which you enter a name for the transaction that uniquely identifies it in the Real Forms software. HINT: Use the Street Address or Client Name to uniquely identify the listing. 7. Click Ok. The listing information is now available in Real Forms for you to access and auto-populate into a form or agreement. 8. Complete the above steps to download other listings into Real Forms
Auto-populating an Agreement from a DMS Listing After the DMS listing is downloaded into Real Forms, you can then access the listing and auto-populate it s information into the required form or agreement. Complete the following steps: 1. Open Real Forms 2. From the top menu, select Transaction>Open Transactions. (Listings downloaded into Real Forms are referred to as Transactions ). The select Tranaction dialog appears. 3. Select the transaction you want to create an agreement for and click OK to open it. An Open transactions has it name displayed on the status bar at the bottom of the screen. 4. From the Top menu, select File>New Form and select the required form. The information from the transaction (listing information) is automatically populated into the form. Note that you may need to select Transactions >Refresh Transaction Data on Form to see everything on the form. NOTE: You can edit transaction (listing) information before it is populated into a form. To do so, locate the transaction to be edited via Transaction>Transaction Management. Select the transaction and click the View/Edit Transaction button.
