Using WebQuarantine for Managing Quarantined Messages
Logging In To start a new mail session: Open your Internet browser and to go the WebQuarantine login page, URL: http://spam.mmc.org/quarantine/login.aspx Enter your email address and network password Click on Login NOTE: Cookies must be enabled before you can access WebQuarantine. 2
The WebQuarantine Interface Use the navigation bar to move through the various windows available in WebQuarantine. Check Mail: Click the check mail icon quarantined mail has arrived. to display your Inbox to check if new 3
Settings The Settings menu provides access to the WebQuarantine configuration options. These options allow you to manage your account and include settings such as email filtering and creating aliases for your account. This menu is found under your email address in the top right-hand corner. 4
Navigating List Pages Your Quarantine may contain many messages. They will span more than one page but you can scroll down pages to display them. Use the elevator levers to move up and down. 5
Managing Your Quarantined Mail The Quarantine view provides the name of the sender, the subject of the messages, and attachments if present. You can open an email message in Quarantine and view its contents but you cannot view attachments. Messages in Quarantine can be released to your Inbox or deleted and purged from the system. You can also use the one-click Empty feature to delete all messages from your Quarantine. 6
False Positives A false positive message is one that has been incorrectly identified by one of the category filters. These messages can be released to your Inbox and the email address and domain added to your Trusted Senders List so that future messages from this source will not be quarantined (unless the system detects a virus). 7
Releasing Email from Quarantine Select the messages you want to release. Click on any of the options you wish to perform: Select Release Mail to release the message to your Inbox. -or- Select Release & Trust to release the message to your Inbox and report it as false positive. NOTE: Email messages containing attachments that have viruses (or which are attachments considered dangerous by the system) and phishing spam cannot be released to your Inbox. Only messages that are considered spam can be released from Quarantine. 8
Adding Addresses and Domains to Your Trusted List You can add and manage specific email addresses and entire domains in your Trusted Address lists. NOTE: You should NEVER add any MaineHealth domain i.e. MMC.ORG, MEHEALTH.ORG, or yourself as a trusted sender because this will allow spam with spoofed sender addresses to come through. From the icons at the top, select your Trusted List (the upside down house icon) This box will appear: 9
Managing Your Safe Senders List To add a sender, enter the email address and click add that s it! Here you can add specific senders or entire domains to your Trusted Senders list, as well as delete from the list. To add, type email address and hit Add. To delete, click on the X mark to the right of the one you wish to delete. 10
Adding Addresses to Your Blocked List From the button bar, choose the Stop Sign Icon to access your Blocked List. This box will appear: 11
Managing Your Blocked Senders List You can add specific senders or entire domains to your Blocked Senders list. Your email administrator may add addresses to the system s Trusted and Blocked Senders List. These addresses will appear under the Server Trusted Senders List or Blocked Senders List and cannot be deleted. It is recommended that you do not let your list of Trusted and Blocked Senders grow too large because legitimate emails may be quarantined if you accidently forget that you blocked a particular domain. It is also recommended that you do not block common email domains, like @gmail.com, @aol.com, etc. because these too may block legitimate email if you forget you blocked the entire email domain. 12
Using Quarantine Reports You can elect to receive daily quarantine reports instead of using the WebQuarantine site to manage your quarantined messages. You can set this up yourself from WebQuarantine by clicking the Quarantine Reports Setting in the left column. 13
Managing Quarantined Messages Using Quarantine Report You will receive a daily email showing everything in your spam Quarantine. You can "release" (to your inbox), block, or delete emails plus perform other tasks right from your email system. No additional login is required. Watch for a daily email from MaineHealth Information Services, which will contain your Quarantine Report. Here's a sample report: 14
Managing Quarantined Messages Using Quarantine Report If you re unsure about the contents of an email and you d like a safe peek at it, click the Subject of the email in question. If you want it released, click the Release button from there. If you scroll all the way down, you should notice that there is a "Delete All Contents" link at the bottom which you can use to delete all the emails listed there (once you ve released all the emails that you want). You don t need to delete your spam the system will do that automatically within 10 days. If you wish to keep things tidy, you can delete them. Also please note the "Release" link beside each email. Clicking this link will allow you to have any of the legitimate emails sent to your email box. After clicking the "Release" link on an email, you will be directed to this Quarantine Release page: 15
Managing Quarantined Messages Using Quarantine Report In the first section (Message Handling Options), you can choose to simply release the message from Quarantine or release and report it as legitimate email. By choosing the second option (if you re sure it s legit), you re helping our vendor to fine-tune our spam engine, as well as others. If the email is legitimate, go to the second section (Prevent blocking future messages from this sender by:). You could click the radio button for adding the sender s email address to your Trusted Senders list. Optionally, you could choose the option for adding the sender s domain name to your Trusted Senders list and this will allow anyone at the particular company to send email to you. On the email from MaineHealth Information Services, you ll also see a Block link for each email. If you wish to block all email from a particular sender s email address or sender s domain, you can do so. You will only receive the reports on the days that you have spam in your Quarantine. 16
Two Final Words of Caution Please be careful about whom you add to your Trusted Senders list or you may get a whole bunch of junk mail and possibly malware which can cut email productivity. Don't add obvious marketing sites just because you may be curious about the advertisement. Be careful not to add yourself as a trusted sender, as spammers often send email pretending to be from you. Don t ever ever ever reply back to a spammer or phisher out of anger and try to set them straight. You ll have just told them that the domain they sent the email to is valid, that the email address they sent to works, and that they can now turn around and lease that information to other spammers. And you ll just get more spam and phishing emails. 17
