Chapter 1. Using Chat Basics Use Chat to quickly connect and communicate with people and groups. After you log in, you can exchange text chats with your chat partners. To start many basic tasks, click one of the menus at the top; File, Tools, orhelp. To display a list of options for a specific contact or group, right-click the contact name or group name. How do I open and close Chat? You are automatically logged in to Chat when you log in to IBM SmartCloud Engage. About this task To open Chat, click Apps > Chat or click Chat in your dashboard. To close Chat, click File > Log out in the Chat contact list window. If no Chat windows are open, this action logs you out. If Chat widows are open, you remain logged in until you close all the Chat windows. Note: You can log in to only one IBM Sametime session at a time. When you open Chat in SmartCloud Engage, you are logged out of any open Sametime session that uses the service. How do I start a chat? When your contact list is populated with the names of individual contacts and groups, it's easy to start a chat with them. Procedure 1. Start a chat with someone by double-clicking their name in the contact list. You can also use the search box if the person is not in your contact list. If the person is available, a chat window opens. 2. Type your message at the bottom of the chat window. 3. Click the link icon to add a web address. 4. Click the emoticon icon to add an emoticon. 5. Press Enter to send your message to your chat partner. 6. When you have finished chatting, click File > Close or click X to close the chat window. How do I let others know that I am available? Your availability status shows others if you are online and available to chat. You can keep the default status of available or change to another status. IBM Corporation 2012 IBM 2010, 2012 1

About this task After you log in, by default your status is set to available. You can change your availability status to show others that you are away, in a meeting, or do not want to be disturbed. Procedure 1. At the top of the contact list, click the down arrow beside the availability status icon. 2. Click one of the other status options. 3. Optional: In the Custom Message box, edit the message that others will see. 4. Click OK. How do I add someone to my contact list? The contact list is a short list of people with whom you frequently chat. About this task Add people to your contact list to easily connect with them. You can add someone who is in your organization to your contact list. You can also add someone with whom you have made a connection. For example, you can invite a user from another organization to your network. After that person accepts your invitation, you can add them to your contact list. Procedure 1. Click File > New Contact. 2. In the User name field, enter the full or initial part of the person's name and click Search or press Enter. 3. When the name that you want to add displays in the Search results, select it. 4. Select the group to add the contact to in the Add to group field, and then click Add. What to do next To remove a name from your contact list, right-click it (or Cmd + click on Macintosh), and click Remove from Contact List. Click OK to confirm the removal. Keyboard navigation The following table identifies how to navigate in the contact list when it has focus. Table 1. Connect and communicate with people and groups using Chat. How do I add a group to my contact list? You can create your own groups to help you organize your contacts. Procedure 1. Click File > New Group. 2. Add a new personal group is already enabled. 3. Enter a name for the group that you want to add in the New group field. 4. Optional: If you want this group to be a subgroup of an existing group in your contact list, click Add as a subgroup to the selected group below and then select a name from the Add to group field. 5. Click Add. You can add any contacts that you want to display for this group. Create a privacy list to control who sees you when you are online. About this task A privacy list is an optional tool that lets you control how certain people see your availability status in Chat. Procedure 1. Click Tools > Privacy List. 2. In the search bar, type one or more letters of the name of the person or group you want to add and then select the name from the resultant list. Chapter 1. You can type the first part of the name and click Search directory for to display matches. 3. Click one of the following Privacy list options: v ONLY those on this list can see me online. v Everybody, EXCEPT those on this list can see me online 4. Repeat the previous step to add additional people. 5. Click Save. How do I invite someone to a chat I'm already having? If you are in a text chat with one chat partner, you can quickly invite someone from your contact list to join the chat. A chat with more than two chat partners is referred to as a group chat. Other things that you can do Procedure 1. In the open chat window, click Tools > Invite to Chat. 2. In the search field, enter the first few letters of the name. A list displays that shows all contacts who match the letters that you typed and who are online. 3. If the contact does not appear in the list, click Search directory for. 4. Click the name you want from the list. 5. Repeat to add others to the Invitees list. 6. Optional: Update the topic of the chat that recipients will see. 7. Click Invite. The recipients are added to the chat when they accept the invitation. Explore additional Chat options. How do I change my availability status? When you change your availability status, you can also customize the message that others see. Procedure 1. Click the down arrow beside your availability status. 2. In the Availability status list, click your desired status. 3. Optional: In the Status message field, enter a status message. 4. Click OK. How do I create contact nicknames? If two people in your contact list have the same first and last names, you might have difficulty telling their names apart. You can easily identify each person by creating unique nicknames. Procedure 1. Right click the name in your contact list that you would like to change (or Cmd + click on Macintosh). 2. Click Edit Nickname. 3. Get started with Meetings for mobile clients Install Meetings for Android participants from your Android device. You can perform the following actions: v Join a meeting v Update your profile v View the meeting presentation with Android on page 8 v View the participant list with Android on page 9 v Send chat messages v Display chat messages Install Meetings for Android Download and install the Meetings for mobile clients application. Download and install the Meetings for mobile clients application. Find the Meetings mobile client download at your device application store or using links on the Meetings for mobile clients Features page. Note: For Android devices, you must first open your device Settings page, select Applications and enable the Unknown Sources option. When you first start the application you are redirected to a profiles view. Content in the Name field is required; other profiles field content is optional. About this task Join a meeting to which you have been invited. Procedure 1. Open Meetings for mobile clients on your mobile device. 2. Click the Join tab to display the join view. 3. Enter the Meeting ID and click Join. Get started with Meetings for mobile clients on page 7 participants from your Android device. Update your Profile with Android Specify required and optional profile information. About this task Some profile information is required to join meetings to which you have been invited. Procedure 1. Open Meetings for mobile clients on your mobile device. 2. Click the Profile tab to display the profile view. 3. Specify your Name. 4. Specify additional profile information in the available fields. View the meeting presentation with Android After successfully joining a meeting, the presentation appears in the view. The view displays meeting presentation images that are being shared by the meeting presenter. View the participant list with Android A list of participants appears in the participants view. Click the Participants menu option to display the list of meeting participants. With the exception of the moderator and the All Participants entry at the top of the list, meeting participants are listed alphabetically. Note: The meeting moderator may choose not to make the participants list public. Optionally select a meeting participant, or All Participants, to send a chat message to that participant. You can open the chat view to see chat messages. Note: The moderator, and members of the question and answer group, can lower a participant's raised hand by pressing the participant's name and tapping Lower Hand. The moderator can lower all hands by pressing All Participants and tapping Lower All Hand. Sent chat messages with Android During a meeting, you can send a chat message to one or all meeting participants. View chat message with Android on page 10 Incoming and outgoing chat messages appear in the chat view. Get started with Meetings for mobile clients on page 7 participants from your Android device. Sent chat messages with Android During a meeting, you can send a chat message to one or all meeting participants. Click the Chat menu option to open th chat view. View the participant list with Android on page 9 A list of participants appears in the participants view. View chat message with Android Incoming and outgoing chat messages appear in the chat view. Click the Chat menu option to display the chat view. The meeting's chat messages are listed in reverse chronological order. Sent chat messages with Android on page 9 During a meeting, you can send a chat message to one or all meeting participants. View recently attended meetings Specify client settings A list of recently attended meetings appears in the view. Click the Recent tab to display the list of recent meetings. The list display the meeting ID and the time you last joined. Tap a meeting ID to join that meeting. Press a meeting ID to open a context menu enabling you to select the Join, Rename or Remove meeting options. Note: You can clear the list by clicking Clear Meeting Log. Get started with Meetings for mobile clients on page 7 participants from your Android device. You can specify the types of notifications to receive while participating in a meeting. Open the view from the Join, Recent, or Profile tabs by clicking Settings from the options menu. You can also set the application logging level to low or high low being less detailed, high being more detailed. Logs are useful for troubleshooting. Your administrator may request that you submit logs if you encounter problems. Uninstall Meetings for mobile clients You can uninstall Meetings for mobile clients using the standard Android uninstall procedure. 1. Open your device Settings page. 2. Tap Applications. 3. Tap Manage Applications. 4. Tap the Meetings for mobile clients name from the application list. 5. Tap Uninstall and OK to confirm. Enter a descriptive meeting Name of your choice. 4. Tap Save to add the meeting to your list and join the meeting. ipad Update your profile 1. Tap the + next to My Meetings to open the meeting ID prompt. 2. Enter the meeting ID and tap Go to join the meeting. Note: When you redisplay the My Meetings view, the meeting name appears as Meeting ID. You can edit the meeting name or remove the meeting using the available Edit and Delete options. Get started with Meetings for iphone and ipad on page 13 Use Meetings for mobile clients to join a meeting and optionally chat with meeting participants from your iphone or ipad device. View the meeting presentation View the participants list After successfully joining a meeting, the presentation appears in the view. Meeting content that the presenter is sharing with you appears in your viewer. If the presenter is not currently sharing, the view displays a default image. Note: Tap anywhere to display the presenter's name and the Zoom to fill option. Tap Zoom to fill to stretch the presentation to your display boundaries. When you tap the screen the following options are also available: v Raise Hand Tap to display a raised hand indicator, informing the meeting moderator that you want to contribute. Tap again to remove the raised hand indicator. v Slideshow Tap to display previously presented slides; optionally tap the slide you want to view. v Current slide Tap to display the slide currently being presented. This option is initially disabled. View the participants list A list of participants appears in the participants view. Related tasks Update your profile on page 14 Specify required and optional profile information. A list of participants appears in the participants view. Tap anywhere on the screen to display the Participants option. Tap Participants to display the list. With the exception of the moderator and the All Participants entry at the top of the list, meeting participants are listed alphabetically. Optionally select a meeting participant, or All Participants, to open a chat view in which you can initiate or respond to chat messages with that participant. Note: On the ipad, you can tap the Participate option to display a split view containing both the presentation and chat. Tap Hide to revert to a meeting presentation view only. Note: The moderator, and members of the question and answer group, can lower a participant's raised hand by pressing the participant's name and tapping Lower Hand. The moderator can lower all hands by pressing All Participants and tapping Lower All Hand. Chat with meeting participants During a meeting, you can chat with one or all meeting participants. Chat with meeting participants Event notifications During a meeting, you can chat with one or all meeting participants. Open the chat view by doing either of the following: v Tap a chat message notification that appears while you are in the meeting presentation view. v Tap anywhere on the screen to display the Participants option. Tap Participants to display the list. Select a meeting participant, or All Participants, to open a chat view. Note: On the ipad, you can tap the Participate option to display a split view containing both the presentation and chat. Tap Hide to revert to a meeting presentation view only. Once the chat view is open, type your message and tap Send to send the message to the specified recipient. Note: The title bar of the chat view displays the sender and receiver names. The sender and receiver names also appear in each chat bubble. Meeting participants who have been added to the question and answer group will receive chat messages addressed to that group. v Tap a slide to zoom in. An indicator appears when you are viewing a previously shared slide, and not the slide currently being shared by the presenter. Current slide allows you to display the slide currently being shared by the presenter. In addition, notifications appear when you've received a chat message from a meeting attendee and when the presenter advances to a new slide while you are viewing a previously shared slide. Tap the notification to view and optionally respond to a chat message.
