Introduction This guide is for managers using the NSA Health E-learning platform. National, quality-assured online learning and knowledge management, delivering the core, statutory and mandatory skills needed for a safe, competent and legal healthcare workforce. Available for all healthcare staff, courses can be undertaken anytime anywhere, and are self-paced allowing learners to bookmark their progress so that they can complete the training in their own time. A dedicated learner support helpline ensures learners are fully supported throughout their training. Navigating the site When you log in at the beginning of your session, you will be taken to your home page. From here you can access all of your learning aids.. Menu access to your profile and learning.. Manager menu These are additional functions you can access as a manager, including: Clients/reporting Users.. Help advice on who to contact if you have any questions. Profile details Access to key profile details. Information on groups you manage. Click Manager menu on the menu.. Click, Clients/reporting, to access information on the client groups you manage. This could be one or more organisations or departments.. The following screen allows you to view a hierachical list of all client groups you manage.. Beside each client you can click on either courses or learners. Please see page of this guide for more information. Search. If you manage a large number of client groups you may find it helpful to filter the list of clients. To locate a particular client group, you have access to a search box. Enter part or all of the name in the box. 6. Click Search to bring up all results relating to your search. 7. Information on groups you manage continued You can view course information and learner information for each of your client groups, by clicking on the relevant group. Course view. To view the courses available to a client group, click on (X course) beside the client group name.. A list of all available courses for this group will be viewable. Learner view. To view the learners in each client group, click on (X learners) beside the client group name.. A list of all learners for this group will be viewable. Reporting. Click Manager menu on the menu. To run a report on a client group click Clients/reporting from the Manager menu.. Click on Select clients to report on or move.. If you have a client with sub clients there will be an beside the name. You can view the sub clients by clicking on the arrow. Click here to select a client and all its sub clients in the list. Click here to unselect all sub clients in the list. To individually select client groups you want to run a report on, click on the box beside the group name(s).. Once you have selected the clients you wish to run a report on, click Report on selected clients. Page 7 of this guide looks at how to select the right options for your report.. Reporting options There are a number of options to choose from to view the best possible results for your report. Many of the options include drop down menus to select from. To view the drop down menus, click on the arrow beside the list. Report on. Summary of learners select this if you want to see an overview of learners information e.g. total time on the platform studying, total number of courses/modules in progress or completed.. Detail of learners select this if you want to see detailed information on learners e.g. total time for each module or course, if they are in progress or completed, and time spent on each course/ module. Learning objects. Courses If you only want to see course information for learners, select this option.. Modules If you also want to see information on the modules for each course, for learners, select this option. Course filter. You can choose to run a report on one course, or all by selecting from this drop down list e.g. select Manual Handling if you want to view your learners progress in only this course. Date filter 6. You may want to see specific details of dates that learners have used the platform or courses/ modules e.g. when your learners first started a specifc course select Date learner started this course/module. Date options 7. To use the date filter, you will need to select the time period you want the data from e.g. if you have selected Date learner started this course/ module on the filter, you may want to view this information from th May to th August only. 8. You can select the dates by using the drop down function, or by clicking the calendar icon which will bring up a pop up box with a calendar in it. Employee ID 9. Reporting example In this example the manager requires a report on each of their learners. This report requires information on their activity since April, based on their last study date, across all their courses.. When you have selected the options appropriate for your report from the drop down menus, you can choose to view your report online or download it in Excel.. Example of your online report.. Users. Click Manager menu on the menu.. To view users that you manage, click Users in the drop down menu.. The following screen allows you to view a list of the users you manage.. From this screen you can also add new users to the client groups you manage. Please note users only need to register for an account once.. Fill in all fields of the form that you are taken to. Searching users There are two ways of searching for users in your client groups. Basic search. The search box allows you to search your users to locate the one you are looking for. By entering the name, username or email address of that person, you can locate the correct person. Advanced search. If you require a more specific search click on Show advanced This gives you more detailed options to chose from, including when users accessed the platform.. This is the advanced screen.. To hide the advanced search view, click Hide advanced.. When you have input all search requirements, click Search to bring up the results you requested. 6. User search results. Your results will be displayed as a list below the search box.. You can reorder your list by clicking on any of the headings at the top of the table, in blue.. To view a user s profile, you can click on their name. See page of this guide for full information.. To email the user, click on their email address which will be highlighted in blue. This will open your default email programme.. Edit edit the user s profile. See page of this guide for full information. 6. Select select users you want to move to a new client group. Viewing a user s profile and managing course access You can select any of the users you manage, to see an overview of their profile.. To view a user s profile, click on their name where it is highlighted in blue.. This will take you to a new screen where you can view their latest profile information, courses started and courses available.. From this page you can also hide specific courses from the user. This means that they will no longer be able to access this course.. To hide specific courses from the user, click the box next to the course name. A will appear. To unhide a course, untick the box.. When you have made the changes specified click Hide these courses from this user. When the user next logs in, the course(s) will no longer be visible to them. Editing a user s profile As a manager you are able to edit the profiles of the users that you manage.. To edit a users profile, click Edit beside the name of the user.. This will take you to a new screen where you can: Edit their general information Amend the rights that a user has in your client groups Add any comments or notes Update their security questions Update their staff details.. Force password change When this box is selected this will force the user to change their password. The next time the user logs into their account, a new password screen will appear. They will not be able to continue their e-learning until they have amended their password.. Once you have made the changes, click Update profile before exiting the screen. Moving or archiving users You may want to change the client group that one or more of your users are in, or create an archive group where you can move the accounts of staff who have left your organisation. Follow these instructions to do so.. Click Select beside the name of the user.. If you wish to move all users on the current page, click Select all. N.B. This has to be done for each page of your users.. All users you select will appear in a list at the top of the page.. To clear the selected users, and start your list again, click Clear.. Click Move to a new client when you have selected all users you wish to move. 6. A screen will appear with the list of client groups you manage. 7. To move the users to the new client group, select the name of the client on the list. In this example, the users are being moved to the Technical Development group. 8.
