Panopto Event Recording Jonathan Shenton 28 th January 2016
Introduction Event Recording The BCS hosts hundreds of talks each year through all it s branches and special interest groups. However only a fraction of our membership attend these talks. By posting videos online we extend the reach of the BCS significantly. Panopto Panopto is a cloud based video production solution that the BCS has invested in. You can obtain a login for this solution by a request to groups@bcs.uk on the basis of one per branch or special interest group. Equipment Panopto is web based and has a small recorder app that can run on both Windows and MacOS X laptops. BCS does not provide laptops for this but will provide webcams (and microphones if required) on the basis of one per branch or special interest group. The currently recommended webcam is the Logitech C920 USB HD Pro. To obtain one (provided it is under 100) purchase and charge it on expenses in the normal way. Presentation to insert name here 2

Other Features Opening and Closing Credits Some people like to record some PowerPoint slide to provide opening and closing credits. We recommend the opening and closing slides are added to the presenters slide deck and recorded at the time rather after the event. If you records slides after the event please ensure there is an audio track to at least the intro slide(s) as otherwise viewers may believe something is wrong with their audio when watching your video. Adding Captions Currently the BCS has not included a captioning service in their subscription to Panopto. The documentation will be updated if and when this changes. Uploading to YouTube BCS Members Group Channel It is strongly recommended that you upload your videos to the official BCS members group channel. The reason for this in to ensure maximum visibility of your videos as a very active channel encourages watches to subscribe and this see the latest BCS videos on their YouTube home page. You can create a playlist within the BCS members group channel for your branch or SG. Login details can be obtained by a request to groups@bcs.uk. Before uploading the speaker must have signed the BCS release form http://www.volunteer.bcs.org/sites/default/files/sa_events_licence_to_publish_0.doc Metadata When uploading to YouTube it is extremely important to provide metadata for the video to ensure people can find your video. If people can t find it then there is little point going to the trouble of capturing the talk in the first place. Our most popular talk has 3,252 hits, our 10 th has 769 hits and our 20 th has 268 hits. 10 Minutes Of Your Life: Watching Paint Dry has 110,270 hits Presentation to insert name here 9
YouTube Metadata Title This should be appealing to the watcher and have key words in it. A good example would be The Enigma Coding Machine talk by Dr. Mark Baldwin A bad example would be BCS Edinburgh 29/09/15 Description This should be as full as possible and contain as many key words as possible. Tags When writing tags in YouTube, account for related topics, places, people, brands and commonly misspelled words and typos. Again, you can use the YouTube Keyword Tool if you need help coming up with tag ideas. Thumbnails Pick a good thumbnail for your video as this will be seen in the search results and may have a strong influence as to if you video is watched or not. Presentation to insert name here 10

Standard vs High Definition Webcam capture offers three resolutions Standard: 640x480 (600kbps) High: 1024x600 (1000kbps) Ultra: 1280x800 (1500kbps) The podcast output options are: SD480p: 720x480 HD720p: 1024x768 HD1080p: 1920x1080 The webcam portion is 21% of the screen SD480p: 151x101 HD720p: 215x161 HD1080p: 403x227 HD1080P 1920x1080 21% 403x227 Even output at HD1080p uses less data then the standard definition webcam records. 1 hour of sample video output at HD1080p was 240mb in size due to mp4 compression
FAQ I have a slow internet connection upload is taking a long time, what can I do? Change the power options on your laptop so it doesn t go to sleep and leave it uploading over night. Can an external speaker edit the video? Yes you can output it as normal in mp4 format and supply the file to the speaker. Can I import a video from a digital camcorder? Yes you can using the Upload Media function. However the benefit of using the Panopto recorder is that the audio, video and slideshow are all in Sync. Can you record joint events with other organisation? Yes provided the BCS is involved you can use Panopto. If my laptop fails during a recording will Panopto save up to the point of the failure? No unfortunately testing has shown that if the laptop fails then anything recorded to that point is lost. Can I publish the video to a branch/sg specific channel as well? No, our aim is to increase the BCS members group channel subscription in order to promote these videos more widely. By uploading to another channel you dilute this. FAQ (continued) I ve already uploaded a load of videos to a branch/sg channel what should I do? You cannot move a video to another channel. We will simply draw a line now and all new videos will be uploaded to the BCS members group channel. What do I do if the speaker will not sign the release form or scores out part of it? We can t force a speaker to sign it however if they don t we can t use the video. We want to keep our videos as BCS members only is this possible? We are encouraging all branches and SGs to make all videos publicly accessible as part of our Making IT good for society strategy. Presentation to insert name here 15
