Emails via Outlook Webmail Emails via Outlook Webmail If you need to access Outlook only, then run through steps 1-6 below: 1 Click to access the Internet. 2 In the Address bar type the following: https://emeamail.kennedyslaw.com or https://apacmail.kennedyslaw.com 3 Press Enter to confirm and upload login page 4 Enter your Windows username and password (the first logon you use when switching on your computer in the office). 5 Click 6 Your Outlook mailbox will now appear NB: The webmail virtual tour is stored on our Kennedys Intranet site under Business Services > Information Technology > Training > Quick Links > Remote Working Guides 1
Connecting to Citrix server (First time use only) Connecting to Citrix server (First time use only) NOTE: Setting the PIN required to access Citrix is something you should only need to do once, when you first use your citrix fob. This process must be completed before you can log in to citrix for the very first time. The PIN can be reset by IT if you forget it 1 Open Internet Explorer or other internet browser application 2 In the Address bar type the following: https://emea.kennedyslaw.com or https://apac.kennedyslaw.com 3 The following window appears: 4 Enter your usual Windows username and password (the first logon you use when switching on your computer in the office). TIP: Don t leave any spaces! 5 RSA KeyFob Users (mobile device users see step 6) (a) In PASSCODE enter the 6-digit number displayed on the RSA keyfob and click 2
Connecting to Citrix server (First time use only) TIP: Ensure that there are at least 2 bars on the left hand side of the keyfob, which means, you have 20 seconds to enter the 6 digits! Similarly if you are a Mobile Device RSA user ensure you have at least 20 seconds remaining. Time Bars x 6 Each bar = 10 seconds 6 Mobile Device RSA Users (a) (b) (c) For Blackberrys press the BlackBerry application key and select get passcode, then enter the 6-digit number displayed. For Windows devices press the tick to bypass the Pin screen, then enter the 6-digit number displayed. For Android devices you click the arrow to bypass the Pin screen, then enter the 6-digit number displayed. 7 Click The following screen will appear: 8 Enter a 4 digit personal PIN of your choice in the New PIN box on screen. The following screen will appear: 3
Connecting to Citrix server (First time use only) 9 Enter this same 4-digit PIN again in the New PIN box. 10 Click There will be a message on the screen telling you that the PIN has been created successfully and wait until the token code changes. Ignore this and navigate back to https://emea.kennedyslaw.com or https://apac.kennedyslaw.com where you will see the Citrix log on screen again. To now login to Citrix please continue to step 5 on the next page 4
Connecting to Citrix server (Regular use) Connecting to Citrix server (Regular use) NOTE: Connecting to the Citrix server provides access to your virtual Athena Desktop resources, enabling you to work as if still in the office. You MUST HAVE CITRIX INSTALLED ON THE PC/LAPTOP YOU INTEND TO USE OUTSIDE THE OFFICE. Please contact the IT Department to arrange this. 1 Ensure connection to Internet has been established. 2 Locate and have to hand your RSA keyfob, mobile device or your temporary PIN. 3 Open Internet Explorer or other internet browser application 4 The following window appears: 5 Enter your usual Windows username and password (the first logon you use when switching on your computer in the office). TIP: Don t leave any spaces! RSA Keyfob Users 6 In PASSCODE enter your 4-digit personal PIN code FOLLOWED BY the 6-digit number displayed on the keyfob. NOTE: If you forget your 4-digit personal PIN code, it will need to be reset by the IT Dept, and you will have to repeat the steps on page 2-3. 5

Time Bars x 6 Each bar = 10 seconds OR Mobile device RSA Users Select the RSA icon on your device, enter your 4-digit personal PIN code and press Enter, a passcode (an 8-digit number) will display on your device, enter the passcode on your Citrix login page where indicated. Ensure that there are at least 20 seconds to enter the 8 digits. OR Temporary Users (PIN only) Under PASSCODE enter your temporary PIN 7 Click NOTE You may be asked to enter a second passcode this should be the next 6 digit number displayed on your key fob or mobile device. 8 Click the Citrix Icon to complete the login and connect to your virtual Athena Desktop 9 When working from home your Athena Citrix session neatly fills the screen you re using but there s no title bar or minimise button. So how to get back to your home PC desktop? Press Shift + F2 to put the session into a window you can minimise. Repeat this shortcut to make the session fill the screen once more 6
Disconnecting your session Disconnecting your session With a virtual desktop environment you have two options when you want to end your session. One is to close down all your applications and log off. The other is to lock your PC with the applications still running so that when you next login, at home or in the office you can carry on exactly where you left off. Option 1 Shut down applications and Log off 1 Click on the windows Start button 2 Select Log off, to log off from your Athena Desktop session. 3 If you have been logged on for more than 20 minutes the following window will appear: 4 Close this internet browser window and the log off process is complete 5 If you have been logged in for under 20 minutes you must log off the Citrix session 7
Disconnecting your session 6 Click your name in the top right corner of the screen and select Log Off. Option 2 Keep virtual session running and lock the PC When a session is locked in one location, at your main desk for example, you can log in to that session from any other PC in the office, in another office or from home (or vice versa) and pick up just where you left off 7 Press CTRL + ALT + DELETE on the home PC/Laptop 8 The Windows Thin PC option list appears: 9 Select Lock this computer at the top of the list 10 Close the Web browser window 8
