LOGGING IN TO SECURE ACCESS FOR THE FIRST TIME 1. Go to the URL :- https://sa.education.gov.uk NOTE: This will not be available until the 10 th December. 3
2. In the Username box type in your COLLECT username. 4
3. In the Password box type in your COLLECT password. NOTE: If you should not know your COLLECT Username and Password, please contact the SA helpdesk via a Service Request Form PLEASE NOTE: After initial registration with Secure Access forgotten usernames & passwords can be re-set automatically via the system NOT via the helpdesk. Instructions on how to do this are on page 29 of this guidance. 5
4. Click on the Login button. 6
5. You now need to enter your unique PIN number. Schools will have retrieved this from EduBase, LA colleagues will have this e-mailed to them. The PIN can be retrieved from EduBase from the 31 st October, and will be e-mailed to LA colleagues from this date also. If any LA colleagues have not received their PIN number by the 10 th November, please contact the SA helpdesk via a Service Request Form. 7
6. Click on the Submit button. NOTE: The PIN number will only be required on initial registration. This will NOT be required for subsequent log in to the system. 8
OBTAINING YOUR PIN FROM EDUBASE SCHOOLS ONLY 7. Obtaining your PIN from EduBase Schools only. Go to: http://www.education.gov.uk/edubase/home.xhtml 8. Now click Login NOTE: most Local Authorities have a copy of all maintained schools PIN numbers, and will be issuing these to their schools. 9
9. Log in to EduBase using your EduBase Username & Password. This is NOT the same as your COLLECT username & Password. If you are a school user, your login (username) will be in the format URN_HT (e.g. if your URN is 999999, your username will be 999999_HT). 10
10. If you have forgotten your EduBase Username &/or password, use the automated system to reset these. For a forgotten username click on the I ve forgotten my username and enter your e-mail address. Tips: All school account usernames are in the format URN_HT (e.g. if your URN is 999999, your username will be 999999_HT). The e-mail address registered for your account is likely to be the general office address, such as office@schoolname.org or head@schoolname.or or alternatively your headteacher s e-mail address. Now click Confirm. 11
11. If you have forgotten your password, click on the I ve forgotten my password, enter either your username or e-mail address. Tips: All school account usernames are in the format URN_HT (e.g. if your URN is 999999, your username will be 999999_HT). The e-mail address registered for your account is likely to be the general office address, such as office@schoolname.org or head@schoolname.org or alternatively your headteacher s e-mail address. Then click on the Confirm button. 12
12. If you are still having problems logging into EduBase, click on the I m a school user and cannot login button. You will be required to enter your School URN followed by _HT. For example if your school URN is 999999 you should enter 999999_HT, this is also your username. A password reset e-mail will be sent to your school account s registered e-mail address. This is likely to be a general office address, such as office@schoolname.org or head@schoolname.org or alternatively your headteacher s e-mail address. Then click on Confirm. The system will then send a password to the school e-mail account which is held on EduBase. This is likely to be a general office address, such as office@schoolname.org or head@schoolname.org or alternatively your headteacher s e-mail address. If you are still having problems accessing EduBase you should e-mail the EduBase helpdesk at :- helpdesk@edubase.education.gov.uk When contacting the EduBase helpdesk, please email from your school's email address and include as much of the following information as possible, this will help us assist with your query: URN or DfE number, School name, Headteacher name, School postcode. 13
13. Once logged into EduBase you should click on the Communications tab. Your PIN will be held in the Secure Access PIN field. This will be available from the 31 st October. 14
CONFIRMING ORGANISATION DETAILS 14. Now you have accessed SA using your COLLECT username & password and your unique PIN number (if you do not use COLLECT this will be your S2S username & Password), you will now be required to confirm your organisation details. If they are incorrect please use the Service Request form to inform the SA Helpdesk. If the details are correct please click on the confirm button. 15
15. You will now be required to enter/check your user details and enter and confirm the e-mail address. Please NOTE that the e-mail address entered will be used by the system should usernames/passwords need to be re-set. The e-mail address used should therefore be a school e-mail address NOT a personal e-mail. You will now be required to select a new password. Please NOTE school users should inform all relevant users of the new password. 16
16. You now need to input your own security question, for example this could be your place of birth, maiden name, favourite colour etc. Now input the answer to your security question, and click on the Submit button. The Security Answer IS case sensitive Please NOTE school users should inform all relevant users of the Security Question. 17
SECURE ACCESS HOME PAGE 17. You are now securely logged into Secure Access and will see the home page. If at any point whilst using Secure Access you wish to go back to the home page, click on the home page icon. Schools (England Only) will see all three system S2S, COLLECT and Key to Success, and can click to access the required system. Local Authority colleagues will NOT see Key to Success (KtS), they should continue to use EAS to access KTS. Depending on individual requirements you may see only S2S/COLLECT or you may have access to both. Schools outside England will only have access to S2S. 18
18. All systems will look and behave exactly the same as pre Secure Access. 19
Please remember to Log Out of each system once you have completed your tasks. This will return the user to the home page of Secure Access. 20

YOUR ACCOUNT DETAILS 19. Whilst in Secure Access you can amend details within your account. Click on Your Account. 24
20. The information held for your account will be shown on this page. There is the choice to edit certain information at this point. Click on the Edit button 25
21. You can now edit the fields marked with a *. You can also amend your position within the organisation. 26
22. Once you have made any changes to your account you should click on Save. 27
23. Your changes will now be confirmed. 28
CHANGING YOUR PASSWORD WITHIN SECURE ACCESS 24. Secure Access also allows the user to change their own password, whilst in Your Account, on the left hand side there is the option to change password. Click on Change Password. You will then be required to put in your existing password. 29
25. Once you have entered your existing password, you should choose a new password from the choices given. Now click on Apply. 30
26. The system will confirm your password has been changed successfully. 31
CHANGING YOUR SECURITY QUESTION WITHIN SECURE ACCESS 27. Secure Access also allows the user to change their Security question. Within Your Account click on Change your Security Question on the left hand side. You will then be required to put in your existing password, and amend your Security question. Once you have completed this click on Save. 32
28. The system will confirm the changes have been made successfully. 33
FORGOTTEN USERNAME OR PASSWORD 29. Secure Access allows a user to retrieve their username or reset their password should they have forgotten them. Click on Forgotten username or password. 34
30. You now need to input your e-mail address (which is the one you registered with SA see page 16) and click on either I have forgotten my password or I have forgotten my username. Click Send. 35
31. The system will confirm that your request has been actioned and an e-mail will be issued to the e-mail account registered with Secure Access. 36
32. When you receive the e-mail for either password re-set OR username request, you should click on the link at the bottom of the e-mail. 37
33. This will now take you into Secure Access where you will be requested to confirm your Security Question. Once you have done this click Apply. 38
34. If it was your password you had forgotten, you will now be asked to choose a new password from the options on the system. Then click submit. Your password has now been successfully changed and you will be directed to the home page of Secure Access. 39
35. If it was your username you had forgotten the system will give you your username. Click on continue and you will be directed to the login page of Secure Access. NOTE: If you have forgotten both your username and password, you can request one and then the other immediately after. 40
LOGGING OUT OF SECURE ACCESS 36. To log off Secure Access, click on the log out button. 41
