QUICK START GUIDE Here is a tool that will help you generate prospects and follow up with them using your web browser. Your Lead Capture system has Personal Sites, Contact Management, Sales Tools and a Training Center. How Do I Get Started? Step #1 - Your Account Setup Wizard The first time you sign in, the Account Setup Wizard prompts you for information to personalize your system just the way you want it. This 4-step wizard addresses: 1. your unique website name 2. information for your autoresponders 3. your time zone 4. your merge information It s all explained perfectly in the wizard. If you re interrupted during the process, don t worry! You can complete it the next time you sign in. You can edit and update all of this information anytime in your back office in a cinch! Step #2 - Meet Your Back Office Homepage Every time you sign in, you are greeted by new and very cool information to help you and your navigation options. Here are seven key areas on your homepage you should know about: 1. There are super handy links to return to this homepage, as well as Help, Contact Us, and LogOut at the top of the page. 2. itelecenter is your personal virtual private phone system. This is the best number to publish on the internet, a Premier tool! 3. User Settings gives you access to your various user settings, like your merged info and notifications. 4. Today s Calendar gives you today s schedule at a glance. 5. Announcements keep you up to speed with any system updates, upgrades, and news. 6. Help & Training has all the tips and tricks you need to help you get the most out of the system. 7. Recent Activity tells you exactly what your contacts are doing, enabling you to focus on your hottest prospects! Step #3 - Set up your system notifications System Notification can inform you of various events via Email or Text Message. Click the User Settings link on the home page, and then click the Personal System Notifications option on the User Settings page. Events that you can receive notifications for include: All Events - select this option to be notified of all events. Prospect Filling Out Web Form - select this option to be notified when a prospect submits a web form. Returning Visitor to Site - select this option to be notified when a prospect revisits your site. Admin Calendar Event Reminder - select this option to be notified when an Admin entered event is on your calendar. Real Time Lead Submission - select this option to be notified when a purchased lead is added to your back office. Member Calendar Event Reminder - select this option to be notified when an event you have entered is on your calendar. Autoresponder Email Opened - select this option to be notified when a Contact opens an autoresponder email. Email Marked as SPAM - select this option to be notified when a Contact marks an email as SPAM. Email Notification To set up email notification: 1. Click the Notification By Email On option to and turn email notification on. Select Off to turn off email notification. 2. Enter your email address. 3. Select your Notify me by email when I receive options. 4. Click the Save button to save your settings. Text Notification To enter your cell phone number for text notification: 1. Enter the cell phone number you want the text notifications to be sent to. 2. Select your cell phone carrier from the drop down. If you don t see your cell phone service provider in the drop-down list, select the other option, and enter the domain name for your service provider. 3. Select your Notify me by text when I receive options. 4. Click the Save button to save your number. 2011 Lead Capture System - Page 2
Step #4 - Add your existing contacts Import Contacts (if your company allows imports): IMPORTANT NOTE: When you import contacts, those contacts will be set to Restricted status until they opt in to receive emails from you. Restricted Contacts can only be sent Follow up emails. Restricted Contacts will not be sent autoresponder email campaigns or email broadcasts. Once your imported Contact has opted in to receive emails from you, his/her status will change to be Confirmed. Confirmed Contacts can be sent autoresponder email campaigns or email broadcasts. The reason that your Contacts need to opt-in is to avoid SPAM complaints, so the system can provide great email deliverability. 1. Click the Generate Prospects option on the main menu or home page, and then on the Generate Prospects page, click the Import Contacts link. 2. Select the Category you want to put your imported contacts in from the drop-down. 3. Select Yes or No under Once your contacts have opted in to receive e-mail communications from you, do you want them to receive the autoresponder campaign associated with this category? and click the Continue button. If you select Yes, then if and when your Contacts opt in to receive emails from you, the campaign associated with the category will be assigned to be sent to these imported Contacts. If you select No, then if and when your Contacts opt in to receive emails from you, the campaign associated with the category will be assigned to NOT be sent to these imported Contacts. 4. Next, you need to identify the data you are importing. In the table, the Field Name column displays the data in the first row of your CSV file. Use the drop-downs in the Identify Field Name column to identify the data on your file. The system will place the data from the CSV file in the appropriate Contact Details fields based on your Identify Field Name selections. Select the Do not import option for data that should not be imported (like data there is no field for in the Contact Details). 5. If your CSV file s first row is a header row that does not have real contact data, DON T check the The above Field Names are not column headers checkbox. If your CSV file s first row is NOT a header row and has real contact data in it, check the The above Field Names are not column headers checkbox. If this checkbox is selected, then the system will identify the first row as data to be imported. 6. Click the Save button. A pop up will appear asking you if you want to send the opt-in email to your imported contacts so that they can opt in to receive emails from you. NOTE: If you choose to not send your imported contacts the opt-in e-mail now, your imported contacts will stay in Restricted status. If you choose to not send your imported contacts the opt-in e-mail now, you can send an opt-in email to a Restricted Contact in the future on the Contact Details page. REMEMBER: Contacts with Restricted status can only be sent one-time Follow-Up Emails. Contacts with Restricted status cannot be sent Autoresponder Emails or Email Broadcasts. 2011 Lead Capture System - Page 3
Manually Add Existing Contacts: 1. Click the Generate Prospects option on the main menu or home page. 2. To add one contact, click the Add a Contact link on the Generate Prospects page. To add more than one contact at a time, click the Add Multiple Contacts link on the Generate Prospects page. 3. Enter the information for your Contact or Contacts. 4. Select the Category you want to add the Contact to from the Select Category drop-down. 5. Select Yes or No under the This Contact will automatically receive a series of e-mail messages from the contact category above. How Do I Navigate in My Back Office?
