Introduction This release of WorldShare Management Services provides several new features in addition to numerous bug fixes. The new features are the direct result of user feedback. Recommended actions For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined to be significant for most institutions. We encourage you to review all the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution. Administrative actions Determine whether your library wants block patrons based on the length of time an item is overdue and update the appropriate patron type policies. Determine if your library wishes to apply fees for sending an overdue notification to a patron and if so, update the appropriate notification and bill policies Determine whether your library wants to limit hold requests for patrons from other branches and update the appropriate circulation policies Page 4 Page 5 Page 7 3

Circulation New Features Block Patrons based on the length of time an item is overdue You can now block patrons based on the length of time an item is overdue. This is an optional setting in the Patron Type Policy that allows libraries additional options for blocking patrons based on their individual library policies. The default is to not block patrons based on the length of time an item is overdue. To take advantage of this option in Service Configuration: 1. Navigate to Patron Type Policies 2. Select the policy that you would like to update 3. From Account Blocking indicate the number of days an item should be overdue before blocking the patron 4. Save the policy 4

Assess fee for sending an overdue notice You can now choose to assess a fee for sending an overdue notification to a patron. The fee specified by the library will be assessed per notification, not by the number of items on the notification. The default is to not assess a fee. You can take advantage of this option in Service Configuration. 1. Navigate to WMS Circulation 2. Create a new Bill Reason if needed 3. Create a new Bill Structure to establish the fee to be charged for the notification 4. From Notification Policies choose one of your existing Loan Overdue Notification policies or create a new one 5. From the Bill for sending notifications drop down select the appropriate Bill Structure 6. Save the policy 5

Improvements WMS API Updates OCLC will be installing an update to the following APIs: WMS Availability WMS Collection Management API WMS NCIP - Staff Profile Customers using either of the following APIs will need to update their code to reflect backward incompatible changes within this update. WMS Collection Management API WMS NCIP - Staff Profile This update includes upgrades to the underlying API infrastructure to align it with current API practices and patterns and enhance the security of our APIs by changing the way in which the user information is passed to the API. The update includes one backwards-incompatible change which we want to call out specifically to the developer community and WMS customers. User information (principalid and principalidns) which previously could be passed via url query parameters must now be passed via either: the Authorization header an Access Token associated with the user Examples of the deprecated API calls can be accessed on the Developer s Network. http://www.oclc.org/developer/news/2017/upcoming-backward-incompatible-changes-wms-apis.en.html 6

Limit hold requests to patrons of other branches/institutions You can now limit hold requests to patrons of other branches based on branch, shelving location and material format. For members of a WorldShare Group, libraries can limit hold requests to patrons of other institutions. With this addition, the options available for Individual libraries with multiple branches are: All patrons items from this location can fulfill hold requests for any patron Branch patrons only items from this location can only fulfill hold requests for patrons with a home location of this branch Other branch patrons only items from this location can only fulfill hold requests for patrons of other branches. No patrons items from this location cannot be used to fulfill hold requests Options for WMS Circulation Group libraries are: All patrons items from this location can fulfill hold requests for any patron Branch patrons only items from this location can only fulfill hold requests for patrons with a home location of this branch Other branch patrons from my institution only items from this location can only fulfill hold requests for the patrons of the other branches of my institution. Institution patrons only items from this location can only fulfill hold requests for the patrons of my institution Other branch patrons only items from this location can only fulfill hold requests for patrons of other branches in my WMS Group, including my institution. Other institution patrons only items from this location can only fulfill hold requests for the patrons of other institutions in my WMS Group. No patrons items from this location cannot be used to fulfill hold requests To take advantage of this option in Service Configuration: 1. Navigate to WMS Circulation / Location Policy 2. Make the change to all appropriate lines on the Location Policy 3. Save the location policy 7

Increase visibility of recalled items Based on comments from member libraries, informational messages about items on the Patron Account screen have been bolded to increase their visibility. View WorldCat holdings The ability to view all WorldCat Holdings has been added as a top menu option when viewing information about a specific title. 9

New Look for SIP2 Configuration Screens SIP2 configuration screens updated and improved Example Screens: 10

Bug Fixes Pull List displaying incorrectly when the number of columns exceeds the width of the screen. In Firefox and Chrome browsers, if the number of columns selected for the pull list exceeded the width of the screen there was no visible way to view all of the columns selected. When the number of columns selected to display on the pull list exceeds the width of the screen a horizontal scroll bar will display at the bottom of the screen. When a new item is added that results in a change to a single Local Holdings Record (LHR) that contains data for multiple items and one or more of the barcodes for those items is a duplicate of another barcode in the LHR, circulation status is not returned for some of the items in Discovery. 11

Item records are added to WMS Circulation and the circulation status displays in Discovery Problem installing POS printer application in Windows 10. When using Windows 10, the POS printer option did not display in the WMS Circulation interface after installing the POS printer application. Instructions in the online help for installing the POS printer application have been updated to include instructions on installing the printer application in Windows 10. Patron holds table does not load if there is a hold for an item that has been purged When a patron had an item level hold request on an item that was purged, the patron s hold requests would not load when navigating to the Hold tab in the Patron Account. When an item is purged any item level hold requests for that item will be expired and the patron will receive an expired hold notification. Default holding location for creating temporary items does not update when the branch is changed during the session. When library staff logon and change their branch location during the session the default holding location used when creating a temporary item is based on the original branch location. Default branch location used when creating a temporary item will be based on the current location set during the session. Schedule count does not update after placing schedule The schedule count does not update after placing a schedule for the title. To display the correct schedule count the bibliographic record must be closed and researched to see the updated total. The schedule count will update when a schedule is place. Error message received when saving changes to SIP2 custom messages When updating or adding new SIP custom messages an error message Previous save was not successful, please refresh the page and try again later was briefly displayed even though the changes were successfully saved. Error message is not displayed when saving changes to SIP custom messages. Replacement cost for item not being removed when long overdue item is checked out directly to a new patron without being checked in first. When a long overdue item is checked out to a different patron before it is checked in the replacement cost for the long overdue item was not removed from the previous patron s account. 12

Replacement costs will be removed as normal when a long overdue item is mistakenly checked out to a patron before it has been checked in. Error received when displaying items when a comma is used as a decimal separator in the item cost When a comma is used as a decimal separator in the cost subfield in the Local Holdings Record, a server error was received when attempting to display the associated item record in WorldShare Circulation. Items display correctly in WorldShare Circulation when a comma is used as a decimal separator in the cost subfield in the Local Holdings Record. Known Issues No new known issues.
