What is PowerPoint Microsoft PowerPoint is an easy to use application that helps you to create professional looking presentations and lecture slides. It can be very useful during lessons as images, sounds and video are easily incorporated. However it can be over-used and can be distracting! Starting PowerPoint Double click the Microsoft PowerPoint icon (located either on the Windows desktop or in the Programs list) When you first open the program, a blank presentation is opened as default. On the right of the screen you will see a list of alternative options for creating or opening presentations. Blank Presentation default option Creates slides that you design from scratch, allowing the most flexibility in design. From design template Creates slides from pre-designed slide sets for standard presentations. Additional templates can be downloaded and used from the internet. From AutoContent Wizard Creates slides through a step-by-step process and is a useful way to quickly create a presentation, however bear in mind that the wizard is more of a business tool so presentations are business oriented. Open a presentation Allows you to modify a presentation you have already created.

Creating a new Presentation Open PowerPoint and from the list on the right choose New Presentation From Design Template. A gallery of available templates is displayed on the right. By choosing one of these templates the entire look of the presentation can be changed. Simply selecting a template will change your presentation so that you can easily see what it will look like. The slide design can be changed later if so desired. Once you are happy with your design, click on the slide to start entering the title slide details. The title of your lecture and your name can be entered. Adding a new slide New slides can be added by going to: Insert > New Slide Pressing Ctrl + M Right Clicking on the slide view on the left side of the screen and choosing New Slide. A new slide is inserted at the cursor point

When a new slide is added the menu on the right will change to a Slide Layout menu. Different styles of slide can be selected from the options on the right Text only Content only (picture/sound/video) Text & content Slides can be moved by dragging them in the slide view Slides can be deleted by: Choosing the slide in slide view and pressing delete Right clicking on the slide and choosing delete Adding Images Create a new slide with a content layout Click on the relevant icon to add that content Or use Insert > Picture Image from file As the slide layout is changed the picture will automatically be moved Clip Art Image Video Clip

Adding links to a website A link to a website can be put into a presentation by simply pasting the URL (Uniform Resource Locator) or Website Address into a slide e.g. http://www.shuttleworth.org/ The link can be followed by clicking on it during the presentation, however this will only work if the internet is present! A better way would be to capture a screen shot of the website and put this in the presentation with the link beneath it To capture a screen shot open the website and press Print Screen on the keyboard. Return to PowerPoint and paste the image into a content slide. The URL can be pasted into the title of the slide to create a hyperlink. Saving a presentation A new presentation can be saved by using the File > Save as option on the menu bar or by pressing the Save button on the toolbar.

Viewing your presentation There are five different ways to view your presentations in PowerPoint. The views are accessed by using the buttons which are located in the lower-left corner of the screen or by using the View option on the menu bar. Normal view or slide view is the easiest to use when designing your presentation slide by slide. This is the default view. Slide Sorter view shows your entire set of slides on screen so that you can check the order and completeness of your presentation. Notes page view presents the slides in miniature so you can add notes to each slide for your presentation. Slide Show view puts your presentation together so you can view it complete with sound and animations. Adding notes to your presentation Notes are a useful way of organising reminders of additional points or details that you might want to cover during your presentation. At the bottom of the Normal slide view is a section in which notes can be added. Alternatively change the view to the Notes page view to more easily see all of your notes.

Printing the presentation PowerPoint offers several different print options to support your presentation. You can print slides, handouts and notes to support your lesson. Click File > Print on the menu (or press CTRL + P). A print dialogue box will appear. Printing slides In the Print What drop-down list choose slides and press OK. This will print out one slide on each page. Printing Handouts In the Print What drop-down list choose Handouts. You can then choose to have 1, 2, 3, 4, 6, or 9 slides per page. If you select 3 slides to a page lines are printed alongside the slides for students to add their own notes. Printing Notes Choose Notes Pages from the Print What drop-down list. This will then print out one slide per page with the relevant notes printed underneath.
