Importing from Blackboard Learn Grade Center Data to Banner 9 User Learning Scenarios Step 1: Make sure Final Grade Column Displays Letter Grade Ensure your final grade column in Grade Center has letter grades (e.g., A+, A, A-, etc.) in it, NOT percentages 1. Click on Grade Center in the Control Panel on the left-hand side of the screen 2. Under Manage, choose Grading Schemas 3. Move our mouse over the word Letter, and click the drop-down arrow that appears to the right. Click Edit. ITaP Training www.itap.purdue.edu/learning Page 1
4. Scroll down to Schema Mapping 5. Adjust the values in the Grades Scored Between column to match how you have indicated final grades will be awarded based on percentage of points earned. For more information on how to do this, see http://bit.ly/gradeschema. 6. After you ve adjusted everything, click Submit. You will be returned to the Grading Schemas page. Click OK in the bottom right-hand corner of the page to return to the Grade Center. 7. Go to the Total column in Grade Center and click the down arrow 8. 9. Under 1. Column Information change the Primary Display option to Letter. a. Ensure Secondary Display says None. 10. Click Submit Step 2: Obtain Grades from Grade Center Download the Grade Center from Learn 1. In the Full Grade Center, go to Work Offline on the right-hand side and choose Download. 2. Make sure you have the following settings: a. Under 1. Data choose Full Grade Center b. Under 2. Options choose Tab for Delimited type and Yes for Include Hidden Information ITaP Training www.itap.purdue.edu/learning Page 3
c. Under 3. Save Location choose My Computer 3. Click Submit 4. Click Download and save the file in a location of your choosing. Do not use the Open option within your browser and do not open the file from Windows - save it to your computer. Step 3: Prepare Excel File for Upload to Banner 9 Open and convert the file in Excel 1. Open Excel. 2. Click the File tab in Excel, and click Open. 3. Navigate to the folder where you saved the downloaded Grade Center file. Select the file, and click Open. ITaP Training www.itap.purdue.edu/learning Page 4
4. Opening the file will generate an error similar to the image below. Click Yes to open the file. Excel will open a Text Import Wizard. 5. Click Next as no settings will need to be changed. 6. On the 2 nd screen, click Next again, as no changes will be needed. 7. In the final step of the import, you will need to make one change. a. Click on the column with the Student ID inn the Data Preview window. b. In the Column Data Format option area, click the Text option. This will preserve the first zero in the students ID numbers. c. Click Finish. Save the file 1. Go to File, choose Save As and select Excel Workbook from the Save as Type: dropdown menu. 2. Go to your desired file location. 3. Give the file a name. 4. Click Save. The file is now ready for upload to Banner 9. ITaP Training www.itap.purdue.edu/learning Page 6
Step 4: Upload to Banner 9 Access Banner 9 For this step it is strongly recommended that you do not use the Internet Explorer browser. Please use Firefox, Chrome, or Safari to upload your spreadsheet to Banner 9. 1. Log in to Banner 9 at https://apps.mypurdue.purdue.edu/studentfacultygradeentry 2. Click on the course you want to upload grades for. This will highlight the course and provide a list of students in the selected course just below the courses listed. 3. Click the Tools button in the upper right-hand corner of the screen, and select Import ITaP Training www.itap.purdue.edu/learning Page 7
4. On the Import Grades box that will open, click Browse and select the spreadsheet with students grades that is saved on your computer, then click Next. Note: The screen image below is from Firefox. To select the file for upload, other browsers (like Chrome and Safari) may have a button that says Choose File instead. 5. You will next see a preview of the file. Make sure the My spreadsheet has headers option is checked, and the information in the preview is displaying correctly. Click Next to continue. ITaP Training www.itap.purdue.edu/learning Page 8
6. On the next screen two fields will need to be mapped to allow a correct upload: Student ID (Banner 9) to Student ID (spreadsheet) Final Grade (Banner 9) to spreadsheet column with the final Letter grade entered (typically the Total column in the spreadsheet). After mapping the columns, click Next. During busy times, the mapping process may take up to 15 minutes for large courses. Please do not stop the mapping process at any time. Once the mapping process is complete, any grades that cannot be imported will be noted and a validation report created that can be reviewed. 7. Click Import to import the spreadsheet to Banner 9. During busy times, the import process may take up to 15 minutes for large courses. Please do not stop the import process at any time. Once the import completes, a new screen will appear letting you know the import process is completed, and will repeat the number of records that could and could not be imported; again, the list of records that cannot be imported is listed on the validation report created during the mapping process. 8. If there are a small number of errors, changes may be made in the Banner 9 screen. Click on the course, and when the list of students appears, each column may be sorted, grades can be changed, and even last dates of attendance entered. To change a grade, for example, click on the cell for a student to show a drop-down menu. An appropriate grade can then be selected for the student. For students receiving FN grades, a last date of attendance can be entered in the Last Attend Date column.
