Change public Calendar Login as Administrator Setup->Event Options and Settings Turn on Share icons Change titles/phrases Select available search options Remove Submit Event button Other event registration items
Submit new event Submit button available to public if selected by you on Setup-> Event Options and Settings Members have option to submit event through their Member Information Center Submitted events appear for you in the Task List New Events Staff clicks on New Event and selects Approved Disabled status used to temporarily remove event from display; expired events are automatically removed from display

Recurring event Put all info that should be duplicated on original event, then save recurrence. Once recurrence is created, consider the instances as separate events Individual instances may be modified or deleted Do not delete the original

Sponsor levels Designate event by event Create Sponsor levels each time on Sponsors tab OR Set levels that are available for every event Setup->Event Options and Settings Don t forget that you can insert any graphics, words, or design in the body of the event description (General tab->edit Event Description, insert Image )
Guest List basics Guest List displays those Registered, Invited, Declined, Invitation Not Sent Filter according to your desires Reports down-drop menu at the bottom of the Guest List gives options to Print Roster, Name tags, labels, Download, print NEW! Name tags under Reports search for name tag Event Nametags With Logos Roster prints in order as sorted Sort by clicking column title
Guest List - sorting Reverse sort of last name to first name (or vice versa) by selecting filter options and changing Rep Name Format Download the Guest List and bring into MS Excel to sort by first/last name when multiple reps are registered under one company name

Invitation tips Include the member login and password so members are reminded of their login to the Member Center to receive member pricing Add Database Field-> WebPage Info->Login Name/Password Note: Members that click the Register link in their invitation will not need their login and password Resend invitations to those that haven t yet responded Save a modified invitation so you can resend

Billing Preferences Select desired credit card transaction for your bookkeeping Determine where non-member transactions appear on a single member or create a new member for each
Event Billing Invoices - marked to be created; generated when selecting Create Invoices on the Account tab of the event. CM Billing: They can also be printed in the Billing module by selecting Batch Type: Event on Invoices tab CQI Integration: They will also show in Task List: QB Invoices Credit cards will process online when credit card is entered. If you selected to have a transaction created, CM Billing: it is created immediately and is available to be printed in Billing module if desired CQI Integration : included in the Task list and created with other Event transactions Cash If desired, receipts may be created and printed right then when selecting Paid
Mark Actual Attendance After event is over, return to Guest List tab, click view/edit attendance list Check off who attended View actual attendance numbers on Members->Stats tab and on event reports
Associate registration with a member If a member registers on the public website, you can associate their registration with their record Improves recordkeeping and stats Also allows you to create a member out of a prospect Click the Registrant Name to associate. 2/12/2013 25
