ADDING VIDEO FILES TO EQUELLA Although EQUELLA is not a streaming platform, it is a secure place to store master copies of video files, as well as the URL of copies of the video files uploaded to video streaming sites such as YouTube and Vimeo. 1. How to access EQUELLA o Select the EQUELLA button located on the TAFE NSW Illawarra Intranet home page and enter your TAFE long username and password. o Enter https://share.tafensw.edu.au/share into the address bar of your web browser and enter your TAFE long username and password o Log into the TAFE Staff Portal at https://my.tafensw.edu.au using your long username and password. 2. 4. The first screen is a copyright declaration. Tick the box/es that apply for the content that you want to add to your EQUELLA record. Note: if you are in doubt of which box/es you should tick, select the Using Digital Content repositories: Copyright Compliance Manual for TAFE link that appears on the page, ask your campus library staff for advice or contact Digital Learning Services (DLS) on VoIP 64575. Fill in any other fields in the copyright declaration if prompted, and then click on the Next button at the bottom of the page. 6. Attach your files to the record you are creating by either: A. Note: to use this method, you will need Java 7.40 installed on your computer. If you have a different version of Java, this method may not work. Please contact the DLS on VoIP 64575 for more information on this. 1. Click on the Launch File Manager button. If the display in the pop-up box does not take up all available space, just right mouse click in the white space to maximise the display. 2. Click on the Upload files link. 3. Browse your computer s files. 4. Select the files you wish to add and then click on the Open button. 5. When you have added your files, click on the Close Window icon (that looks like a cross) in the top right hand corner of the pop up. B. Using Browse and Attach to add files one at a time. 1. Click on the Add a resource link and then click on the Browse button. 2. Browse your computer s files. 3. Select the file you wish to add and then click on the Open button. 4. If you wish, you can edit the way the file name will display in your EQUELLA record, but this is not essential. 5. Click on the Save button. Document Owner: Digital Learning Services Page 3 of 8
Have you uploaded these video files to a streaming platform such as YouTube or Vimeo? If yes, continue to the next step. If no, skip forward to step 11. 6. In the What additional features would you like to add to this item? Section, select the options Add website(s) and Build a navigation menu (see new tab). 7. Click on the Add a resource link under the Add website(s) to this item box. 8. Enter the URL of the video s location at the streaming platform (YouTube, Vimeo, etc.) and then click on the Add button. 9. Edit the Display name of the URL to reflect the video s title at the streaming platform, and then click on the Save button. 10. If you have created a playlist at the streaming platform, using only the video files you are storing on this record, include the URL for the playlist as well. Edit the Display name of this URL to read Playlist. 11. When you have added all the files and URLs you need to the record, click the Next button at the bottom of the screen. 12. In Item visibility when Live, select who you want to share the contents of your record with: a. All TAFE NSW the contents of your record will be available to all TAFE NSW staff and students. b. Selected TAFE NSW Institutes the contents of your record will be available to only the staff and students of the TAFE NSW Institutes you select. Use the left and right arrows to grant and/or revoke viewing privileges to TAFE NSW Institutes. Do not forget to include TAFE NSW Illawarra in this list! c. Public-DEC login is not required the contents of your record will be available to the whole world. This option is not recommended. 13. In the Item Name field, enter a meaningful name for your record as this is information that is used for searching within EQUELLA. End your name with a term that gives an indication of the type of resources attached to your record i.e. learner guide, toolbox, or video. 14. In the Description field, add a description of the video/s that have been attached to the record. Like the Item Name, the information is used for searching within EQUELLA. Some examples of details to include are: video creator, target audience, subject keywords, relevant course/s, synopsis of the video/s, copyright or creation date, as well as technical details that a viewer may need to know, e.g. no sound. 15. In the Unit Code and Name area, add the unit details as required. 16. For resources that are relevant to a particular industry sector, select the sector name from the Industry sector list near the bottom of the page. 17. In the Target review date area, click the Calendar icon to select a date for reviewing the record. Choose the month and year first as selecting the date will act the same as pressing Enter. Click the Next button on the bottom of the page. 19. On the Navigation menu builder page, click on the Child button at the bottom of the page. Document Owner: Digital Learning Services Page 5 of 8
20. In the Name field, enter the title Video files. 21. In the Edit resource details area: a. Click on Multiple resources. b. Click on the Tab 1 link. c. In the Tab configuration pop up, click on the drop down menu in the Resource field and select the video file that you would like to appear first in this folder. d. In the Name field, enter the name you would like to display for this file. e. Click on the Save button. f. Repeat this process by clicking on the +Add resource button and clicking on the next tab link presented until all the video files are added to your folder. 22. Click on the Sibling button at the bottom of the page. This will create a new folder below the Video files folder. 23. In the Name field, enter the title YouTube (or the name of the streaming platform) locations. Document Owner: Digital Learning Services Page 6 of 8
24. In the Edit resource details area: a. Click on Multiple resources. b. Click on the Tab 1 link. c. In the Tab configuration pop up, click on the drop down menu in the Resource field and select the streaming platform URL that you would like to appear first in this folder. d. In the Name field, enter the name you would like to display for this URL. e. Click on the Save button. f. Repeat this process by clicking on the +Add resource button and clicking on the next tab link presented until all the URLs are added to your folder if a Playlist was created, add the Playlist URL last. 25. Click the Save button on the right hand side of the page, and then on the Publish button. 26. You can revisit this record at any time to add, replace or delete files, or make changes to the record details by clicking on the Edit this version link at the right hand side of the screen.
