Client Portal Login Using the URL provided the Client Portal login screen will be displayed. Enter the Login Credentials supplied and click Submit. Client Portal Click on the Create a request button as highlighted to start the Non Standard process. 1
Client Portal Click on the Customisable Items button as highlighted to start the Non Standard request process. NB: Select Creative for Video and Photography and Artwork for Graphic requests. NB: For Standard / Common Items, please see the CMS AstraZeneca UK Client Standard User Guide for more details. Configure Product Request Select Configure Item to initiate the details of the order request. 2
Product Brand/Division Selection Enter all Request Details including the Date required date and click Next to continue. NB: All mandatory fields are marked with a Red asterix. Product Item Specification Continue with product selection Division/Brand Group/Brand. Scroll down to continue entering the specifications. NB: Selected fields appear with a Blue border when selected. 3
Product Item Specification Continue with product selection Division/Brand Group/Brand. Click Next to continue. Product Brand/Division Selection (Uploading Supporting Files) Any supporting documents relevant to the order, such as artwork, a brief, or any other information can be uploaded by clicking Browse ; this will launch the file chooser. NB: Only the file types stated can be uploaded up to 10MB. Click the XDam link for larger files. NB: If no Artwork is available, click Next to continue, as highlighted above. 4
Uploading Supporting Files Select the appropriate file required and then click Upload. This action can be repeated to add multiple files. Uploading Supporting Files The file(s) will now be shown as attached. Continue to fill in the required identification fields including the Atlas Expiry Date and click Next. 5
Product Item Specification This screen confirms the configuration of the product. Enter the required Quantity and select whether or not a Hard Copy Proof is required. Click Submit to complete the Product Specification, and Add to the shopping Cart. NB: Selected fields appear with a Blue border. Shopping Cart Summary This request summary is just before Checkout and there is an opportunity to revise the information by clicking the Edit link and amending the information. Alternatively, if there is a requirement to add additional items, click Continue Shopping and repeat the previous steps. 6
Shopping Cart - Summary The request can be saved for later by clicking on the Shopping Cart icon. This will move the request to a draft status in the Shopping Cart. Alternatively, if it is no longer required, then click on the Trash Can icon to delete the request. When ready to proceed, click Submit. Billing and Delivery Address Identification The shipping/delivery addresses can now be identified from the drop down lists. New addresses can be set up by clicking on the Add icon and filling in the appropriate fields. When correctly selected scroll down. 7
Billing and Delivery Address Identification Use the highlighted dropdown to select the appropriate Delivery Service and click Next to continue. Checkout Request Summary The request summary is now displayed, again the details of the order can be viewed by clicking on the Details link. If changes are required, use the back button. There is also the opportunity to add any additional comments for the Xerox Account Manager before clicking Checkout. 8
Request Summary 760501 The order has now been submitted and a confirmation Request Number is displayed. If there is a requirement to add a new request, then click Continue Shopping. Request Confirmation 760501 Upon submission of an order, an automated email confirmation will be sent summarizing the request details. 9
Request Status To view order Status click on My Account tab at the top of the screen. This will return a list of all jobs submitted. Request Status Click on the Order History link to display a list of historic jobs. 10
Request Status 760501 Recent orders will be displayed with their Status. There is also an option to select the status type by using the drop down menu. Home Page Click on the Home tab at the top of the screen to return to the homepage. NB: The next stage will be receiving a Quote for Approval / Rejection. 11
Quote Approval Notification Quote #760501 is waiting for approval The GSK UK Team When the Xerox Account Manager has received the request, their action is to provide a quote based on the specifications provided. When the quote has been generated and ready for Approval or Rejection, an email notification is sent. To review the quote and action the task, click on the hyperlink within the email. This will redirect to the Client Portal. Client Portal Click on the Approve Creative Jobs button as highlighted. This will redirect to a task list requiring action if already signed in, if not the Approvals button will be greyed out. NB: Click on the Login button again to login if the page has timed out, as detailed on P.1. 12
Portal Login Enter the Login Credentials supplied and click Submit. NB: This will only appear if you are logging in for the first time or the previous session has timed out. Task List The Task List lists the associated tasks that need action. Click on the Arrow tab to the right of the screen, this will give visibility of the live activity assigned. 13
Approve Quote Xerox has received the order and has created a quote for Approval ; this approval request will appear as a task in the Task List. Select the Assigned tab from the list and click to view the Approve Quote task. Approve Quote Click on the Arrow icon to view the Approve Quote task and the physical quote. 14
Approve Quote This task is to Approve or Reject the Xerox Print Quote. Before you can action this task the task must be accepted, click Accept. Approve Quote Scrolling down the screen, the quote details are visible. NB: A hard copy of the quote can be viewed/downloaded by clicking on the Estimate Icon. 15
Approve Quote (Print Quote PDF) This is an example of the PDF quote. Approve Quote Once the Quote information has been reviewed, if the price Quoted is approved, then select Approved and check the Cost Centre number. If the Quote is Rejected then a revised Quote will be sent back for approval. Finally, tick the Work List Approved / Rejected tick box, to confirm completion of the task and select Complete to complete the task. 16
Approve Quote The Approve Quote task has been completed and there is no further action required at this point. The system will send notification to the Xerox Account Manager to progress the order and supply a Printers Proof. The next task notification will be Client Proof Approval. Task List The Task List lists the associated tasks that need action. Click on the Arrow tab to the right of the screen, this will give visibility of the live activity assigned. Client Accept/Reject Artwork Proof Approval Xerox has received the order and the Studio has created the Artwork for approval; this approval request will appear as a task in the Task List. Select the Assigned tab from the list and click to view the Artwork Approval task. 18
Client Accept/Reject Artwork Proof Approval Click on the Arrow icon to view the Client Accept/Reject Artwork Proof task and the physical Artwork. Client Accept/Reject Artwork Proof Approval This task is to Approve or Reject the Artwork. Before you can action this task the task must be accepted, click Accept. 19
Client Accept/Reject Artwork Proof Approval Scroll down in the task to the link to the final Artwork. Click on the highlighted link to view the final Artwork. Client Accept/Reject Artwork Proof Approval Thumb nails of the finished Artwork are displayed. To download or view the artwork, click on the download arrows as highlighted. NB: To return to the approvals section, use the browser Back Arrow. 20
Client Accept/Reject Artwork Proof Approval When the Artwork has been reviewed, select whether it has been Approved or Rejected. If rejected add details of the rejection in the comments box. This will enable the Studio Account Manager to make the corrections and resubmit for approval. Tick the mandatory Work List fields, as highlighted above and scroll down to complete the task. Client Accept/Reject Artwork Proof Approval Click Complete to complete the task, this will close the task and revert back to the task list. 21
Task List The home page task list will not list any further action on the related job until the Printers Proof is ready for Approval / Rejection. To review Printers Proof and action the task, click on the hyperlink within the email. This will redirect to the Client Portal if not logged in. Alternatively the Task List will appear. 22

Client Printers Proof Approval Xerox has received the order and has created a Proof for approval; this approval request will appear as a task in the Task List. Select the Assigned tab from the list and click to view the Client Proof Approval task. 23
Client Printers Proof Approval Click on the Arrow icon to view the Client Proof Approval task and the physical PDF Proof. Client Printers Proof Approval This task is to Approve or Reject the Printers Proof. Before you can action this task the task must be accepted, click Accept. 24
Client Printers Proof Approval In the Documents section a PDF Printers Proof is attached. Click on the highlighted link to download the document. Client Printers Proof Approval (PDF Example) 25
Client Printers Proof Approval When the proof has been reviewed, select whether it has been Approved or Rejected. If rejected add details of the rejection in the comments box. Task List The home page task list will not list any further action on the related job. The job will now be printed and delivered. The task list will now only list any other jobs that require action. NB: The next section shows how up upload Artwork directly into the system. 26
Client Portal Using the URL provided, the Client Portal will be displayed. Click on the Upload Files button as highlighted in order to upload any additional Artwork. NB: Click on the Login button again to login if the Upload Files button is greyed out, as detailed on P.1. Portal Login Enter the Login Credentials supplied and click Submit. Uploading Artwork To upload a new piece of Artwork open the Upload Files folder by clicking on the folder icon as highlighted above. Uploading Artwork The folder contents will now be displayed. Click on the arrow icon highlighted at the top of the screen, this will enable the file upload. 28
Uploading Artwork Click on Browse to navigate and find the first file required for upload. Uploading Artwork Highlight the file required and click on Open. 29
Uploading Artwork For multiple file uploads repeat for file 2 and file 3 etc. up to a maximum of four at a time. Once the correct files have been selected, click Submit and the files will be uploaded to the system. Uploading Artwork The Upload window stays open showing the size and how many files uploaded. Click on Close to close the upload window. 30
Uploading Artwork Press F5 to refresh the screen. The new uploaded Artwork is now visible. Click here to return to the Contents Page. 31
