Purpose This document contains the overview of the Corporate IT14 E-Filing functionality through Corporate Tax Module and TaxWare. Screenshots have been added to highlight the functionality of IT14 E-Filing. Impact Users will now be able to: 1. Register Taxpayers for IT14 E-Filing 2. Request IT14 from SARS 3. Import/perform a manual capture of data into the Corporate Tax Module 4. Import the data from the Corporate Tax Module into TaxWare 2009 5. Submit the IT14 to SARS E-Filing Requirements TaxWare and Corporate Tax Module should be installed Internet Connection TaxWare user should have the SARS E-Filing username and TaxWare ISV code IT14 E-Filing overview in TaxWare E-Filing Functionality Inbox When a response has been received from SARS and the response is not type success the items will appear in the inbox. Items in the inbox can be cleared by Right Clicking and choosing Close Selected Items. IT14 Received will also be in the inbox and cannot be cleared. Taxpayer Errors IT14 Received IT14 Requested Errors IT14 Submission Errors PDF Retrieval Errors Outbox Items that have been queued for submission but have not yet been sent to SARS will appear in the Outbox. Items can be removed from the Queue by the right clicking and choosing the Undo Submission option. Taxpayer IT14 Received IT14 Requested IT14 Submitted PDF Requests Sent Items Items that have been sent to SARS but no response have been received. Getting Started in TaxWare 2009 Taxpayer Registration On the taxpayer screen under the E-Filing tab the user has the option to register a taxpayer for Annual Returns If some compulsory fields have not being completed, a message stating that not all information has been entered will pop up. Double clicking on the items will take the user to the field that is missing information. Once all the information has been entered and the user chooses the register option again the status of the taxpayer will change to Queued for Registrations. Page 4

If all the compulsory fields have been captured in TaxWare the user will be prompted to confirm registration of the entity as an E-Filer. Click on Yes to continue. Queued for Registration Once the user has queued the taxpayer for registration the user will be able to see the status of the taxpayer on the taxpayer screen and on the Outbox Taxpayers view under Practice Page 5

Submit Registration The user will then submit the registration request through the SARS E-Filing. The user will submit the registration under the Process E-Filing Send/Receive. Once this is done the user will be prompted to enter the username and password. The username will be the same as the username registered for SARS E-Filing; however the password will be the new password received from SARS (ISV Activation password) Page 6

The following screen will appear showing the progress of the E-Filing process. Taxpayers Queued for Registration with SARS The taxpayers have now been submitted to SARS for registration. The user will notice that the Taxpayer has been moved from Outbox to Sent Items under E-filing. This means the SARS acknowledges that they have received the data and that the registration process is now initiated. The registration process on SARS system takes up to 24 hours. To determine whether the taxpayer has been registered the user will Send/Receive again. If a response has been received from SARS the taxpayer will be moved from Sent Items. If there was a failure on the taxpayer then the failed response will be moved to the Inbox Taxpayers. If a successful response was received the Taxpayer will be moved to Completed and the taxpayer will be updated as registered. Page 7

Requesting an IT14 There are three steps that need to be done before the IT14 can been requested from SARS. Step1: Register the Taxpayer for Annual Return (IT14) submission Step2: Create a Tax year for the IT14 submission period Step3: Create a new Annual Return for the specific Tax Year Page 8

How to request an IT14 After creating a new Annual Return (IT14), click on the IT14 Action button at the bottom left of the Annual Return (IT14) screen. Select the option to Queue IT14 Request IT14 Request Queued The request for IT14 has now been queued for submission to SARS, the user will notice that the request for IT14 is now showing in the outbox tab under IT14 Requested, the user needs to Send/Receive to submit the IT14 Request. The request has now been submitted to SARS. The user will notice that the taxpayer has been moved from the Outbox to the Sent items under the E-Filing tab. This means that SARS acknowledges that they have received the data and that the request process has been initiated on their side. The request process on the SARS system takes up to 24hrs Best Practice, Request the IT14 immediately after creating the Annual Return (IT14) on TaxWare. We recommend requesting the IT14 at this point because of the SARS waiting period after the request has been submitted. You can continue to update the IT14 details whiles waiting for the response from SARS. To determine whether the IT14 has been received from SARS the user will Send/Receive again. If a response has been received from SARS, the IT14 request will be moved from Sent items. If there was a failure on the request then the failed response will be moved to the Inbox IT14 Requested Errors. The user can click on the SARS E-filing errors link to see what the error received from SARS means and the possible resolution. Page 10

If the request was successful, the requested IT14 will show under the Inbox IT14 Received and the Annual Return will be updated with Request Successful. Page 11

TaxWare Status The TaxWare Status will be updated as soon as you have requested the IT14 from SARS, the Request Queued status will be ticked and the Request Received status will ticked as soon as the request is successful. Corporate Tax Module overview The purpose of the Corporate Tax Module for TaxWare is to: Import IT14 data from a text file exported from the Corporate Tax Module in CaseWare Working Papers Provide management of imported data so that the imported vs. edited data (revision) is retained and comparable Provide ability to reimport data but retain edited version of data to the maximum of one revision After the data has been reviewed / modified and accepted by using this tool, the data will be used within TaxWare to generate the totals for the Income Return. The user can also capture the data manually using the Corporate Tax Module; once the data has been approved the data will be pulled through to TaxWare. Page 12

How to link to the Corporate Tax Module from TaxWare If Corporate Tax Module has been installed on the Server/Workstation the Edit IT14 button will be enabled in TaxWare on the Annual Return screen, user must click on the button to enable the Corporate Tax Module (CTM). Once the Corporate Tax Module program has been launched then you will be able to import or manually capture the data. Page 13

Getting Started Set up the practice defaults under Tools Options menu Page 14

Import data into CTM Click on the Import button, select the tax year and click on ok. Then select the import file and click on Open. Page 15

If the user is prompted for credentials after clicking on open, please enter the same credentials as used in Microsoft Access, and then click on ok. If the import file has errors, the Error viewer will pop up with the error description, the errors need to be fixed in the file, before the file can be imported successful into CTM. CTM/TaxWare Merge Immediately after selecting the file you want to import, a Comparison with TaxWare Data dialog will appear, this dialog box displays the differences between the TaxWare data and the imported data for that specific Taxpayer, you have an option to update the imported data with the TaxWare data or leave as it is. To update the imported data with the TaxWare data, tick Update IT14 Data for the specific field you want to change, then click on apply. The CTM/TaxWare Merge button can also be found on the toolbar, you can use this option if you want to update the imported data with the TaxWare data at a later stage. Page 16

Once the data has been successfully imported into CTM a revision will be automatically created (Only if the option to Create automatic revision after file import has been ticked under Tools Options. If Create automatic revision after file import was not ticked under Tools Options, the user needs to click on Create Revision to manually create the Revision.) The user will only be able to update the Revision; the imported data is not editable. Page 17

CTM Status and TaxWare Status The CTM Status and the TaxWare Status will be updated as soon as the data has been imported into Corporate Tax Module. The four statuses that have been ticked in the screenshot below have the following meaning: Import Data has been imported successfully into CTM Revision A Revision has been created from the imported data. Request Queued The IT14 Request was queued successfully in TaxWare Request Received The Requested IT14 was received from SARS Page 18

Updating CTM data The user needs to go through all the tabs of the IT14 (Revision) section and the summary to see if the imported data is correct and make amendments where necessary. All compulsory information needs to be filled in. If the user is satisfied with the data, he/she must tick Preparation complete and then click on the apply button to save the changes. This will update the Prepared status. Page 19

Update TaxWare with CTM data The Approved checkbox must be ticked for the CTM data to pull through to TaxWare. If some of the compulsory information is missing a list of issues will be generated after you click on the Approved check box. The user needs to update all the information in the Data Validation Issue list and then approve again. Once the revision has been approved in CTM, the revision gets locked and it is no longer editable. The CTM Approved status will now be ticked. At this stage all the CTM processes have been completed, close CTM to continue with the remaining TaxWare processes. Page 20

Manual Capture The user can use this option if they do not have an import file; this option requires the manual capturing of all the IT14 information. The user must click on the manual capture button to commence with the manual capture. After completing the manual capturing, the user needs to click on Manual Capture Complete check box. A revision will be automatically created (only if the option is ticked under Tools Options). The user can now follow the same steps as the import to approve the revision so that the data is made available in TaxWare. Page 21

IT14 submission to SARS from TaxWare The IT14 needs to be approved in TaxWare before the user will be able to queue it for submission. Tick the Approved option and click on apply to save the changes. Then click on Queue for Submission to Efiling, under the IT14 Action. This will change the Submission status to Queued for Submission and update the Submission queued status. Page 22

IT14 Submission The queued IT14 will be moved to Practice Outbox IT14 Submitted Page 23

To submit the queued IT14 to SARS, the user needs to Send/Receive from TaxWare, this will move the Queued IT14 from Outbox to Sent Items. To determine whether the IT14 was submitted to SARS the user needs to Send/Receive again. If a response is received from SARS the IT14 will be moved from Sent items. If there was a failure on the submission the failed response will be moved to Inbox IT14 Submission Errors. The errors need to be fixed in TaxWare or CTM, and then the IT14 needs to be queued again for submission. If a successful response is received the IT14 will be moved from sent items to Completed IT14 Submitted, the IT14 will be updated as submitted. Page 24
