What is "E- Marefa" database E-Marefa is an Arabic powerful online database accessible via the Internet. It offers a variety of proprietary full text databases from leading information providers. The comprehensive databases range from general reference collections to specially-designed, subject-specific databases for public, academic, school, corporate, and government libraries. E-Marefa provides the scientific and intellectual production in the Arab World in three languages which are Arabic, English and French. What is "Arab Theses and Dissertations" E-Marefa of Theses and Dissertations is one of E-Marefa Databases that provides the Full Text, Abstracts and the bibliographic information of Theses & Dissertations (Master and PhD) completed at Arab universities in Arabic and English in the disciplines: Human Sciences / Social Sciences / Natural and Life Sciences / Medical and Health Sciences / Engineering and Information Technology / Economic and Business Administration. System Requirements In order to effectively use all E-Marefa features, the minimum browser requirements are Internet Explorer 6.0, Firefox 2.0, and Safari 2.0 (for Macintosh). You must also have Adobe Reader installed to view the PDF Full Text files. Inside this User Guide This guide is designed to cover the basics of searching in E-Marefa of Theses and Dissertations and finding results. It also covers topics such as browsing, searches, and printing, e-mailing and saving etc. 3

Access to E-Marefa Database Access to E-Marefa using Username and Password. You will see a screen to choose the service that you will search in (Periodicals, Theses and Dissertations, Abstracts etc.) Click Arab Theses & Dissertations to start searching. 4

Choosing Databases to Search E-Marefa offers the ability to select the databases you want to search by subject area. The names of the databases that you are searching in appear in the upper part of the searching box, clicking on Show all you can display all the names of databases, clicking on Show less you will hide some of them. For Theses & Dissertations you have six databases. There are several ways to display and select databases to search in: 1. Detailed view where the subjects of each database are displayed. - Select the database(s) name. - Click Continue. 5

Detailed view where the subjects of each database are displayed. - Click the Choose Databases link which is available from any search screen, result list, or citation details. - Select the database(s) name. - Click Continue. To search more than one database, mark the check boxes to the left of the databases names. You can also use the Select / deselect all check box to make your selections. 3. Brief view where only the names of the databases are displayed without the subjects names, this view appears if you want to change the databases selection during searching. - Click the Choose Databases link which is available on the upper part of searching box. - Select the database(s) name. - Click Continue 6

Multilingual Options Changing the Language of the Interface You can change the interface text of E-Marefa from English to Arabic and vice versa. The language selection feature is located on the top toolbar and in the Preferences Screen in E-Marefa. To change the language of the interface: The first way to change the language of the interface: 1. Hover your pointer over Language on the top toolbar on the interface. The drop-down menu of available languages appears. 2. Select by clicking on the desired language in the list. The interface is refreshed and translated into the selected language. The second way to change the language of the interface: 1. Click the drop down list Services on the upper blue tools bar. 2. Choose Preferences link from the list. 3. Select by clicking on the desired language in the list. 4. Click Apply. The interface is refreshed and translated into the selected language. 9

The third way to change the language of the interface: You can change language when you sign in to My E-Marefa (My E-Marefa will be discussed in detail in a separate section) 1. Sign in to My E-Marefa. 2. From the drop-down list My E-Marefa on the top toolbar on the interface which appears after you sign in, click My Preferences. 3. Select your language from the drop-down list. 4. Click Apply The interface is refreshed and translated into the selected language. 10

To set a default language preference: You can set your default language to any of the languages (Arabic or English) listed above, and the next time you sign in to My E-Marefa, the screens will display in your selected language. 1. Sign in to My E-Marefa. 2. From the drop-down list My E-Marefa on the top toolbar on the interface which appears after you sign, click My Preferences. 3. Select your language from the drop-down list. 4. Click Save. The interface is refreshed and translated into the selected language. 11

Search Screens E-Marefa offers a variety of search screens for Arabic Theses & Dissertations, which are described in this section. Basic Search The Basic Search Screen lets you create a search without any limiters, or expanders. To use Basic Search: 1. On the Basic Search Screen, enter your search terms in the Find field. 2. The Autocomplete search suggestions As you begin to enter a search term in the Find field, keyword suggestions are automatically displayed. To select one of those suggestions, click on the left button of the mouse or click TAB on the keyboard. 12

3. Click the Search button. The Result List displays. 13

Advanced Search Screen The Advanced Search screen gives you three Find fields with a variety of limiters and expanders to get the results you need: To use Advanced Search: 1. On the Advanced Search Screen, enter your search terms in the Find field. 2. The Autocomplete search suggestions As you begin to enter a search term in the Find field, keyword suggestions are automatically displayed. To select one of those suggestions, click on the left button of the mouse or click TAB on the keyboard. 1. Choose the search field from the optional Select a Field drop-down list, the available fields are (Title, Author, Subject Heading, Abstract, Advisor, Committee Member, University, Faculty and Department) 2. Repeat steps 1 and 2 for the second set of Find fields. 3. Select a Boolean operator (AND, OR, NOT) to combine the two Find field entries. 4. You can enter another Boolean operator, keyword, and search field in the third set of fields. 5. Select from the available Search Options: Search modes Use specific search mode Any Word, Exact Phrase, Contains Phrase). Search within References (See, See also), which helps you to get results for established and non-established search terms. Language of the Thesis (Arabic, English). Degree of the Thesis (Master's Thesis, Doctoral Dissertation). Number of pages (Equals, Less than, Greater than) Full Text Available. Degree Date (Month, Year) From---to. Advisor's Name from the alphabetical list that appears when you click on the arrow next to the Advisor find field University Name from the alphabetical list that appears when you click on the arrow next to the University find field 6. Click Clear if you want to change your search terms or Reset button to rest the default values of Search Limiters. 14

7. Click the Search button. The Result List displays. 16

Viewing Search Results Viewing the Result List Search results can be citations, full text theses and dissertations, document summaries or abstracts, table of content and can include links to full text. The Searching Results appear as a List, at the upper part of the list you can filter the Results according to the Publication date, and you can also see the number of results and the pagination of results screens that simplify the browsing of results, in addition to the sorting link. The title link takes you to the citation information and/or the full text, and the Abstract. The PDF Full Text link takes you to a PDF version of the full text. The PDF will open in the Adobe Reader. The table of content link takes you to the thesis table of content with the full text of each chapter. Sort by Click this link to select one of the following result list sorting options: (Relevance, Date Descending, Date Ascending, Title and Author). 17

You can filter the results according to the databases that you are searching in by using the above mentioned ways of choosing databases during search. Note: You can save the look of your Result List for a single session by making changes in the Preferences link in the Services drop down list on the top toolbar. And you can save the look of your Result List for future sessions by making changes in the Preferences by signing in to your My E-Marefa and choosing My Preferences. 18

Reading a Thesis / Dissertation When you click the title of a thesis, the Detailed Record of the thesis is displayed. To view a different format, click on the PDF full text icon. 20

Detailed Record When the Detailed Record is displayed, it includes: The title of the thesis appears in big bold font at the upper part of the screen, the name of the author appears under the title with the university name and the date (year) of the thesis / dissertation. The table of content of the thesis appears; you can download and read the full text of every chapter for most of the theses. You can click the arrow next to the phrase Table of Contents to hide / show the table of contents. An abstract. If provided by the author. You can click the arrow next to the word Abstract to hide / show the abstract. 22

Under indexing Details you can find: the author, the advisor(s), the Committee members and the subject headings, they can appear as links that let you perform a search of that particular field. You can click the arrow next to the phrase Indexing (Details) to hide / show the details. The link Cite appears in the detailed record. Click the link, the Citation Format of the thesis will appear in a table. The available formats in E-Marefa are: - AMA American Medical Association. - APA American psychological Association. 23

PDF Full Text Viewer The PDF Full Text Viewer allows you to view PDF full text content, to read the thesis / dissertation after you download it using Adobe Reader. You can also: Print the thesis / dissertation - Click the Printer icon to print the article. Save the thesis / dissertation - Click the Diskette icon to save the PDF to your computer. 24

Tools When viewing thesis / dissertation, there are several tools available to you on the right-hand side of the screen. PDF -To download and open the PDF full text. Save - Save the thesis to a destination on your computer. E-mail - E-mail the thesis to yourself or multiple e-mail addresses. Print - Print the thesis. If you want to save or print a thesis you can set your preferred settings: 1. Click or from the tools available in the Detailed Record. 2. Choose your preferred format among: o o o Standard Field Format. You can select from the drop-down list: Brief Citation Indicates that only a brief citation should be printed or saved. Brief Citation and Abstract Indicates that a brief citation and an abstract should be printed or saved. Detailed Citation and Abstract Indicates that a detailed citation and an abstract should be printed or saved. Citation Format If you would like to set your citations to a specific format, select one from the drop-down list: AMA - American Medical Association APA - American Psychological Association Customized Field Format A list of all fields available for the databases you are searching will display (Title, Abstract, Author, Document Type, University Faculty, Department, Advisor, Committee Member, Degree, Language, Number of pages, Degree Date, Other titles, Main Subject, Database, Subject Headings and Record ID). Mark the check boxes to the left of the fields you want to include. 25

3. Click Continue, after you choose the format. 26

4. Click Print, to print the thesis. 5. Click Save, to save the thesis. 27

E-mail a Thesis / Dissertation To e-mail a thesis follow the steps below: 1. Click from the tools available in the Detailed Record. 2. Choose your preferred format among: o o o Standard Field Format. Brief Citation and Abstract Indicates that a brief citation and an abstract should be printed or saved. Mark the check boxes to the left of the fields you want to include. 3. Enter the E-mail address. 4. Enter a subject for your E-mail in the Subject field. 5. Click View to preview the citation before sending. 6. Click Send. The article will be send with Full Text attached. 28

Preferences Setting Preferences allows you to control the look and feel of the E-Marefa Result List. The selections you make on the Preferences Screen can now be saved to your personal account (My E- Marefa) and retrieved for use at any time. Once you sign in to My E-Marefa, your personal preferences are applied. And, if you make changes to your preferences, those changes are saved for future use. Setting Preferences 1. From the Search Screen or the Result List, click the Preferences link in the drop down list Services. 2. General Settings Choose language and keyword suggestion settings. Language Select the language in which you want to display the interface: (English or Arabic). Autocomplete search suggestions As you begin to enter a search term in the Find field, keyword suggestions are automatically displayed. (Set to yes or No.) 3. Result List Display Choose the look and feel of your Result List (Brief, Detailed, Standard, Title ) Results per page Specify how many results (or records) are displayed per page (for example: 10, 15, 20, 30, 50 1000, 5000). Sort by You can set how you would like your results sorted. All sort options for the database you are using are available. (Relevance, Date Ascending, Date descending, Title, Author.) 4. Click Apply If you were previously at the Result List, it is updated according to your selections. If you were previously at the Search Screen, you must first perform a search before viewing the customized Result List. 30

Personal Account (My E-Marefa) You can set up a personal account that you can use to save search results, persistent links to searches, saved searches, search alerts, journal alerts to your personal folder. To set up a personal account: 1. Click the Sign In in the top toolbar of the screen. 2. From the Sign In Screen, click the New user link. 3. Fill in the fields on New User Screen. 4. Click Register When you have completed the fields. 32

5. If all the information was accepted, a message appears telling you that the account has been successfully created. To use your personal account (My E-Marefa) - Click the Sign In in the top toolbar of the screen. - New tools appear in the Detailed Record (Add to Folder, Bookmark / Favorites) - A new link My E-Marefa appears in the top toolbar of the screen. When you click this link a drop down list appears with some new applications : 33

Save Search To save the Search Results List, and retrieve it whenever you need by clicking on Search History link in the same list. - From the Result List Screen, click Save Search. - Fill in the fields in the Edit Search History. - Enter the Search Name. - Choose the Search Type (Permanent, Temporary, Alert). - Add your notes in Description. - Click Create to save the search. 34

Search History To display the Result lists that you have previously saved through Save Search. Folders Contains the theses that you have previously added in Add to Folder. You can share those Folders with other users of E-Marefa. - You can create new Folders and save many theses in those Folders by clicking on New Folder. - View the Detailed Records of the saved theses in every folder. - E-mail some of the theses by selecting them and clicking [Send mail] link. - Delete some of the theses by clicking [Delete] link. - Change the Folder of some theses and save them in another Folder by selecting them and click [Change folder] link. - Sharing the folders with another user by selecting a folder and fill in the E-mail address of the recipient then click Send. A passcode will be sent to the recipient E-mail to be used and clicking Add to share the folder, use it and view the saved theses in it. 35

Bookmarks / Favorites - Contains the theses that you have previously added. You can view the Detailed Record and update your Favorites list. My Preferences Help you to set your preferred settings (Language, Results Format, Autocomplete, Results per Page, Sort). Click Save to set them as default preferences. Click Apply to save them in the search session only. 36

- Ask a Librarian link appears in the drop down list Services on the top toolbar. - You can discuss subjects, ask questions. The answers will be displayed later after being solved by the information specialists in "E-Marefa" 37

To reset your password: 1. From My E-Marefa drop down list, click Change password. A screen appears. 2. Enter your old Password. 3. Enter your new password twice. 4. Click Change. You are automatically logged in as a personal user based on your new password. You should note the new password so you can log in at a future session. If you have forgotten your user name and password, you can submit information to retrieve your user name and password. To retrieve your user name and password: 1. From the Sign In Screen, click Forgot password. A screen appears. 2. You are prompted to enter your e-mail address. Click Send. An e-mail with your username and Password will be sent to you.. 38

If your information has changed, you can update your My E-Marefa account with the new information. To update your My E-Marefa account: 1. Sign in to your personal My My E-Marefa folder by clicking Sign In in the toolbar at the top of the interface screen. 2. Click the Edit User Info link found in drop down list My-EMarefa. 3. Use the options on the page to update your account - such as change your e-mail address. Note: You cannot change your User Name. 4. Click Apply changes to save your changes. 39

Feedback You can give your opinion and send your notes to the administrators in "E-Marefa": - Click on Feedback link at the top toolbar, or in the drop down list Services. - Fill in the fields in the form that appears (Your Name, Your E-mail, Subject, Feedback Type and Comments) - Click Send to submit. 40

Browsing You can browse Authors index and Subject Headings index with the References from the unestablished entries to the established entries. You can also browse the theses and dissertations according to the location (Country, University, Faculty, Department) with the number of theses and dissertations awarded. To browse the Personal Names or Subject Headings in E-Marefa, you can: 1. Click the Browse link which appears under the find field in the Basic Search and Advanced Search Screens. 2. Select an index (Personal Names or Subject Headings). 3. Click. The alphabetical list of Personal Names or Subject Headings appears. 4. Click View Theses and Dissertations to view the linked documents. OR 5. Select an index (Personal Names or Subject Headings). 6. Enter your search terms in the Browse field. 7. Click to view your terms as they appear in the Subject and Authors Authority File. 8. The alphabetical list of Personal Names or Subject Headings appears. 41

To browse theses according to the Location: - Click By Location link, a list of countries appears with the number of theses and dissertations awarded in each country and are indexed in E- Marefa. - Click on the country name, a list of universities 'names appear with the number of theses and dissertations awarded in each university. - Click on the university name, a list of faculties' names appears with the number of theses and dissertations in each faculty. - Click on the faculty name, a list of departments' names appears with the number of theses and dissertations awarded in each department. 42

Search History (Temp) Your search history from the current session is available in the Search History (Temp) link. You can retrieve your searches by: 1. Clicking the Search History (Temp) link in the drop down list Services at the top toolbar. 2. From here you can view your search history, retrieve your previous searches. 2. you can view the results for each term of your search history by clicking View Results and view the details of your searches. 3. The Search History (Temp) will disappear once you sign out your session. And if you want to save your searches you need to sign in to your personal account My E- Marefa. 44
