Wrkbench Events Search We have set up an administrative panel fr wrking with events. Yu can get there frm yur persnal wrkbench menu. 1. Click the black bar n the MY WORKBENCH link. Click n the secnd menu item in the drpdwn list: SEARCH EVENTS. 2. All events in the system will be fund n this admin panel. The list defaults t shwing mst recently updated events first. Events can be filtered and srted by use f menu items that appear abve the list: Event Title Categry Grup Type Grup Name Building Cntact Event Term Published (yes/n) Featured Calendar Email Event Date 3. Enter infrmatin fr any f the srt menus, click green APPLY buttn t see results. 4. Find the event yu are searching fr in the listing. T pen the event fr editing: click n the EDIT link in the far right clumn f the listing. T view the event: click n the EVENT TITLE. Events can als be pened fr editing frm the event view page. G t the page editing menu in light gray n the main menu black cntrl bar at the tp f the windw. Click EDIT DRAFT t pen the event in the editr.
Alternate Way t Edit Events Cntent Screen This is the place where all cntent in Drupal winds up. Yu will have t srt r search frm here t find yur events. 1. Click the black bar n the CONTENT link. 2. The cntent list will shw every type f cntent by default, unsrted in any way. 3. Frm the TYPE drpdwn select Events. Click the Apply buttn. 4. List will nw shw all events srted by creatin date, with New and Updated events shwing at the tp f the list. 5. Yu can als filter the list by entering inf in the title field. 6. Open event by clicking n the Edit link n the same rw as the event n the right under the Operatins clumn OR click the title f the event (the event details will display), then click EDIT DRAFT in the gray sectin f the tp cntrl bar. UPDATED: Editing an Event 1. Select a Sectin.This will relate t yur wrkflw and will trigger messages t yur calendar manager. Either select an area related t yur ffice r department at USF r select the sectin titled Event. 2. Administrative Title is the title yu see in the edit windw list. It is pulled in via EMS and is used as the title in RSS feeds that ppulate the calendar emails. 3. Additinal Inf is a text area that appears abve the image. It is a rich text area that takes HTML frmatting. It will have a green highlight n the left side, and any links will be green. It is excellent fr instructins. Use it fr things like registratin links, parking inf, and special instructins. 4. Image buttn is where yu lad an image fr yur event. The image will appear full width abve the event descriptin. It shuld be a high reslutin image, nt smaller than 775px x 436px. Images in this spt als becme thumbnails fr the Calendar page and ppulate ther event feeds n the site. 5. Bdy is a rich text area. This is where yu put all descriptive infrmatin abut yur event. Fllw gd HTML practice and nly use headers in descending rder. Inline images can als be inserted here. Click n the Add Media buttn n the far right f the tl bar. Yu can uplad a new image r use ne frm the library. Set size f the image via the Optins -> Display As drpdwn menu n the secnd ppup screen. Images align t the right by default with padding applied. Be careful with cutting and pasting text int the bdy area as yu can cpy unwanted cde. Always duble check pasted cded by changing the Text Frmat drpdwn menu t Full HTML t make sure cde remains simple and clean.
6. Event Categry is a taxnmy that adds events t the drpdwn menu n the Calendar page. It helps ppulate srt ptins fr the end user, as well as target calendar emails listings. Yu may select as many categries as are apprpriate. 7. UPDATED: Select the apprpriate Target Audience(s) fr the event t ppulate the different versins f the calendar emails and the studentspecific myusf dashbards. Sme f these ptins are nt currently active (Alumni and Parents), but may be implemented in ther newsletters. 8. Sidebar Nde Reference can be used t call existing buttns and calluts int the right hand clumn f yur event. Wrk with Web Services if yu need t d anything like this. 9. Event Terms is a tagging system that creates lists f events. This is what ppulates feeds n web pages. Begin typing a term. Clse matches shw up as a list belw the entry windw. Select the term that matches yur needs t insure yu are using the term that matches the feed n yur site. 10. Which website(s) shuld this display n? These ptins determine whether the event shuld be included in listings n the marketing website (USFCA) and the intranet (myusf). myusf is selected by default. 11. Feature in calendar n USFCA.edu? Selecting Yes causes a yellw highlight in the Calendar page view. Featured event shuld be reserved fr items that have an image and great descriptins and are Admissin related, bradly appealing public events, and the mst select events f SLE, Alumni, and Giving. 12. Include in calendar emails? These ptins determine whether the event shuld be included in the calendar emails that faculty, staff, and students receive. Standard is selected by default. T be featured in the calendar emails, the event shuld have an image and great descriptin and be pen t the entire USF cmmunity (dn't frget t check "USF Cmmunity-Wide" under Categry). Standard is selected by default. 13. Belw Cntent Carusel is where yu can create a slideshw f images in yur event. This is apprpriate fr events that recur fr example. Give the slideshw a title in the Belw Cntent Carusel Title field. Click Attach Media t lad images, then apply crps t each image selected. Image title tag creates captins. 14. When dne ppulating the frm click "Save." This will send a ntice t yur calendar manager wh can publish the event t the calendar. User Rles, Wrkflw, and Publishing Mst users have the rle f Authr. Authrs can edit any element in the event frm as described abve, but cannt publish the event t the live calendar. Publishing is reserved fr the Calendar Manager rle.
When an Authr is dne editing and hits Save n the event, their Calendar Manager is sent the event fr review and publishing via My Wrkbench. Authr Rle 1. Edit the event as abve. 2. At the bttm f the frm, click in the gray bx area n the tab Revisin Infrmatin. 3. If yu are still wrking n the event and just want t save yur current edits and cme back later, under Mderatin State set the drpdwn t Draft. Hit Save. 4. If yu are dne editing and ready t send ut fr publishing,under Mderatin State set the drpdwn t Needs Review. Hit Save. Managing Wrkflw in Yur Sectin 1. Click n the My Wrkbench tab in the tp black cntrl bar. 2. Yu can see any events yu have wrked n frm this interface. 3. Click Needs Review in the gray area n the far right f the tp black cntrl bar area. Any events yur Calendar Manager has sent back t yu fr further editing will shw up here. 4. Click n the event title t pen the event. Click Edit Draft in the gray part f the tp cntrl bar area. Edit the event and when dne change mderatin state back t Needs Review t send back t yur Calendar Manager. Calendar Manager Rle 1. Yu have the same edit ability as the Authr rle, plus yu can edit any event wrked n by an Authr within yur Sectin. 2. Frm the frm itself yu can publish directly. Click the Revisin Infrmatin tab at the bttm f the frm and under Mderatin State yu will have a third ptin Published in the drpdwn. Select this t publish directly after editing an event. Hit Save. Managing Wrkflw in Yur Sectin 1. Click n the My Wrkbench tab in the tp black cntrl bar. 2. Click Needs Review in the gray area n the far right f the tp black cntrl bar area. 3. Any events frm Authrs within yur sectin that have been sent t yu fr apprval will appear in the list n this page. Yu can see the event and wh wrked n it frm this interface. 4. Click n the Event Title in the list.
5. The event will pen in its draft state (if there is pink behind the event, it s in draft state). Review the event fr cntent, tagging and styling. 6. If the event is gd t g, in the yellw bar abve the event draft click n the drpdwn menu and select Published then click the gray Apply butttn. 7. If the event needs additinal editing by the Authr, return t My Wrkbench and under Set Mderatin State click n Change t Draft in the rw fr that event. 8. The event will leave yur wrk area and return t the Authr. When they make additinal changes and send it back fr apprval it will return t the Needs Review area f yur wrkbench. Yu can then publish when yu are ready.
