System Requirements Certain requirements are needed for the successful operation and use of the 3M Clean-Trace Data Trending Software. Minimum System Requirements V.5.03: A CD-ROM drive VGA monitor and display capable of 800 x 600 resolution in High Colour (16 Bit) mode A mouse 20MB of free hard disk space after installation of the Clean-Trace data trending software (installation of the Clean-Trace data trending software requires 90MB of hard disk space) 1.2 WINDOWS 2000 A Pentium 133MHz computer with Microsoft Windows 2000 installed 64MB RAM 1.3 WINDOWS XP A Pentium 300MHz or higher with Microsoft Windows XP installed 128MB RAM 1.4 Windows Vista A Pentium 1 GHz or higher with Microsoft Windows Vista installed 512MB RAM (1024MB recommended) 1.5 Windows 7 A Pentium 1 GHz or higher with Microsoft Windows 7 installed 512MB RAM (1024MB recommended) Communications 1 x free unused / unshared serial communications port if using the Clean-Trace data trending software with any 3M Clean-Trace NG Luminometer 1 x free unused / unshared USB port if using the Clean-Trace data trending software with a Clean-Trace NG luminometer version 2.0 or above If using serial comms, there should be no device present that will attempt to use the same serial comms port as the Clean- Trace data trending software (e.g. MODEM, Network Card, etc.) 3

Installation The 3M Clean-Trace Data Trending Software is provided on a CD Rom which contains the software package and drivers for the 3M Clean-Trace Hygiene Monitoring System. It is advisable to have your IT department available during installation and where possible the software should be installed when logged on as a system administrator. This will help avoid any permission issues that could arise. Please note the user will need full read / write access to the Clean-Trace data trending software folder and all its contents. 1. Insert the Clean-Trace data trending software CD into the CD drive. 2. The following screen will appear: 3. Select the language of choice 4. Select the 3M Clean-Trace Data Trending Software option 4

5. The following menu will appear. Select Next 6. Select Next to install. The software will install to the C-Drive by default. (If another preferred location is required select Browse and then select the preferred location). 5

7. Select Next 8. Select Finish to complete installation: The software will install. The default installation location of the Clean-Trace data trending software is the c- drive/3mdatatrendingsoftware folder. 9. The Clean-Trace data trending software ICON will be found on the desktop: Double click on this to open the software. The following menu screen will appear: 6

Some of the menu buttons will be greyed out and to complete the software set up a password will need to be set. See next section. 7

Software Set Up: Setting up a Password Following installation, the main menu of the 3M Clean-Trace Data Trending Software will show greyed out boxes. To provide access to all menu options you will need to set your password. Follow the instructions below to set your password: 1. To enable/activate all the buttons you need to set your own password. In the main menu of the software click on Basic Setup. 2. Then click on Change Password. 3. In the Old Password field type in temp123. 4. Select the New Password field and type in the password you want to use. Then select and re-type the chosen password in the Verify field. Press enter and then select Save Change. 8

You should then see the following message which shows the password has been successfully changed Your software should now be fully operational with the new password. Press Exit to return to the Main Menu and all buttons should now be active as follows: 9

Downloading 3M Clean-Trace NG Luminometer drivers on Windows 7 Once the 3M Clean-Trace Data Trending Software is fully installed, the software drivers will need to be downloaded. Clean-Trace NG luminometer driver installation 1. Connect the Clean-Trace NG luminometer to your PC using the USB communication cable provided. 2. Turn on the Clean-Trace NG luminometer. This will prompt the windows hardware wizard. The following menu options will appear: In some cases the PC will automatically search on the computer and internet. If this is successful the drivers will be installed. If this is not successful then you can select the Browse my computer option. Depending on the PC settings either the menu above will appear if an automatic search fails or on connection of the Clean-Trace NG luminometer. If so follow the instruction from step 3 below. 3. Select Browse my computer for driver software as shown above. 4. The following menu will appear. Select Include subfolders in the search and a browse box will appear. 10

5. Using the browse option, browse to the c-drive/3mdatatrendingsoftware folder as shown below: 6 Highlight the USB driver folder and click OK. (Only highlight the USB folder). The following menu should appear: 7 Click OK The wizard will now begin to download the drivers. (If you are prompted to download drivers a second time. Follow procedures as detailed above.) 11

Checking communication status between the 3M Clean-Trace Data Trending Software and the 3M Clean-Trace NG Luminometer To confirm the software will communicate with the Clean-Trace NG luminometer: 1. Click on Basic Setup in the Main Menu. (Check the comm port selected has (USB) alongside it.) If the USB sign does not appear or the box is empty, click on the drop down box and select the com port that shows (USB). 2. Click on Check Comms Status. A message will appear confirming communication is established between the software and Clean-Trace NG luminometer. (If a communication failure message appears please refer to the appendix in this document which explains how to install through device manager). Once the software is installed and drivers are set up the software can now be used. It may be worth considering copying the database to a network location. The database is installed to the 3M Clean- Trace Data Trending Software Folder on the C-drive. Although not essential to the functionality of the software, it is advisable to copy this to a network location if available. This will protect any data collected and also ensure the database is backed up on a regular basis. Please follow the instructions below to install the software to a network location if this is required. 12

Setting up and linking to a network 3M Clean-Trace Data Trending Software.mdb database The Clean-Trace data trending software has a facility that will allow links to be set up to databases stored in other locations including network drives. Copying your database to a network drive will have the benefit of additional security for data and also enable the database to be accessed by more than one PC provided they have access to the shared network drive. The software utilises two access databases: F_ BiotrackPlus.mdb.mdb This is located on the end users C-drive in the Clean-Trace data trending software folder and contains the front end database menu s that appear on the PC, and as such needs to be installed on the end users C-drive. B_BiotrackPlus.mdb This is the database that contains all the sample plans, test points and measurements. This by default on installation, is found on the end users C-drive, in the Clean-Trace data trending software folder. This database can however be moved to another location either on the C-drive or to an accessible network drive. 1. Copy and paste the B_BiotrackPlus.mdb to the network folder location of choice. The software can then be mapped to link to the new location allowing access to the database from a number of PC s with access to the drive. The PC s will need to have the Clean-Trace data trending software installed. This will allow sharing of the database results and reporting features. The back-end links manager is located in the database Maintenance menu. You will need your password to access this. To link to a network database file you have created please follow the instructions outlined in the next section. 13

Connecting the 3M Clean-Trace Data Trending Software to the database in a network location 1. Select the Database Maintenance option from the Clean-Trace data trending software main menu. 2. The Database Maintenance menu will appear on your screen as below: 3. Select Back End Links Manager (Note the location of the current linked database is listed below this.) The Back End Links Manager will take you to the location of the linked database as shown above. 14

4. Browse to select the folder location where you have created a new network folder: 5. Click on and Open the folder. 6. Select the 3M Cleantrace database folder and open the folder. 7. Select and highlight the B_BiotrackPlus.mdb file 8. Click Open. A message indicating you have successfully linked to the new data tables will appear. 15

9. Click OK and check the location of the database has changed to the location of your new database. After this message your software should be fully functional and all data will be located and stored on the network drive that has been selected. Note this will need to be repeated for all PC s that need to access the database file. (All PC s will need the software installed.) 16

Setting up Site / Plants and Departments Information on the production site can be added prior to creating sample plans. Although not a requirement for functionality of the software, adding this detail will help with the filtering of data for analysis by departments once results have been collected. Details of the company, site and departments within the site can be added using the Site/Plants Departments option. 1. To add information select Basic Setup from the main menu. 2. Click on the Site/Plants Departments option, the following screen will appear: 17

3. Type in the company name in the Site ID field. 4 Type in the site location in Site Plants/Factories field. 5. Type in the department in the Department field and add the initials of the individual responsible for the department. 6 Click on Exit and the details will be saved. 18

Creating Sample Plans Before using the 3M Clean-Trace Data Trending Software, sample plans will need to be created which will then be downloaded to the 3M Clean-Trace NG Luminometer. A sample plan represents an area of testing that is specific to your manufacturing process. Each sample plan will contain the test points that are specific to the sample plan you are creating. 1. Select Create Plan on the main menu. 2. In the create plan menu type the name of the sample plan in the Sample Plan Name box. 3. Type the name of the person who designed the plan. 4. Press enter. 19

5. The following template will appear: 7. In the Long Name box type the test point. 8. Select the department from the drop down box if these have been created. 9. In the Pass Level box type the pass RLU value. 10. In the Fail Level box type the fail RLU value. 11. In the Swab Type box select the test type from the drop down selection. 20

12. Place the cursor in the next Long Name box and type the next test point. 13. Press enter and all the field details will be filled in automatically. (Note - if other departments or pass and fail levels are required then edit these as shown previously). 14. Repeat steps 12 and 13 to add other test points. 15. Once test points have been created the sample plan can be set up for the MSS report option (example shown below). This is not required for functionality, but does provide the option of an additional schedule report. If this is required follow the instructions for the MSS option below. If not required click on Save. MSS Option To use the MSS report option, the sampling schedule will need to be set up for each test point. This will allow the generation of a report as shown below: 1. Scroll to the end of the create plan template and locate the MSS assigned to box. 21

2. Click on the MSS button and the following menu will appear: 3. Type in the initials or name of an assigned person. (Note - once an assigned person has been created the name can be selected from the drop down box). 4. Select the frequency of sampling for the test point. 5. Press enter and then click on Save. 6. Repeat above for all test points. 7. Check all test points have been assigned after saving all the test points. 8. Click Save once all test points have been set up. Repeat steps above for other sample plans that need to be created. 22

Sending sample plans to the 3M Clean-Trace NG Luminometer Once the required sample plans have been created then these need to be downloaded to the Clean-Trace NG luminometer. 1. Connect the Clean-Trace NG luminometer to the PC using the USB communication cable. 2. Turn on the Clean-Trace NG luminometer. 3. Double click on the 3M Clean-Trace Data Trending Software Icon to open up the software. 4. Select Send Plan(s) to Instrument. 5. Highlight plans to be sent to the Instrument. 23

6. Click on Send a notification will appear as below: 7. Check the Clean-Trace NG luminometer program mode to confirm plans have been sent. Once sample plans have been sent, the instrument can be used to collect test results. Please refer to the Clean-Trace NG luminometer instructions for sampling and testing. 24

Collecting results from the 3M Clean-Trace NG instrument to the 3M Clean- Trace Data Trending Software 1. Connect the Clean-Trace NG luminometer to the PC using the USB communication cable. 2. Turn on the Clean-Trace NG luminometer. 3. Double click on the Clean-Trace data trending software Icon and open the software. 4. Select Collect Result(s) from Instrument from the communicate section of the main menu. 5. A list of plans will be shown on screen. Click on and highlight the plans from which you want to upload results then click the Collect button. If results are present on all sample plans then just click on Collect without highlighting individual sample plans and all results will be collected from the instrument. 25

The message below will be displayed while the results are being transferred: Once the data has been transferred, a message will be displayed showing how many results have been downloaded from the plan. (All saved sample plans will be displayed). The results will now be in the software database and will have been removed from the instrument (default setting). 26

Editing sample plans The editing option allows changing of sample plan details after they have been created. The editing option will also allow the changing of order of how they appear in the sample plan and 3M Clean-Trace NG Luminometer. Note: Where sample plans have been downloaded to the instrument they will need to be removed from the Clean-Trace NG luminometer to avoid subsequent downloading problems following editing. This will ensure sample plans in the software are the same as those in the Clean-Trace NG luminometer. During the editing procedure the software will prompt connection with the Clean-Trace NG luminometer. The only time this will not occur is when sample plans have not yet been downloaded. In order to edit any plans the Clean-Trace NG luminometer will be required to enable editing to be completed. Where more than one Clean-Trace NG luminometer is being used on site, then all luminometers will need to have the sample plans removed and the new edited sample plans downloaded to complete editing process. Ensure any collected results are uploaded from the Clean-Trace NG luminometers to the software before beginning the editing procedure: 1. Where sample plans have been downloaded to the Clean-Trace NG luminometer then connect the Clean-Trace NG luminometer to the PC using the USB communication lead. 2. Double click on the 3M Clean-Trace Data Trending Software icon to open up the software. 3. Open Edit Plan located in the Administrate options. 4. The password prompt box will appear. Type in your password and click on enter. 5. The edit plan box will appear. 27

6. Select the plan that requires editing and the following message will appear: 7. If the instrument contains stored results click on Yes and the software will take you to the collect results menu. Follow the instructions for collecting results. Collect all stored results from all sample plans. The software will then return you to the edit menu and display the same message as above. 8. If all results have been collected from the Clean-Trace NG luminometer then click on No. 9. The following warning message will appear: 10. Click on Yes (if all results have been collected).the software will then clear the Clean-Trace NG luminometer memory. 28

11. The following edit template will appear. Changes to the test point name, department names, pass and fail levels and swab type can be made where required. a. To delete a test point, place the curser in the Test Point name box and click on Delete TP. b. To delete the sample plan, click on Delete plan. c. To change the order of a test point as it appears in the sample plan place the curser in the test point name box then click on the buttons to change its position. d. To change a pass or fail RLU level click in the relevant box and edit the RLU value. e. To add a test point, click in an empty row and add the test point details. Where any information is to be deleted then a prompt to enter a password will appear. Type in the password and press enter. The data selected will then be deleted. 12. Repeat steps 6 to 11 for other sample plans that need to be edited. 13. Once all changes have been made download the required sample plans to the Clean-Trace NG instrument following the Send Plan(s) to Instrument menu. Where more than one Clean-Trace NG luminometer is being used at site and these contain the same plans that have been edited, then the sample plans from these Clean-Trace NG luminometers will need to be deleted. 29

Removing plans from other NG luminometers following sample plan editing 1. Connect the 3M Clean-Trace NG luminometer to the PC using the USB communication cable. 2. Upload all results from the Clean-Trace NG luminometer using the Collect Result(s) menu. 3. Select Maintenance from the top menu options and then Reset Instrument. 4. The password prompt will appear, enter your password and press enter twice. 5. The following message will appear- click Yes and the Clean-Trace NG luminometer will be reset. All sample plans will be removed from the luminometer memory. (Note - ensure all results have been uploaded to the software prior to doing this or they will be lost). 6. Once the Clean-Trace NG luminometer has been reset, follow the instructions for sending plan(s) to instrument and upload the edited sample plans required to the Clean-Trace NG luminometer. Repeat steps 1 to 6 for all other luminometers containing sample plans that have been edited. 30

Appendices Re-installing USB Drivers for 3M Clean-Trace Hygiene Monitoring System. (It is advisable to have the company IT department available to go through the following process. It is likely they will know how to reinstall the drivers and may not need this document. If not, you must get permission to follow this procedure from your contact.) Once the 3M Clean-Trace Data Trending Software has been installed to your PC it is necessary to down load the Clean-Trace NG drivers to allow communication with the Clean-Trace NG luminometer. On the first occasion the Clean-Trace NG luminometer is connected via the USB port, Windows will prompt the installing of drivers for the Clean-Trace NG luminometer. The hardware wizard will appear. Drivers need to be installed at this time as the wizard may not prompt the installation at a later date. (Note: drivers need to be downloaded from a specific location i.e. from the 3MDataTrendingSoftware USB driver folder after installation of the software. This is normally located on the C drive. There are two driver files to download and again if only the first part of the installation is completed then there will be no further prompt to download them, and the Clean-Trace NG luminometer will be unable to communicate with the PC. If this is the case then the following process will need to be followed to download the NG drivers Re-installing drivers for 3M Clean-Trace NG Luminometer 1. Connect the Clean-Trace NG luminometer to your PC and turn on the luminometer. 2. Right click on My computer. 3. Select Properties. The following will appear: 4. Select Device Manager. 31

6. Select Ports (COM & LPT). 7. Click on the + / plus sign. The comm port with the Clean-Trace NG luminometer connected should be listed. You are likely to get a yellow caution sign on the USB serial port com if drivers are not loaded correctly. (In the example above, comm port 9 is connected to the Clean-Trace NG luminometer but drivers are loaded. If in doubt remove the luminometer USB cable and check the list again. In this case the com port will not be listed. Re-connect the Clean-Trace NG luminometer and the port will appear again. This is the port to select in the next stage). 32

8. Double click on the USB serial port. The following screen will appear indicating driver status. If there is a problem with the driver then follow the steps below. 9. Select Driver tab and the following appears: 10. Click on Update or install driver and select Browse my computer for driver software. 33

11. Browse to the C drive/3m DataTrendingSoftware. 34

12. Continue to browse to the C drive /3MDataTrendingSoftware\USB Drivers folder as shown below. Only highlight the USB folder and click OK. 13. Click Next/OK. The PC will begin the driver download. The PC may prompt you twice as there are two files to download, repeat steps 10 to 13 but note on the second occasion it will default to USB driver folder so there will be no need to browse to the location. On completion open up the 3M Clean-Trace Data Trending Software, select the USB port in basic set up and check communications. 35

This time in the Old password window type the following: temp123 (case sensitive) 5. Tab to the New Password field and type in the password you want to use. Press tab and retype the chosen password in the Verify field. Press tab again and then click on the Save Change button. You should then see the following message which shows the password has been successfully changed: Your software should now be fully operational with the new password. Press Exit to return to the Main Menu. 37
