Utica City School District Microsoft Lync Version 1.0 11/14/2013 Last Updated: 11/14/2013 This document is not a complete guide to all of the options in Microsoft Lync. The Help feature in Lync offers a getting started guide and many tutorials for the numerous features offered.

Using Microsoft Lync Sign-in Options Open Lync and enter your email. You can choose how to sign in o Available Able to send and receive messages o Busy o Do not disturb o Be right back o Appear Away o Off Work Sign in Navigating Lync In the What s happening today field you can type a message for other people to see next to your contact. Clicking on the image square will open Options Under your name is your presence. You can change your availability to: o Available Able to send and receive messages o Busy o Do not disturb o Be right back o Off Work o Appear Away o Reset Status o Sign out Signs you out but o Exit Signs you out and exits the application. Under Presence is a dropdown to set your location. o If you are at a meeting or in another building you can use this location to tell others where you are at. The icon of a person will show your contacts as shown in the image to the left. The message icon displays your messages between you and your contacts.

Contacts Find and add a contact In the search field on the Lync main window, type the name, email address, or phone number of the person you want to add. When the Contacts list appears, point at the picture (or picture display area) of the person, and click More Options. Point to Add to Contact List or Add to Favorites and select a group for your new contact to belong to. Messaging Send an instant message (IM) To start an IM conversation Locate the person you want to send an IM to, either through search or your Contacts list. Double-click anywhere on their contact listing. Right-click their listing and click Send an IM. Pause on their picture in the Contacts list, and click the IM button on the Quick Lync menu.

Type your message in the text field at bottom of the window. Instant Message Special Content To add special content or customize the appearance of your message, you can: Send a file or a picture by doing one of the following: o Drag-and-drop the file or picture from your computer into the message window or text input area. o Copy and paste the file or picture from any Office program into the message window or text input area. o Press PrtScn on your keyboard to capture an image directly from your screen, then paste it into the message window or text input area. NOTE Your sent message will show a small representation of the added file or picture. To open the file or see the picture at full size, the recipient clicks Save or Copy and transfer the file to their machine. Copy and paste links from other Microsoft Office products directly into the IM area. (Be sure to use the full URL of the location you re linking to.) Click the font icon (Letter A on the right hand side) to change the font style, size, emphasis, or color of your text. Click the emoticon icon (Smily face on the right) to see and choose from a selection of emoticons to add to your IM. Click the priority icon (! on the left) to mark your IM as high-importance. Press Enter to send your IM.

Menu The cogwheel on the right hand side gives you access to the File, Meet Now, Tools, Help and Show menu Bar. File In the File menu you can Sign out, change sign-in address, change your status, view received files, view conversation history, close the Lync window or exit the program. Meet Now Meet Now opens a conversation window where multiple contacts can be added for collaboration. This is not for instant messaging but for a group discussion. At the top of the window the number of participants is displayed. To add a contact to the discussion click the icon of the people on the bottom of the window and choose Invite More People. Select the contact and they will be invited to the conference. Clicking the message icon on the bottom left hand side will hide or show the message window The center icon is to manage presentable content Tools Always on Top Dial-In Conference Settings Options See Options Section.
